Cloudbeds Payments - How to Connect Your Terminal to Cloudbeds PMS

Overview

Cloudbeds Payments is the only solution that offers a card-present terminal fully integrated with our platform that automatically records a sale after purchase. The terminals allow you to tap, dip and chip, or swipe all major credit cards: Visa, Mastercard, American Express, and Discover.

This article will show you how to connect your Cloudbeds Payments Terminal to Cloudbeds PMS. The terminal is BBPOS WisePOS E.

Before getting started

  1. To avoid any errors when processing terminal transactions, ensure you are using Google DNS. Learn more: How to Update the DNS of the network
  2. For properties in Germany, you may want to see: My property is in Germany, do I need to register my terminal with the tax office?
  3. Contactless payments (Apple Pay, Google Pay, Samsung Pay) can only be processed via a Cloudbeds terminal. It is not possible to accept them through mybookings booking engine.
  4. NFC payments support is enabled, out of the box. When a payment is initiated via the terminal on Cloudbeds PMS, your guest should be able to present a contactless card/mobile device for payment. No additional setup is required.

Step 1 - Set up your terminal

  1. Install the battery
    • Pull out the battery door from the bottom left corner, then insert the battery by sliding it into the exposed slot and closing the battery door.
  2. Charge the reader
    • Connect the reader to power by plugging the provided cable into the port with the lightning bolt symbol.
  3. Turn the screen on
    • Once charged, hold down the power button on the right-hand side until the screen turns on. Once the device is powered on, pressing the power button once will sleep and wake the device. Hold down the power button to fully power off the device until the power off option is shown on the screen, then select it.

Even when not used, leave the BBPOS WisePOS E plugged in and powered on to receive automatic software updates.

Step 2 - Connect your terminal to the internet

You can connect your terminal to the internet via WiFi or Ethernet. Using Ethernet connectivity requires an optional dock. See more information: Ethernet

The Cloudbeds system needs to be on the same network as the terminal to communicate with one another.

WiFi

Your WiFi network must use WPA-Personal or WPA2-Personal encryption and be password protected. Non-password-protected networks or enterprise networks are not supported.

Follow the steps connecting to the WiFi:

  1. Swipe right from the left edge of the reader screen to open the Settings menu.
  2. Tap the Settings button.
  3. Enter the admin pin 07139.
  4. Select Wi-Fi Settings, which will display the available Wi-Fi network list. Choose your network and connect.
  5. To close the settings, click the back arrow in the top left corner.

Ethernet

You can connect the WisePOS E reader to the internet via Ethernet using an Ethernet Dock.

The BBPOS WisePOS E Dock provides hardwired ethernet connectivity and keeps your smart reader fully charged for all-day use with the included USB-C to USB-A charging cable. It features a 10/100 Ethernet port, rubber feet for stable countertop usage, and is designed for easy docking and undocking using the pins on the back of the reader.

Step 3 - Activate your device

  1. Click Account Account menu.png
  2. Go to Settings Settings.png
  3. Select Payments Payments icon.png
  4. Click the Accept Card-Present Payments tab
  5. Switch the toggle ON to activate
  6. Under Terminals, click Add.

If you do not have the Accept Card-Present Payments tab under the payment options, contact us.

A window will open, and depending on the configuration of your Cloudbeds Payments, you will be asked to enter the terminal serial number or a unique registration code. Check below:

Registration Code

  1. Give your device a Label.
    • Example: “Front Desk” or “Computer 1”
  2. On your device, enter the code 07139 on the keypad.
    • Take the three-word code from the terminal and enter it in your Cloudbeds software under registration code
    • Make sure to include the hyphens.
  3. Click Save.

Frequently Asked Questions

My property is in Germany. Do I need to register my terminal with the tax office?

No, you do not need to register Cloudbeds Payments terminals with the tax office since our terminals are not standalone. Only standalone terminals are required to be registered with the tax office in Germany.

What is a standalone terminal?

A standalone terminal does not require an external system to be activated to collect a payment. On the other hand, the Cloudbeds Payments terminal requires our system to send an activation signal for it to work.

I see an “Internal Server Error” when enabling card-present payments. What should I do?

This message will appear when your property profile leaves the “State” field blank. Once a state is added, you can proceed with the activation.

I see the error “Could not connect to the reader” when processing a transaction. What should I do?

This error will appear when the device that initiated the transaction and the terminal cannot communicate as expected. The two most common causes are:

1. The device initiating the transaction and the terminal are not connected to the same Wi-Fi network. For the communication to happen, both the terminal and the device need to be on the same subnet. Connecting both devices to the same network is the most easily achieved way to achieve this.

2. A DNS error is preventing communication with the terminal. This can be solved by updating the DNS of your network to a public address. For a detailed guide, see this article.
