Introduction
Cloudbeds Reports include predefined fields, groupings, filters, and report logic. For properties using group functionality, group-related reports can help review reservations, allotment blocks, invoices, pickup, occupancy, revenue, rooming information, balances, and other group activity.
Reporting provides several ways to locate these reports depending on what you already know. The following sections explain how to find them, compare the available options, and understand the access required to open them.

Find group reports
Reporting supports different discovery paths depending on how specific your starting point is. Search from Home when you have a subject or keyword, browse the Groups folder when you already know you need a group-related report, or use Cloudbeds Intelligence Explore when you know the information you need but are unsure which report provides it.
Find reports from Home
Home is the main Reporting landing page. Use its search field when you know a subject or keyword, such as Group, but do not yet know which folder or report contains the information you need.
- From the Main Menu
, select Reporting
- Select Home.
- Enter a subject or keyword, such as Group, in the search field.
- Review the matching reports in their corresponding reporting areas and select the report that matches your goal.
The example below shows how a search for Group surfaces matching reports across Reporting, including reports organized under Groups.
Browse the Groups folder
If you already know that you need a group-related report, go directly to the Groups folder. This focused view displays group-related Cloudbeds Reports together with their Report Type and Description, making it easier to compare reports before opening one.
- From the Main Menu
, select Reporting
- Select Cloudbeds Reports.
- Under Folders, select Groups.
- Review the available reports, or use Search Reports, Report Types, or Tags to narrow the list.
Use the report title, report type, and description in the Groups folder to determine which report most closely matches the information you need.
Use Cloudbeds Intelligence Explore
If you know what information you want but are not sure which report provides it, use Cloudbeds Intelligence Explore. The tool lets you describe your reporting question and matches it with a relevant report, reducing the need to open and compare reports individually.
From Home or Cloudbeds Reports, select the Cloudbeds Intelligence Explore button to begin.
Choose a group report
The Groups folder organizes reports by subject, but the reports do not all use the same underlying data. The Report Type identifies the data used by a report and can differ depending on the question the report answers. For example, group-related reports can use Reservations, Groups and Events, Invoices, Occupancy, or Financial data.
Start with the reporting goal you are trying to answer. The following reports cover common group reservation, allotment, invoice, pickup, occupancy, and revenue workflows:

Additional useful group reports
Other reports available for group workflows focus on reservation balances, rooming information, in-house reservations, and group profile details. Use these when your question is more specific to individual reservations, balances, or room assignments:

If none of the report names clearly match your question, use Cloudbeds Intelligence Explore instead of opening reports one by one. Describe the information you need, then review the report suggested by the tool.
Report access and permissions
Reporting access and access to the data used by a report are controlled separately. The property owner has Reporting access by default. Other users need the appropriate Reporting privileges assigned to their role.
Each Cloudbeds Report is associated with one or more Report Types. A user can open a report only when their role includes Viewer permission for the required report type or report types. Because group-related reports can use Reservations, Groups and Events, Invoices, Occupancy, or Financial data, access can vary from one report to another even when the reports appear together under Groups.
Report availability also depends on the group management experience enabled for the property. Some properties use Groups, while others may use Groups and Events, the newer group management experience currently in limited release.
