Reservation Page - Reservation Details Overview

In the Reservation Page you can manage all accommodations, guests, communication, reservation status and financial details of a specific reservation. This article will go through all the details you can find in this page.

Reservation Page Overview

Once you open a reservation, here are the details you will find:

Reservation Header

  1. Guest Name
  2. Cloudbeds Reservation ID - The reservation ID is a unique reference number created by the system automatically and cannot be changed/customized
  3. Reservation Status - Confirmed, Confirmation Pending, Canceled, In-house, Checked out, or No Show.

All OTA reservations get imported to Cloudbeds PMS with a Confirmed status.

  2. Action Button - Under the drop-down menu, you have a few action options:

Reservation Information

Under the reservation header, you will find:

  1. Check-In date
  2. Check-Out date
  3. Nights: The total number of nights
  4. Reservation Date: The date the reservation was made (created)
  5. Guests: The total number of guests
  6. Estimated Arrival Time
  7. Source: Where the reservation was made (direct, booking engine, channel name)
  8. Rate Plan(s): the rate plan selected for this reservation
  9. Balance Due: The drop-down menu on the right side displays further details regarding the deposit, subtotal, any additional items, tax, and the grand total. It also displays any amount that has already been paid.

Reservation Information - OTAs Extra Fields

Depending on the source of the reservation, some extra fields will be presented:

  1. Payment Type: Hotel Collect vs. Channel Collect
  2. Cancelation # (number): this is a cancelation id provided by the channel.
  3. Cancellation fee: This amount is not included in your balance due, nor calculated towards your reservation total. It is there for informational purposes only.
  1. Guest(s) Gender: For channels that send us information about customer's gender, as well as the count of males/females per reservation
  1. Origin: The original booking source used by the guest to make the reservation. Detailed information on this can be found here.

Reservation Page - Managing Tabs

There are eight Managing Tabs under the Reservation Information. Click on each to learn more:

  1. Accommodations - Information about all the rooms reserved or assigned for a reservation and you can also edit the reservation in this tab.
  2. Folio - The financial details of the reservation (room rates, pending transactions, additional items already posted) are stored here.
  3. Guest details - Information for each guest on the reservation.
  4. Credit Cards - Any debit or credit cards attached as a payment method.
  5. Notes -  An additional space for diverse details, special requests, or important reminders regarding guest stay or guest's needs.
  6. Documents - Upload files and other documents to attach to the reservation.
  7. Reservation Activity - where you can find all the changes made to a reservation by the system and/or user(s).
  8. E-mail messages - Displays all emails for that reservation (sent, delivered, failed, scheduled). This feature is similar to the Email Delivery Log, but it only includes emails belonging to this reservation.

Guest Details section may include fields with guest's Sensitive Personally Identifiable Information (PII). Such fields will be marked with the eye icon. The activity log will track all users that click on this icon.

The Property Owner can control who can view and edit PII guest's data on the Roles page.
