Manage reservations on the calendar

Use the Calendar to quickly create and manage reservations. The sections below explain how to create reservations, view a reservation summary, work with notes, and handle room assignments.

All courtesy holds, room blocks, and reservations created on the Calendar are synced with your Cloudbeds Booking Engine, Cloudbeds PMS, and all connected distribution channels.

  1. Option 1: Click + and select New Reservation.
  2. Option 2: Click the available dates on the Calendar and select Create New Reservation.

Click a reservation on the Calendar to open its summary and quickly view:

  1. Check-in and Check-out dates
  2. Number of guests
  3. ETA / Estimated Arrival Time (for Confirmed or Confirmation Pending)
  4. Grand Total
  5. Balance Due

You may also have these actions (depending on status):

  • Check in (for pending Confirmation), Confirm (Confirmation Pending), or Check out Guest (In House)
  • Reservation details
  • Un-assign room
  • Quick Edit
  • Lock/Unlock Assignments

If the guest is part of a group reservation, a group icon appears to the left of their name.

Open the Notes tab in the reservation panel to see all notes added to the reservation.

  1. Click to view all Unassigned reservations.
  2. You can Auto Assign All reservations (may not work near full occupancy).
  3. Select an unassigned reservation to highlight available spots on the Calendar.
  4. Select accommodation type and room #.
  5. Or assign directly on the Calendar grid.
  6. Click Assign to save.
  7. Alternatively, click an open spot on the Calendar to assign.

If you switch a reservation to a different room type, you’ll be prompted to confirm the price difference:

  • Override – removes any additional charges
  • Continue – confirms any upgrade cost (in the example shown, Deluxe Queen and Deluxe King are the same price, so no additional cost)
