Housekeeping room conditions

Overview

The Housekeeping page of Cloudbeds PMS has different room conditions. This article explains how to identify and check each one of these room conditions (clean, dirty, inspected) for easier and more effective housekeeping management.

  • Inspected: A vacant room that has been cleaned by a housekeeper, and a supervisor has inspected its condition. It is ready to be occupied by new guests.
  • Clean: A vacant room that has been cleaned by a housekeeper is not yet ready for the new guests to occupy as it needs inspection or quality control.
  • Dirty: A room that is/was occupied, under maintenance, or simply not ready to receive new guests.

Important considerations

  • The Housekeeping feature must be enabled for the Inspection symbol to show up on the Calendar.
  • When assigning a room, you will see a few red asterisk signs * indicating whether it is occupied and dirty or clean.
  • The Inspected condition is not enabled by default; Property Owners and Administrators need to enable it in the Inspection Table settings.
  • Only Property Owners can enable the Role privilege to allow other users to set the condition to "Inspected" and confirm that the room has been cleaned and is ready for occupancy.

Room condition automations

  • Rooms will be marked as dirty as soon as the guest checks in.
  • If a guest is In-House, and gets either unassigned or reassigned to another room (including different room type), the system will mark the room to which it was initially assigned as "dirty" to avoid checking a guest into a dirty room.

Enable the Inspected condition in the Inspection table

  1. Click on the Main menu Main menu icon.png to go to the Housekeeping page Housekeeping.pngand go to the Settings in the Inspection table
  2. Check the Enable Inspected Room Condition box
  3. Save

  • Only Property Owners and Administrators have permission to enable the Inspected condition in the Housekeeping Settings.
  • Once this button is on, all users that have access to the Housekeeping page will have permission to update a room to the Inspected condition.
  • To see how to check the room's condition, visit this section (Frequently asked questions)

  • Can we still use the housekeeping function without enabling Inspection of the room?
We are a small hotel which does not have supervisor 24 hours. We allow each housekeeper to clean the room and inspect before they close the door.

  • Hello, Hyungki Kang!

It is possible to disable the Inspected condition in your Housekeeping settings on the PMS. Simply click on the three dots icon, click on Settings, uncheck the inspected condition box, and save your changes:

    Kind regards!

  • It would be really nice to have stayovers a different "dirty"color like yellow.

  • I’ve noticed that during night audit, our vacant and clean rooms are automatically being marked as dirty, which makes next-day room assignments a bit tricky. Ideally, we’d love for any room marked as “clean” to retain that status until a guest checks in.

We do occasionally leave rooms vacant/dirty on purpose, so having a clear distinction between those that are truly clean and those that aren’t is important for our team. Is there a way to adjust this setting or workflow so that clean rooms stay marked as such until they’re occupied?

    Appreciate your help!
