Connect Hotelbeds to Cloudbeds PMS

By connecting to Hotelbeds, your property will gain unrivaled exposure to the world's travel trade, including more than 3,500 Tour Operators, over 65,000 Travel Agents, 40+ Airlines, Loyalty/Employee Points Plans, and OTAs.

  GTA Travel and Tourico are part of the Hotelbeds network - the operations are managed by Hotelbeds.

Connect Hotelbeds to Cloudbeds PMS

  Hotelbeds has a minimum requirement of 10 rooms to sign up.

Step 1 - Getting Started

If you do not have a Hotelbeds account
  1. Create your Hotelbeds account using the Hotelbeds sign-up link.
  2. Wait for Hotelbeds to complete your account setup and send your access details.
    • In 48 hours or less, you should receive two confirmation emails:
      • An email with your hotel information and the Hotelbeds terms and conditions.
      • An email with your MaxiRoom credentials (Hotelbeds hotel portal). You will need to reset your password.
  3. In the Hotelbeds extranet, select Cloudbeds as your channel manager connection.

  1. Locate your Hotelbeds property ID (also called HBX Hotel ID). 

  1. Return to Cloudbeds PMS and continue with Step 2.

 The Hotelbeds connection uses your Hotelbeds property ID. You do not need a username and password to complete the connection in Cloudbeds PMS.

If you already have a Hotelbeds account
  1. Log in to your Hotelbeds extranet.
  2. Set Cloudbeds as your channel manager connection.

  1. Find your Hotelbeds property ID (HBX Hotel ID).

  1. Return to Cloudbeds PMS and continue with Step 2.

 If you cannot complete the connection, confirm on the Hotelbeds side that Cloudbeds was selected as the channel manager and that the Hotelbeds property ID was entered correctly.

Step 2 - Connect your channel account through Cloudbeds PMS

  1. From your AccountAccount menu.png, click on Settings Settings.pngand go to Distribution Distribution icon.png
  2. On the Discover tab, search for Hotelbeds, and click on the channel card

  1. If you have an account in Hotelbeds, click to Connect Existing Listing
  2. If you do not have an account in Hotelbeds, click to Create New Account

  1. Enter your channel Hotel Code (also called HBX Hotel ID) and click Continue.

 If the connection is not completed successfully, there are two items to verify: the Hotel Code and the channel manager selected in the Hotelbeds extranet.

  • The Hotel Code may not be valid. Verify it is correct and try again.
  • Cloudbeds may not be selected as the channel manager in Hotelbeds. Update it in the Hotelbeds extranet and try again.

If the property is not enabled correctly in the Hotelbeds extranet, Cloudbeds PMS displays the following error:

  1. Select your Property/Product. A single Hotelbeds account can have multiple properties associated with it; therefore, Cloudbeds PMS Cloudbeds PMS requires you to first select your property.
  1. Select the Hotelbeds rooms from the drop-down that matches the Accommodation Type on the Cloudbeds system.
  2. Click CONTINUE when completed.
  1. Click Configure to choose which contract(s)/rate plans you want to update.
  2. Click Save.

  A Hotelbeds contract can be seen as a rate type or rate plan. For example: BAR BB1 | BAR BB All Markets 20% (12345)

Where:

  • BAR = Best available rate
  • BB = Bed and breakfast
  • 12345 = Rate ID

It is possible to select from multiple Hotelbeds contracts on the Rate Plan drop-down menus:

  • When Advanced Channel Rates is disabled, you can only map the base rate to your Hotelbeds contract.
  • When Advanced Channel Rates is enabled, you can map multiple rate plans on Cloudbeds PMS to your Hotelbeds contracts.

  1. Add Base Rate Adjustment for each room type if needed, or leave it at zero to skip it.
  2. Click CONTINUE when completed.

 Click here for more information on the base rate adjustment. In most cases, this can be left blank.

  1. The channel setup is now complete. Click Finish.

Step 3 - Complete the Content on your Maxiroom Hotelbeds hotel portal

  This step is mandatory to remain on sale in Hotelbeds.

  1. Login to the Hotelbeds hotel portal.
  2. Complete the following details:
    1. Hotel descriptions in English and in your local language.
    2. Hotel facilities and services.
    3. Room facilities and number of pax distribution.
    4. Hotel and Room pictures (min. 12 pictures/ min 800 px wide).

Frequently Asked Questions

Which features does this channel support?

Hotelbeds supports:

  • Automatic adjustments
  • Automatic adj. for cancellations (it means that when a reservation is canceled, your availability will be updated automatically)
  • Minimum length of stay
  • Maximum length of stay
  • Closing rate plan for bookings

Hotelbeds does not support:

  • Close days for arrival
  • Close days for departure

What's the difference between HSI and BMS options?

According to Hotelbeds Support - March /2019

  • HSI = Hotelbeds Supplier Interface {ARI = Availability, Rates, Inventory updates}
  • BMS = Booking Migration System {ResDelivery = Delivery of reservations to the channel manager}

When the property wants to get connected they must request both HSI/BMS {ARI & ResDelivery}

For how long Hotelbeds accepts inventory updates?

In the Cloudbeds PMS, it is possible to configure rates and availability for a long period. However, even if you have configured 3 years of inventory, for example, note that the availability, rates, and inventory updates to Hotelbeds will be for a longer period of a maximum 2 years.

Hotelbeds Contracts Information and selection

If you have multiple properties, it's possible to have them under 1 Hotelbeds account and own a different contract for each one of them.

When connecting the Cloudbeds PMS to Hotelbeds, make sure you have the correct contract for the property. Each contract has a unique hotel code to identify the property.

  Hotelbeds contracts are set up and managed directly in the Hotelbeds extranet. On Cloudbeds side, we update rates and availability for multiple contracts per account, and we download all the bookings.

Who sends emails for Hotelbeds booking confirmations?

Be advised that Hotelbeds disables sending emails to the property directly once you are connected to a channel manager. As soon as you are connected to a channel manager, we must take over the emailing responsibility.

How can I disconnect Hotelbeds?

To disconnect the channel, follow the steps explained in this guide.

  Important: When you disconnect Hotelbeds, we stop sending ARI (Availability, Rates, and Inventory) to this channel. Still, you must also disable it on the channel side to prevent Hotelbeds from sending reservations to Cloudbeds PMS.
