Reporting Overview and Navigation

Purpose Understand how Reporting is organized in Cloudbeds, which areas may be available, and how Reporting differs from Cloudbeds Insights.
Best for Property owners, property admins, managers, front desk staff, and accounting or finance teams.
Use this when You are accessing Reporting for the first time, need help choosing the correct reporting area, or want to understand why another user or property sees different options.
Requirements Access to Cloudbeds PMS and a role with permission to access reports. Cloudbeds Insights and the appropriate dataset permission are required for report-building and workspace-management actions.
Expected result You can access Reporting, identify the available areas, and choose the correct report or Cloudbeds Insights workflow for your task.
Limitations Available tabs, reports, and actions depend on the property's products, configuration, and the user's assigned permissions.

Introduction

Reporting is the main area in Cloudbeds for accessing property and organization data. All customers can open and use reports provided by Cloudbeds. Additional report-building, customization, organization, and distribution capabilities are available through Cloudbeds Insights.

The tabs and actions visible in Reporting depend on your property's products and your assigned permissions. Use this overview to understand the available areas before moving to a task-specific report or guide.

Access Reporting

  1. Open the Main Menu Main Menu icon in the upper-left corner.
  2. Select Reporting Reporting menu icon

Reporting opens to the workspace and navigation options available for your property and user role. The animation below shows how to open Reporting from the Cloudbeds PMS dashboard.

  The property owner has reporting access by default. Other users must have the appropriate reporting privileges assigned to their role. To review staff access, see Role privileges.

Reporting areas

The Reporting navigation may include the following areas. Some areas appear only when the property has Cloudbeds Insights or when the user has the required permission.

Reporting area What it contains Availability
Home The main Reporting landing page and entry point to the reporting areas available for your property. Availability and displayed actions depend on the property's reporting access.
Cloudbeds Reports Reports provided by Cloudbeds with predefined fields, groupings, and filters. Use the search field and report categories to find a report for a specific operational or financial need. Available to all customers with reporting access.
Reports Reports created from scratch or copied from a Cloudbeds Report using Save As. Reports can be searched, tagged, and organized into folders. Cloudbeds Insights is required to create, copy, permanently edit, or organize reports. Available Viewer actions depend on assigned permissions.
Hubs Hubs created by your property or organization to display selected reports and visualizations together. Available according to the property's Cloudbeds Insights access and the user's permissions.
Subscriptions Scheduled report deliveries that run automatically and send report results to selected recipients. Available according to the property's Cloudbeds Insights access and the user's permissions.

The screenshot below shows the Reporting Home page for a property with Cloudbeds Insights. Use the navigation bar to access Home, Cloudbeds Reports, Reports, Hubs, and Subscriptions. The tabs and reports displayed may vary according to the property's features and the user's assigned permissions.

Reporting and Cloudbeds Insights

Reporting is available to all customers for opening and using reports. Cloudbeds Insights adds report-building and workspace-management capabilities.

  • Open and run Cloudbeds Reports.
  • Apply supported temporary filters and display changes.
  • Review report results.
  • Export reports when the user's permission includes export access.
  • Copy a Cloudbeds Report with Save As.
  • Create reports from scratch.
  • Add or remove fields, groupings, and filters.
  • Save permanent report changes.
  • Organize reports with folders and tags.
  • Create and manage Hubs.
  • Schedule supported report subscriptions.
  • Use supported multi-property reporting capabilities.

Cloudbeds Insights access alone does not determine every action a user can complete. Dataset permissions also control whether the user has Author or Viewer capabilities.

  • Author permission: Allows the user to create, copy, permanently customize, save, and organize reports.
  • Viewer permission: Allows the user to open reports and complete supported viewing, filtering, exporting, and subscription actions without saving permanent structural changes.

  A user may see fewer tabs or actions than another user at the same property when their assigned permissions are different.

Reporting terms

The following terms are used throughout the Reporting and Cloudbeds Insights articles:

Term Meaning
Reporting The general Cloudbeds area used to access reports and reporting tools.
Report A structured view of property or organization data based on selected fields, groupings, filters, and display settings.
Cloudbeds Report A report provided by Cloudbeds with predefined fields, groupings, filters, and report logic. All customers with reporting access can use Cloudbeds Reports.
Report type The foundational dataset that determines which fields, filters, and report configuration options are available.
Custom report A report created from scratch or copied from a Cloudbeds Report using Save As by a Cloudbeds Insights user. These reports are stored on the Reports tab and can be permanently customized, saved, tagged, and organized into folders.
Saved report An interface label that may still appear in selected workflows, such as when adding a table to an Insights Hub. In this context, it refers to a custom report stored on the Reports tab rather than to a separate report type.
Cloudbeds Insights Paid reporting capabilities used to create, copy, permanently customize, organize, and distribute reports.

Choose the correct reporting area

Start with the area that matches what you need to accomplish:

  • To open a report provided by Cloudbeds, go to Home or Cloudbeds Reports.
  • To find a report created or copied for your property, go to Reports.
  • To view multiple reports and visualizations together, open Hubs.
  • To review scheduled report deliveries, go to Subscriptions.
  • To search for a report by describing the information you need, use Cloudbeds Intelligence Explore, available through Home or Cloudbeds Reports.

Use the navigation tabs shown below to move between the main reporting areas covered in this overview.

  Some properties may see an additional Cloudbeds Hubs tab in the Reporting navigation. Because its availability and content can vary by property, it is not covered in this overview.
