Connect Expedia to Cloudbeds PMS

Expedia Group is the parent company of more than 200 travel booking sites, including Hotels.com, Travelocity, Orbitz, and more. They attract millions of reservations per year for hundreds of thousands of properties worldwide. No other single connection point gives properties access to more brands and websites. Things to know before getting started

  • Before you begin the standard full connection process:
    • If you are opting for a full connection through Cloudbeds PMS, make sure you are not connected to another Channel Manager in Expedia before proceeding. 
    • If you want to connect through a third-party channel manager (SiteMinder, iHotelier, SynXis, etc.) to use only specific Cloudbeds Guest Communication tools, you can opt for a Custom Connection and follow the steps in this guide: Guest Messaging & Reviews for Airbnb and Expedia with Third-Party Channel Managers
  • Cloudbeds PMS currently supports Per-Day Pricing and Occupancy-Based Pricing* for Expedia:
    • The pricing model can only be set by your Expedia Market Manager.
    • If you do not have the correct model selected before connecting the channel manager, you will have to wait 48 hours to switch the option, which can delay your connection process.
    • *Occupancy-based pricing allows properties to set dynamic rates based on the number of guests staying in a room, providing greater pricing flexibility and optimization. Prices for adults and children can be set on base rate and rate plan levels and managed via the Availability Matrix.

Connect Expedia

Step 1 - Getting started

On the Distribution page,

  1. Open the Discover tab
  2. Search for Expedia and click on View channel

  1. If you have an account in Expedia, click to enable channel
  2. If you do not have an account in Expedia, click to create new account

Step 2 - Select Cloudbeds PMS as your system provider in Expedia's extranet

  1. Log in to your Expedia Extranet and click on Rooms and Rates
  2. Go to Connectivity Settings
  3. Select Cloudbeds in the drop-down on both options
  4. Click Save and Continue. A pop-up window will appear, asking you to confirm the action.

When you submit the connection request, the Expedia team will email the Cloudbeds Support team to confirm the connection. Once confirmed, the channel status will change to Ready for mapping in Cloudbeds, and you can proceed with Step 3.

You may send an email to support@cloudbeds.com to check the status of the channel.

Ensure you manage your Cloudbeds services from the Connectivity Settings page. Find the desired setting you want and click on Connect.

Perform a connectivity switch

If you are currently using a different provider with Expedia and want to switch to Cloudbeds, please follow these steps:

  1. Go to the provider you are currently using and click on Connected Services.
  2. Search for and select Cloudbeds as your new provider.
  3. Confirm the action by clicking on Change provider. After confirmation, you should see Cloudbeds listed among your providers.

Repeat this process as many times as necessary.

 If you're transitioning from your previous PMS to Cloudbeds, the Connectivity Settings may not be available. Contact Expedia to notify them that you are switching PMS systems and need the connectivity setting enabled in the Expedia extranet.

Step 3 - Start mapping Expedia in Cloudbeds PMS

On the Distribution Channels page, Expedia should be marked as ready for mapping.

  1. Click to complete mapping

 If you do not see Expedia status as Ready for Mapping, the connection is not ready yet.

  1. Login to your Expedia account.

  1. Map the room types created in Cloudbeds with their corresponding rooms in Expedia. A drop-down menu will display all the existing rooms in the channel's extranet.

  Do not map multiple rooms to one single room in Cloudbeds PMS or channel. The room mapping must be one-to-one.

  1. Rate Plan Mapping: Configure the rate plan(s) you want to sync between this system and Expedia. To ensure proper rate sync, you must map at least one rate plan per Channel Accommodation Type.

 For properties that have taxes & fees:

When creating rate plans on Expedia, the default setting of the tax & fee depends on your Acquire Rate Type. If your property has the Acquire Rate Type - Sell, any taxes and fees will be included in the rate. If your Acquire Rate Type is Net, the taxes and fees will not be included in the sell rates.

  1. Syncing Multiple Rate Plans with Expedia

    Cloudbeds allows you to synchronize multiple rate plans with Expedia, but this requires the Advanced Channel Rates feature to be enabled on your account. With this feature, you can map each of your Cloudbeds rate plans directly to a corresponding rate plan on Expedia, providing more flexibility in how you manage your pricing and availability.

    To set this up, follow these steps:

    1. Navigate to the Distribution section in your Cloudbeds account.
    2. Select Expedia and go to Rate Plan Mapping, then click "Configure".
    3. For each room type, you will need to map your Cloudbeds rate plans to the correct Expedia rate plans. For example:
    - Map your Cloudbeds "Standard" (or Base Rate) plan to the Expedia "STANDARD – SellRate $".
    - Map your Cloudbeds "Distribution" plan to the Expedia "Distribution – LowestAvailableRate".
    4. After assigning your rate plans, click Save and perform a "Full Refresh" to push the updated pricing and availability to Expedia.

    Once this process is complete, Expedia will display both of your rate plans with the values you have configured in Cloudbeds, eliminating the need for derived rates or complex rules within Expedia's system.

  2. Add Base Rate Adjustment for each room type, if needed. Click Continue when completed or if you want to skip this step.

  1. Extra settings: Currency
  • The currency selected must always match the default currency of your Expedia Extranet. Click Next when completed.

The mapping is complete.
