Our platform uses a multi-factor authentication (MFA) solution designed to provide stronger security and flexible policy options.
Things to note before getting started
- To ensure smooth login process, it is necessary for each user to clear their cache and cookies before logging into the system after the previous user.
- If you're facing login issues, go to How to Handle Log-In Issues. If the issue persists, reach out to our support.
Is Okta Verify right for you?
This method is recommended if:
- You already use Okta Verify for other work accounts.
- You are comfortable downloading mobile apps.
- You prefer "Push Notifications" (tapping "Yes, it's me") over typing in codes.
Requirements:
- Smartphone required: You must have an iPhone or Android device.
- App Store access: You must be able to download apps from the Apple App Store or Google Play Store.
Not the right fit? If you don't have a smartphone or want a simpler setup, consider Apple or Google Login.
1. Activate Your Account
You will need to activate your account if this is the first time you access the system or if you are resetting your user. Follow the steps below:
- You will receive the following email once your user was created in the system, click to Activate Your Account
- Enter your new password according to the requirements you see on your screen
- Repeat the new password
- Click Create My Account
2. Select Multi-Factor Authentication Method
Now you are redirected to the Multi-factor authentication setup page. Choose and set up the preferred authentication method:
- Okta Verify - this is the default and recommended method that we support, which means that you will use a push notification sent to the mobile Okta app.
- Security Key or Biometric Authenticator - chose this method if you'd like to chose a security key (USB or bluetooth) or a biometric authenticator (Windows Hello, Touch ID, etc.)

Google Authenticator - chose this method if you'd like to access Cloudbeds PMS by using a one time code from the Google Authenticator app.
Chose to set up Okta Verify method.
3. Set up Okta verify on your phone
- Download the Okta Verify app from the App Store or Google Play
- Open the app and follow the instructions to add your account
- When prompted, tap Scan a QR code and scan the code like you can see above.
- Then your account will be added and you can select the preferred method of your account protection.
4. Choose your Okta Verify Authentication Method
Once Okta is set up on your phone, you can return to the Cloudbeds PMS authentication page and select how you'd like to log in in the future: Enter a code or get a push notification:
If you selected to Get a push notification
- Check the box to "Send push automatically" for the next time
- And click "Yes, it's me" button which pops up in your Okta app. This way you have confirmed your identity and will successfully log in to Cloudbeds PMS.
If you selected to enter a code
During initial setup
If you are prompted to enter a code instead of scanning a QR code, follow these steps to add your Cloudbeds account to Okta Verify:
- Open the Okta Verify app you just downloaded on your phone
- Click on + in the top right corner of your app
- Select Organization

Look at the code and enter it in Cloudbeds PMS.
Now you can finish the setup and enter Cloudbeds PMS.
After setup is complete, when logging in
Open the Okta Verify app and enter the 6-digit code displayed for your Cloudbeds account. Do not click + unless you are adding your Cloudbeds account to Okta Verify for the first time.
