Introduction
Google authentication allows an eligible user to access Cloudbeds PMS through an existing personal Google or Google Workspace account. Google manages identity verification using the security options configured for that account.
A property owner or property admin must first enable Google authentication in the user's Cloudbeds profile. The setup differs slightly for new and existing users, so follow the workflow that matches the user's current account status.

Before you begin
Confirm the email addresses match
The Google account email must exactly match the email registered in the Cloudbeds user profile. If the addresses differ, login fails with an authentication error even when the Google credentials are correct. A property owner or property admin can confirm the registered email under Account > Settings
> Users
.
Benefits of Google authentication
Google authentication can simplify login for users who already manage their identity and security through Google.
- Familiar login experience: Users with Gmail or Google Workspace accounts can follow the standard Google sign-in process.
- Personal and business accounts: The option supports personal Gmail accounts and managed Google Workspace accounts.
- Google-managed account security: Google verifies the user according to the security methods configured for their Google account.
- Centralized account management: Properties using managed Google Workspace accounts can coordinate staff access through their existing Google account administration process.
Browser blocking Google login?
Google login uses an authentication process that may be interrupted when the browser blocks third-party cookies or cross-site activity. The login may fail or return to the same page without completing.
Temporarily allow the required cookies for hotels.cloudbeds.com in the browser settings, or try another supported browser. Examples of settings that may interfere include enhanced privacy controls in Chrome and Prevent Cross-Site Tracking in Safari.
Enable Google authentication
A property owner or property admin must enable Use existing Google account in the user's profile. Select the setup path for a new or existing user.
Enable Google authentication for a new user
- Go to Account
> Settings
> Users
.
- Select Add User.
- Complete the required user information.
- Select Use existing Google account.
- Save or send the user invitation.
The new user must open the invitation email and follow the verification link to complete account setup.
Enable Google authentication for an existing user
- Go to Account
> Settings
> Users
.
- Find the user and select Edit
.
- Select Use existing Google account.
- Save the user profile.
The existing user does not need to complete an additional activation step. They can use Google authentication the next time they sign in.
Sign in with Google
Google authentication must be enabled in the user's Cloudbeds profile before the user can sign in with this method.
- Open the Cloudbeds login page.
- Select Continue with Google.
- Select the Google account registered for the Cloudbeds user. You do not need to enter a Cloudbeds username or password in the standard login fields.
- Follow the Google prompts to complete authentication.
If Google authentication has not been enabled for the Cloudbeds user, an error appears. Ask a property owner or property admin to review the user's login setting.
Troubleshoot Google login
- Use the Google login button. When Google authentication is enabled, select Continue with Google instead of entering a Cloudbeds email and password in the standard login fields.
- Return to the login page after a standard-login error. Select Continue with Google and complete verification through Google.
- Confirm the email address. The Google account email and the Cloudbeds user email must match exactly.
- Confirm the user setting. A property owner or property admin should verify that Use existing Google account is enabled for the user.
- Review browser privacy settings. Allow the cookies required for the login process or try a different supported browser if authentication loops or does not complete.
To switch from Google authentication to the standard email and password login, ask a property owner or property admin to review the user's login method. If they cannot update it, contact Cloudbeds Support.
Next Operational Step
After enabling Google authentication, ask the user to open the Cloudbeds login page and select Continue with Google to confirm that the account email, user setting, and browser configuration are working correctly.
