This article outlines the procedure for accessing and utilizing the Comparison Formula to support data-driven business decisions.
Overview
- Cloudbeds Insights provides a Comparison Formula function accessible within report comparison mode. This function facilitates the quantification of changes in business metrics over time.
- While Comparison Mode enables side-by-side viewing of attributes across time periods, the Comparison Formula allows for the measurement of the actual change between these values.
- This functionality addresses critical analytical needs such as assessing year-over-year revenue changes for Items & Services, tracking increases or decreases in Average Daily Rate (ADR), or evaluating daily room pickup variations.
Prerequisites:
✔ Cloudbeds Insights must be enabled for your account. Properties with paid Insights licenses are authorized to create custom reports utilizing this feature.
✔ Appropriate permissions within Roles are required to access Cloudbeds Insights and create reports. By default, the property owner possesses access.
✔ The Comparison Formula is functional only when Comparison Mode is enabled for a report.
How to use the Comparison Formula
Step 1 - Create a New Comparison Report
First, you need to set up a new report with Comparison Mode enabled.
- Go to Menu
> Reporting
> Click Add Report.
- In the "New Report" window, select a Report Type. For this example, choose Financial.
- Enter a Report Name, like "Comparison".
- Check the box to Enable comparison mode.
- Click Create.
If you’ve already created a comparison report before, you can skip the setup steps and simply open it from your Saved Reports.
Step 2 - Configure the Comparison Periods
Next, define the time periods you want to compare. In this example, we will set up a year-over-year comparison.
- In the report builder, click the Period Comparison Mode button
- In the left-hand panel, find the Select Data Field and choose "Service Date" from the dropdown menu.
- Under Compare Periods by, select Year(s).
The system will default to three periods: "Last year," "This year," and "Next year." - Click Edit in the "Periods" section.
- To create a clean year-over-year report, edit the period as follows:
- Edit "Last year" → change the date range to "This year", click Confirm.
- Edit the second period → change the date range to "Last year", click Confirm.
- Edit the third period → click Delete.
- Click the main Apply button at the bottom.
- Click Save.
Step 3 - Add and Configure the Comparison Formula
Now, you can add a custom column that will calculate the difference between the two periods.
- In the report builder, click the Period Comparison Mode button
- Click the + Add button under "Periods" and select Comparative range.
- In the "Add comparative range" window, name it YOY Change, set "Show range after" to This year, and click Confirm.
- A new section called "YOY Change" will appear. Click + Add Column within this section.
- In the "Add column" window, configure the following:
- Column name: YOY Change
- Format: Number
- Metric A: set the Data field to Transaction Amount, the Metric to sum, and the Base range to This year.
- Click the Add button and configure Metric B: set the Data field to Transaction Amount, the Metric to sum, and the Base range to Last year.
- Use the buttons to create the expression "A - B" in the formula box.
- Click Confirm.
- Click Apply to preview the new "YOY Change" column, which shows the calculated difference between this year's and last year's transaction amounts.
- Click Save to finalize your report.
Frequently Asked Questions
Why can’t I create a report with the Comparison Formula?
If the Add Report option is not visible or you’re unable to create a report, it may be due to one of the following reasons:
- Cloudbeds Insights is not enabled for your account.
- Your user role does not have the required role permissions to access Insights.

Can I use the Comparison Formula without an Insights subscription?
Yes. Even if your property doesn’t have a paid Insights license, you can still take advantage of the Comparison Formula through a selection of predefined Stock Reports.
While you won’t be able to build custom reports without Insights, the Comparison Formula will still appear in any supported stock reports.
The following reports will include the Comparison Formula functionality:
- Daily Pickup – located under Reporting > Cloudbeds Reports > Occupancy
- Pace with YOY Change – located under Reporting > Cloudbeds Reports > Occupancy
- Revenue Comparison by Source – YOY – located under Reporting > Cloudbeds Reports > Financial
- Revenue Comparison – YOY – located under Reporting > Cloudbeds Reports > Financial
Note: These are example reports that currently support the Comparison Formula — more may be added over time.
