Occupancy Discrepancies Troubleshooting

This article explains the most common reasons why occupancy numbers may not match across reports, the calendar, or the dashboard, and how to fix them.

Troubleshooting

Problem 1: Occupancy is above 100%

Cause

  • Split Inventory setup includes virtual and physical rooms; only physical rooms should count toward occupancy, not virtual ones.
  • Temporary sync timing between modules.

Solution

  1. Go to Settings Settings icon.png, click on Property Property icon.png, and open the Accommodations tab 
  2. Verify that only true rooms are marked as physical and that virtual types are set as virtual and correctly linked to their physical units.

    Ensure your setup follows supported Split Inventory structures such as Virtual → Physical or Virtual → Virtual → Physical combinations.
  3. Re-run the Occupancy reports or Rooms Sold/Occupancy Report with the same date range and filters you were checking before.

  If you recently reconfigured Split Inventory, allow calculations to align and re-check after a few minutes.

Problem 2: Occupancy is lower than expected

Cause

  • Virtual rooms are being counted in the report; occupancy should only include physical rooms sold.
  • The migration from Shared Inventory is incomplete, or the configuration is missing links.

Solution

  1. Go to Settings Settings icon.png, click on Property Property icon.png, and open the Accommodations tab 
  2. Verify that only true rooms are marked as physical and that virtual types are set as virtual and correctly linked to their physical units.

    Ensure your setup follows supported Split Inventory structures such as Virtual → Physical or Virtual → Virtual → Physical combinations.
  3. Re-run the Occupancy reports or Rooms Sold/Occupancy Report with the same date range and filters you were checking before.

Problem 3: Dashboard and Occupancy Report show different numbers

Cause

  • Date ranges or filters differ between views.
  • The Dashboard and Calendar show real-time operational data, while reports use stored calculations based on historical data.
  • The Dashboard's Available Units value represents the property’s full physical capacity (booked, blocked, or out of service), while the Occupancy Report may exclude blocked and Out of Service (OOS) rooms from its availability count.

Solution

  1. Make sure you are comparing the same date range and filters in both the Dashboard and Occupancy Reports or Rooms Sold/Occupancy Report.
  2. Review how occupancy is calculated in each view:
    • The Dashboard Occupancy Card uses the total number of booked units divided by the total number of available physical units. Available units include physical rooms that are booked, blocked, or out of service.
    • The Occupancy Reports calculate occupancy only for physical rooms, which may exclude blocked or out-of-service units depending on the selected filters.

Problem 4: Available units seem too high

Cause

  • Dashboard “Available Units” includes blocked and Out of Service rooms, while reports usually exclude them.

Solution

  • Compare reports using the same filters and verify whether OOS or blocked rooms are included.

  Remember: Virtual rooms do not add capacity; occupancy is calculated only from the underlying physical rooms.
