Manage your user in the My Profile page

Purpose Manage your Cloudbeds profile details, password, sign-in security, preferences, and Cloudbeds Labs settings.
Best for Cloudbeds PMS users updating their own profile and Property Owners helping multi-property users.
Use this when You need to change profile information, manage authentication methods, adjust personal navigation preferences, or resolve a locked email field.
Requirements Step-up authentication (10-minute post-login delay + MFA verification) for email address changes; user-management permissions for multi-property user replacement or ownership transfer.
Expected result Your profile and personal settings reflect the saved changes, or you know which administrator workflow applies.
Limitations My Profile does not control feature permissions. Email addresses linked to multiple properties cannot be edited directly from My Profile.

Introduction

My Profile contains the personal details and settings associated with your Cloudbeds PMS user, including your name, email address, password, application language, sign-in security, and Cloudbeds Labs preferences.

Profile settings affect only your user. Product access and permissions are managed separately by the Property Owner. Review the available profile areas first, then follow the workflow that matches the detail you need to change.

 Profile settings do not change permissions. Contact the Property Owner to request access changes. Review Users and Roles for more information.

Review the My Profile areas

Open My Profile from the Account Menu to review the settings available for your user. The profile includes these areas:

  • My info: Your name, email address, password options, and multi-factor authentication settings.
  • Preferences: Personal settings such as the application language.
  • Sign-in & security: Your enrolled verification methods and security controls.
  • Cloudbeds Labs: Experimental features and personal navigation options.

Edit your user information

Use the following workflows to change your name, email address, or password. Start each workflow from Account Menu -> My Profile.

Edit your first or last name

  1. Select the Account MenuAccount Menu.jpg
  2. Select My Profile.
  3. Select Edit in My info section
  4. Update your First name or Last name.
  5. Select Save.
  6. Confirm that the new name appears in your profile.

Edit your email address

  1. From the Account Menu -> My Profile -> My info, select Edit.
  2. Replace the current email address with the new email address.
  3. Select Save.
  4. Enter your current password when prompted. After the email address changes, Cloudbeds terminates your other open sessions.
  5. Select Confirm.
    ⚠️ Step-up authentication required. Changing your email address is a security-sensitive action. You must have been logged in for at least 10 minutes before this option becomes available, and you will be asked to verify with an existing MFA method before the change is saved. If the Save button appears inactive or the action is unavailable, wait a few minutes, refresh the page, and try again.

Use the new email address the next time you sign in.

 Single-property users only: You can edit the email address from My Profile only when the user is linked to one property. If the email is linked to multiple properties, follow the applicable workflow in How can multi-property users change their email address?

Change your password

  1. From the Account MenuAccount Menu.jpg-> My Profile -> Sign in & Security, select Reset login password.
  2. In the password-reset window, select Reset to send instructions to your registered email address.

Your password must meet all of these requirements:

  • At least 12 alphanumeric characters.
  • At least one uppercase letter.
  • At least one number.
  • At least one special character.
  • It cannot be the same as your email address.
  • It cannot be the same as the credit card password.
  • It cannot match any of the four previously used passwords.

 Suspected compromise: Change your password immediately if you entered it on an unfamiliar website or suspect unauthorized access. A password change terminates all other active sessions. Follow I Think My Account Has Been Compromised: Phishing Emergency Plan for the emergency response process.

Manage sign-in security

The Sign-in & security section contains your multi-factor authentication methods. Use it to review or change the methods associated with your account.

  • View all your enrolled verification methods, each displayed with a device label (for example, "MacBook Touch ID" or a masked phone number) so you can identify them individually
  • Add a verification method, including passkeys, security keys, and phone verification, without an administrator reset.
  • Add multiple passkeys or security keys and label them by device
  • Remove an individual method without affecting your other enrolled methods
  • Switch phone verification codes between SMS and WhatsApp delivery

Security controls that apply to this section:

  • Every change requires verifying with an existing enrolled method first
  • Actions are only available 10 minutes after logging in
  • You receive an email notification whenever a method is added or removed

 Super admin limitation: The Sign-in & security section is not visible to super admin users.

Configure Cloudbeds Labs

Cloudbeds Labs lets you test experimental Cloudbeds PMS features and customize parts of your personal navigation experience.

Testing an experimental feature lets you provide feedback, but does not guarantee that the feature will be fully implemented in Cloudbeds PMS.

Customize the landing page

Select the sections to display on your default page by activating the toggle, choosing an option from the drop-down menu, and selecting Try it.

Customize top menu items

Select up to five items to pin in the top navigation bar of your user account. The selected items will automatically appear in the top menu. Keep in mind that these settings will only apply to your own user and it will not affect other users/staff members.

To change your items, select Clear to remove the previous options and select your new ones.

Frequently asked questions

Use these answers when an email field is unavailable or a multi-property user needs a different sign-in email address.

Why is my email address greyed out in My Profile?

If your email address is linked to more than one Cloudbeds property (multi-property access), the Email field in Account > My Profile may appear greyed out and the Save button may be disabled.

This is expected behavior. When the same login (email address) is shared across multiple properties, Cloudbeds blocks direct email changes to protect account access and data integrity.

 If your email is linked to multiple properties, create a new user with the correct email address, and then disable the old user.

How can multi-property users change their email address?

If your email address is linked to multiple properties, you cannot edit the existing email. Instead, you must create a new user with the correct email address and then disable the old user.

The steps vary depending on whether the user is a regular user or the Property Owner, so follow the applicable option below.

Option 1: Regular users who are not Property Owners

  1. Go to Account Account menu icon.png > Settings Settings icon.png > Users Users.png
  2. Click Add User.
  3. Enter the new email address, assign the correct role/permissions, and Save.
  4. Repeat this step for each property where the user needs access (unless the properties are managed under an Organization user flow).
  5. Once the new login works, disable the old user/email.

 Do not overwrite the existing email. Creating a new user is the only supported way to change the email for a multi-property user.

Option 2: Property Owners

If the user is the Property Owner, you must follow an ownership transfer process instead of editing the email address.

  1. Create a new user with the correct email address (as described above).
  2. Complete the ownership transfer from the old owner's email to the new owner's email by following the official ownership transfer process on the Users page.   3. After the transfer is completed, the old owner user will no longer be the active owner.

 Property Owner accounts: Create the new user first, and then complete the ownership transfer. Do not edit the owner's email address directly.
