The all-new Cloudbeds Calendar is the heart of your property’s daily operations, redesigned from the ground up to deliver a high-performance experience built for speed, reliability, and enterprise-grade scale.

This new architecture supports properties with over 4,000 rooms and up to 30 staff members operating simultaneously, ensuring that every interaction—from dragging a reservation to checking in a guest—stays fast and responsive under heavy workloads.

The new architecture transforms your property management with several high-impact features designed for speed and clarity:

Actions taken by one agent (like check-ins or room moves) appear instantly for all other users without needing to refresh the page, eliminating "ghost bookings."

🔍 Instant Search

Locate guests by name or room number in seconds. Use the Search Bar or the keyboard shortcut Ctrl+Shift+S to highlight results on the grid.

🚀 Smart Filters

Cut through the noise by filtering your view by Reservation Status (e.g., Checked Out, In House) or Booking Source (e.g., OTA, Phone).

🧹 Operational Hub

The Room Details drawer allows housekeeping supervisors to update room conditions and assignments directly from the calendar screen.

How to Access and Navigate the New Calendar

Accessing the New Interface

  1. Navigate to the Main Menu 
  2. Select Calendar (New).

  Alternatively, if you are on the classic calendar page, click the Switch to New button in the upper-right corner.

Using the Date Picker and Navigation

Use the Date Navigation Bar in the top-left of the calendar to control your timeline:

  • Date Picker: Click the date (e.g., March 2026) to open a mini-calendar and jump to any date instantly.
  • Today Button: Instantly return the calendar to the current date, regardless of how far you have scrolled.
  • Navigation Arrows: Move the view forward or backward by your currently selected timeframe. For example, in a 1-week view, arrows shift by one week; in a 2-week view, they shift by two weeks.

Changing Your View Range

You can choose how many days are visible at once to suit your specific role or planning needs:

  • 4 days: A tight operational view for same-day and next-day management.
  • 1 week: The standard weekly planning view.
  • 2 weeks: An extended view for tracking upcoming arrivals and departures.
  • 3 weeks: A broad view useful for revenue management and allotment block planning.

Managing Calendar Tools and Quick Actions

The top-right toolbar provides instant access to management tools and interface controls:

  • Returning to the Classic View: During this pilot phase, if you need to access a legacy feature not yet in the new version, click the BETA tag dropdown and select Switch to classic view.
  • Quick Actions (+): Click the Plus icon to rapidly create a New Reservation, mark a room Out of Service, add a Courtesy Hold, or set Blocked Dates.
  • Search Bar: Type any part of a guest's name or a room number to locate bookings instantly. You can also use the keyboard shortcut Ctrl+Shift+S to focus the search bar without using your mouse.
  • Filters: Use the filter icon to isolate reservations by Status (e.g., Confirmed, In House) or Source (e.g., Website, Booking Engine).
  • Visual Separation and Highlighting: When using search or filters, matching reservations remain in full color, while all non-matching reservations are grayed out to make your target bookings stand out.
  • Calendar Settings (Gear Icon): Fully customize your personal display, including occupancy stats, room rates, and custom keyboard shortcuts.
Version Switch and Quick Action Buttons
Access quick actions, search for guests, apply status filters, and manage your personalized calendar settings from the top toolbar.

Limitations

While the new calendar provides significant performance improvements, the following capabilities are currently in development:

  • Horizontal Scrolling: Date navigation currently involves jumping by the selected view range; smooth horizontal scrolling is not available at this time.
  • Search Auto-Scroll: Currently, search results are highlighted on the grid, but the view does not yet automatically scroll to the matching result.
  • Courtesy Hold Conversion: The ability to convert a courtesy hold directly into a reservation from the calendar is still in development.

New Cloudbeds Calendar FAQ

Is the New Cloudbeds Calendar available to all properties?

No. The New Calendar is currently in a limited pilot phase. Access is restricted to specific nominated properties to gather feedback before a broader progressive rollout.

Will using the New Calendar affect my existing reservations or rates?

No. The New Calendar is a visual and functional interface update. 

It changes how data is displayed and interacted with, but it does not modify your underlying reservation data, rate structures, or availability logic.

Can different staff members have their own custom views?

Yes. Unlike the legacy version where settings were property-wide, all settings in the New Calendar are saved per user. This allows team members in different roles—such as front desk agents, revenue managers, and housekeeping supervisors—to each have their own unique configuration on the same property.

Can I switch back to the original calendar view?

Yes. During the pilot phase, properties have the option to toggle between the original view and the New Calendar.

Classic calendar New Calendar

To access the updated interface from the classic calendar: Navigate to the updated experience by clicking the SWITCH TO NEW button located in the top-right corner of the header.

Are all features from the original calendar supported in the new version?

The pilot focuses on core calendar workflows. While core tasks are optimized for performance, some advanced or niche features from the original calendar will be introduced incrementally throughout the pilot and subsequent release phases.

You can use the new Search Bar at the top-right of the calendar to search by guest name or room number.

For even faster access, use the keyboard shortcut Ctrl+Shift+S to open the search bar instantly without using your mouse.
