Manage your user in the My Profile page

The My Profile section includes all the details about your Cloudbeds PMS user, such as name and email address.

This article explains how to edit your user profile information

 Important Note

This page allows for managing your user profile information only. Access to specific features and permissions within the system is always granted by the property owner. If you need to edit your permissions, please contact the property owner and request the necessary changes. For more information about user permissions go to Users and Roles.

Profile - My Info

In the Account Details, users can find the following sections:

  • My info: Including your name, email address and the options to change your  password or reset the Multi-Factor Authentication.
  • Preferences: Such as the Application Language

Edit your User Information

Edit user name or last name
  1. Click on the Account icon
  2. Go to My Profile
  3. Click on Edit
  4. Edit your First name/Last name
  5. Click on Save
  6. The new Name/Last name will appear in your profile

Edit user email address
  1. In your Account Details tab, click on Edit
  2. Edit your current email address by adding the new one
  3. Click Save
  4. For security reasons, the system will require a password confirmation when you request to update the email address. All of your modified open sessions will be terminated once the change is done.
  5. Click to Confirm

Take note of your changes, as they will be asked next time you access the system.

  You can edit your email address from My Profile only if your user is linked to a single property. If your email is used across multiple properties, Cloudbeds locks email edits from My Profile (you may not see the Edit option), so the email cannot be updated from this page.

Edit user password
  1. In your Account Details tab, click on Change Password
  2. The system will show a pop up with instructions to change your password with the password email that will be sent to the registered email address. Click on Reset to receive the password email

Your password must be strong and have the following security parameters:

  • At least 8 alphanumeric characters
  • At least 1 upper-case letter
  • At least 1 number
  • At least 1 special character
  • Can not be same as your email
  • Can not be same as the credit card password
  • Can not be the same as one of the 4 (four) previously used passwords

Profile - Cloudbeds Labs

Be part of the upcoming experimental features of your Cloudbeds PMS. Cloudbeds Labs offers you the possibility to test these features in your own account, and also customize your navigation experience based on your specific needs and requirements.

Testing experimental features allows users to offer and send us feedback, but note that it does not guarantee that the features will be fully implemented in Cloudbeds PMS.

Customize Landing

Select the sections that you would like to view in your default page by activating the toggle, selecting your preferred option from the drop-down menu, and then clicking to Try it:

Customize Top Menu Items

Select up to 5 items to be pinned in the top navigation bar of your user account. The selected items will automatically appear in the top menu. Keep in mind that these settings will only apply to your own user and it will not affect other users/staff members.

To change your items, simply click on Clear to remove the previous options and select your new ones.

FAQ

Why is my email address greyed out in My Profile?

If your email address is linked to more than one Cloudbeds property (multi-property access), the Email field in Account > My Profile may appear greyed out and the Save button may be disabled.

This is expected behavior. When the same login (email address) is shared across multiple properties, Cloudbeds blocks direct email changes to protect account access and data integrity.

  If your email is linked to multiple properties, it cannot be edited from My Profile. In these cases, the solution is to create a new user with the correct email and then disable the old user.

How can multi-property users change their email address?

If your email address is linked to multiple properties, you cannot “edit” the existing email. Instead, you must create a new user with the correct email address and then disable the old user.

The steps vary depending on whether the user is a regular user or the Property Owner, so follow the applicable option below.

Option 1: Regular users (non–Property Owner)

  1. Go to Account Account menu icon.png > Settings Settings icon.png > Users Users.png
  2. Click Add User.
  3. Enter the new email address, assign the correct role/permissions, and Save.
  4. Repeat this step for each property where the user needs access (unless the properties are managed under an Organization user flow).
  5. Once the new login works, disable the old user/email.

  Creating a new user is the only supported way to “change” the email for multi-property users. Cloudbeds does not allow overwriting an email address that is already tied to multiple properties.

Option 2: Property Owner users

If the user is the Property Owner, you must follow an ownership transfer process instead of editing the email address.

  1. Create a new user with the correct email address (as described above).
  2. Complete the ownership transfer from the old owner's email to the new owner's email by following the official ownership transfer process on the Users page.

  3. After the transfer is completed, the old owner user will no longer be the active owner.

  For Property Owner accounts, do not attempt to “edit” the owner email directly. Always create the new user first, then complete the ownership transfer using the official process.
