This FAQ applies to Cloudbeds Insights, which includes advanced reporting features such as customizable filters, grouping options, day-by-day drilldowns, and the Select filter(s) toggle. These features are not available in the free Cloudbeds Stock Reports (Standard Reporting).
What makes Cloudbeds Insights reporting different from Standard Stock Reports?
All properties access the Reporting section the same way, regardless of whether they have Cloudbeds Insights enabled or not. Everyone sees the same list of Cloudbeds Reports (also called Stock Reports or Premade Reports).
The difference lies in the tools and capabilities available. Standard reporting provides view-only Stock Reports, while Cloudbeds Insights unlocks a full suite of customization and analysis features.
Cloudbeds Insights adds advanced reporting capabilities such as:
- Save As to create customized versions of Stock Reports
- Adding or removing Cloudbeds Data Fields (CDFs) in Table Outline
- Drag-and-drop reorganization of columns, rows, and groupings
- Creating or editing custom grouping structures
- Editable filter logic (add/remove conditions and operators)
- Using currency conversion in Financial datasets
- Actionable hyperlinks (open reservations directly from reports)
- Exporting multi-property datasets for Organization accounts
- Saving reports in folders and organizing custom content
- Adding tags to saved reports
- Sharing/cloning custom reports across properties in an Organization
- Scheduling reports via Subscriptions (daily, weekly, monthly)

Why do some transactions disappear when I apply filters in Insights reports?
This behavior usually occurs when the Select filter(s) toggle is turned ON. When enabled, each filter row displays a checkbox on the left side (as shown in the image below). These checkboxes determine whether the report should enforce or ignore each filter.
Here’s how the toggle works:
- Checked → The filter is enforced. Only records that contain the selected value(s) appear.
- Unchecked → The filter is ignored. Records appear even if the field is missing.
When Select filter(s) is ON, you will see:
- A green toggle switch at the top of the Filters panel
- A checkbox on the left side of every filter line
- Blue checkmarks beside filters that are actively applied
If you want the report to show all results (including records where a field is blank), set the filter operator to All. This includes values that are null or empty, so nothing is filtered out by default.
Note: The All option controls what the filter returns (including null or empty values), while the checkbox under Select filter(s) controls whether the filter is enforced or ignored. To apply the filter, make sure the checkbox on the left side of the filter row is checked.
Some filters—such as Reservation Status, Reservation Source, and Reservation Source Category—apply only to reservation-based data. When these filters are checked, the report will exclude non-reservation activity, including:
- POS & F&B items
- Add-ons not tied to reservations
- Payments without a reservation
- Adjustments
- House account activity
This is why Insights totals may differ from the Classic Daily Revenue Report, which displays all transactions for the selected date.
To see every transaction in your report: Set reservation-only filters to All (recommended).
- If needed, turn ON the Select filter(s) toggle.
- For reservation-only filters (e.g., Reservation Status, Source, Source Category), choose All so the report includes records where that field is blank (null or empty).
How do I access the “Total Room Revenue by Month by Room Type” report?
Follow these steps to open the report and view total room revenue by room type across months:
- From the Main Menu
, click Reporting
- Under Cloudbeds Reports, choose Revenue.
- Scroll or use the report search bar to find the Total Revenue by Month by Room Type report and click to open it.
This report totals room revenue based on the Service Date (stay date). By default, results are grouped by month and broken down by room type.

How do I apply filters and change the grouping?
Use the options below to focus the analysis or switch between monthly and daily detail.
Grouping is controlled in Table Outline → Group Rows. More on this in the “See day-by-day revenue for the selected month” section below.
Core filters
- Service Date: Select the full period you want to analyze (e.g., 01 Jan – 31 Dec 2025). The report builds the month columns from this range.
- Room Type: Leave as All to compare every room type side-by-side, or select specific room types.
- Property: If your account has multiple properties, choose the one you want to analyze.
Filter a single month (e.g., September)
- Turn on Select filter(s) (Advanced Filters).
- Remove any existing Service Date filters, and add:
- Service Date greater than or equal to
2025-09-01 - Service Date less than
2025-10-01
- Service Date greater than or equal to
- Click Apply.
- Run the report. Only September data will display.
See day-by-day revenue for the selected month
- Go to the table Outline.
- In the Group Rows, click Service Date.
- Change the grouping from Month to Day.
- Run the report again.
When exporting, the dataset may appear at a daily granularity even if the on-screen view is grouped by month. This is expected and enables more detailed offline analysis.
