Cloudbeds Stock Reports Overview (Standard Reporting Guide)

Cloudbeds Reports are comprehensive reporting solutions that provide essential, view-only insights for effective operational analysis for all Cloudbeds accounts, regardless of whether Cloudbeds Insights* is enabled.

*Cloudbeds Insights is an analytical platform that allows users to create and customize reports based on their needs. For more details on how to unlock additional capabilities from your data, please visit our Cloudbeds Insights premium add-ons page.

  The property owner has access to Cloudbeds Reports by default. Other users must have the privilege to access reports enabled under their role settings. Learn more about configuring roles and privileges: Roles and Privileges.

Access the Reporting section

  1. Go to the Main Menu Main menu icon.png
  2. Click on Reporting Reporting icon.png
  3. You will see three menus:
    1. Home: Displays recent and favorite reports and includes a Manage button to configure the week’s start day. Details explained below.
    2. Cloudbeds Reports: A list of predefined, view-only reports (also called Stock Reports) for operational and financial analysis. These cannot be edited or deleted, but you can export them.
    3. Classic Reports: Shows historical reports such as production, financial, daily activity, and government & police reports. You can also access this under Main Menu  Main menu icon.png> Classic Reports  Classic reports.png

Access and use the Cloudbeds Reports

  1. Click Cloudbeds Reports to view the available list. This list will continue to grow over time.
  2. Use the Search Reports bar and Report Type filters to narrow your results.
  3. Select how many entries to display at once.
  4. Click the arrow (>) to navigate to additional pages of reports.
  5. Click on a report title to open and view the report.

  1. Choose how to view the report data: Table or Chart (when applicable).
  2. The Table Outline contains predefined Cloudbeds Data Fields (CDFs) relevant to the dataset. You can drag and drop the CDFs to reorganize the column order, as well as to group rows and group columns.

    For example, click Check-in Date under Group Rows to group the data by year, month, month (stacked), week, Monday - Sunday, day, or day (stacked).

  3. Apply Filters to narrow your results. See more details in the Filters section.
  4. Click Refresh to update the report.
  5. Click Export to download the report. See the Export section for more details.
  6. Summary Information: Displays aggregated data for the entire results set.

Filters

  1. By default, the current property account will be selected in the filter.

 The option to select multiple properties is only available if you are part of a Multi-Property (Organization) account and have Cloudbeds Insights enabled.

  1. The filters are prefilled automatically to match the report you selected. You can modify any value as needed.

 

  1. Turn ON the Select filter(s) toggle to enable or disable individual filters.
  2. Click Apply to save your changes.

 

  1. Filters that are not selected will be hidden by default.

 

Understanding filter toggles in stock reports

In stock reports, each filter includes a small checkbox on the left. This checkbox determines whether the filter is applied.

  • Checked: The report only includes records that contain that field.
  • Unchecked: The report includes all available data, even if some records do not contain that field.

 

Certain filters—such as Reservation Status, Reservation Source, and Reservation Source Category—apply only to reservations. When these filters are checked, the report will return reservation transactions only and may hide:

  • POS items and integrations
  • Add-ons and items
  • Payments
  • Adjustments
  • House accounts

This explains why totals in stock reports may differ from totals shown in the Classic Daily Revenue Report, which includes all transactions for the selected date.

Export

  1. Click Export.

  1. Choose the Export View and Format:
    • Formatted Report: Exports the report with headers, groupings, and filter settings.
      Format: XLSX.
    • Table: Structured report data in table format.
      Formats: CSV, JSON.
    • Details Only: Exports only detail rows for further calculations or system uploads.
      Formats: XLSX, CSV, JSON.
  2. Click Export.

  Multi-property reservation exports with Cloudbeds Insights

If your account belongs to an Organization and has Cloudbeds Insights enabled, you can export reservation details from multiple properties in a single file.

Open a reservations-type Cloudbeds Report, use the Properties filter to select the properties you want to include, apply any additional filters (such as dates or status), and then click Export to download the combined dataset.

Home

On the Home page, you can find these options or sections:

1. Manage

Admins* can change the start day of the week and currency rounding in the Manage section.

  *In the property account, an admin could be the Property Owner, Multi-Property Owner, Multi-Property User, or Organization Owner/Admin/User.

  1. Click Manage.

  1. Select the Start of the week. By default, the Relative Date filters (e.g. Start Current Week) start on Monday. Some properties may begin their work week on another weekday such as Sunday.
  2. Select the Currency CDF Rounding Precision. It allows users to set how many decimal places will be displayed in financial reports and transactions. For example, if the rounding precision is set to 2, a value like $123.456 would be rounded to $123.46. 
  3. Click Save.

3. Favorites

  • How to favorite or unfavorite a report

Inside the report, click the star icon to mark it as a favorite. Click again to unmark it.

Your favorite reports are displayed on the home page.

  • How to manage your favorite reports list:

    1. Click the Edit (pencil) button.

    1. Click the star to remove the report from your list.
    2. Click Save.
