The redesigned Cloudbeds Calendar is no longer just for the front desk. With the new Room Details drawer, the calendar transforms into a shared operational surface where housekeeping supervisors and operations managers can track room conditions, staff assignments, and maintenance needs in real-time.

Prerequisites:
- To view housekeeping statuses on the grid, ensure Housekeeping badges are enabled in your personal Calendar Settings.
Using the Room Details Drawer
The Room Details drawer provides a centralized view of everything happening with a specific unit, allowing for full edits of statuses and notes directly on the grid.
How to Access and Update Room Info
- Click on any Room Number or row on the left-hand side of the calendar.
- In the Room Details drawer that opens on the right, use the Condition dropdown to update the state to Clean, Dirty, or Inspected.
- Use the Assigned To menu to select the housekeeper or attendant responsible for that room.
- Add internal operational notes (e.g., "Shower leaks") in the Accommodation Comments field to share updates across shifts.
Managing Operations at Scale
The new interface eliminates communication silos between the front desk and housekeeping teams by providing shared visibility into real-time room states.
- Real-Time Turnover Coordination: Housekeeping can see the Front Desk Status (e.g., Check-out) to know when a room is vacated, while the front office can see the Condition (e.g., Clean) to know when a room is ready for check-in.
- Scroll-to-Room: In large properties, click the Scroll to button within the drawer to instantly jump the calendar grid to that specific room and highlight it.
- Direct Settings Access: Click Open Accommodation Settings at the bottom of the drawer to update room configurations or descriptions without navigating away.
Limitations
- Attribute Tags: Displaying specific room attributes (e.g., ocean view, ADA accessible) within the drawer is not available at the moment.
- Internal Descriptions: The room description currently uses the guest-facing Booking Engine description; a dedicated internal-only field is currently in development.
Housekeeping and Room Status FAQ
Does this replace the need for radios or internal calls?
While it doesn't replace all communication, it significantly reduces traffic. Since both teams see the same real-time statuses for cleaning progress and guest departures, "Is room 412 clean yet?" calls become largely unnecessary.
How do I know if a room is ready for turnover?
The Front Desk Status in the room drawer will show Check-out when a guest has vacated, signaling it is ready for cleaning. Once finished, the supervisor updates the Condition to Clean, which alerts the front desk that the room is ready to assign.
Can I see guest privacy requests?
Yes. The Room Status dropdown allows you to set or view guest-facing states such as Do Not Disturb, ensuring housekeeping staff respect guest privacy.
