Introduction
Payment processing enabled in Cloudbeds PMS automates payment transactions between you and the guest. It allows you to process, verify, and accept or decline card transactions on behalf of the merchant through secure Internet connections.
Processing payments through Cloudbeds PMS is only available for customers with Payment Processing enabled and correctly connected.
- Review the Payment Processing overview for more information about this functionality.
- If the payment was already processed outside Cloudbeds PMS, learn how to add a payment as a record without processing it (an offline payment).
Online and offline payments
Online payments move money through the payment gateway. Offline payments only add an entry to the folio and do not move any money.
Wording update: We are renaming some labels in the folio and payments portal. Credit card is now Card, processing a payment is now Online, and recording a payment is now Offline. While this update rolls out, you may still see the previous labels in your account. The steps are the same.
- The date of an online payment can only be the current date. It cannot be set to the past or future, even when Post with current date and time is unchecked.
- This functionality does not work with cash payments.

Process a payment through a payment gateway
Expand the option that matches where you want to start: use Add Payment from the folio, or authorize and capture a payment from the Cards tab.
Option 1: Use Add Payment from the folio
- Search for the reservation and click Folio.
-
Open the folio you want to add the payment to.
- Click +Add and select Payment.
In the new window:
- Select which guest you want to assign the payment to.
- Select which folio the payment should be added to.
- Enter the payment amount. By default, this is the balance due, but you can edit it.
- Select Payment Type > Card.
- Select Card x(last 4 digit numbers of the card) if the card details are already entered on the Cards tab.
- Alternatively, select + Add new card and enter a new card in step 10.
If you use Cloudbeds Payments, you can also send a payment link to collect the payment. See Cloudbeds Payments - How to Send a Payment Link (Pay-by-Link).
- Select the payment type:
- Online Payment: Processes the payment from the guest's card through the payment gateway immediately.
- Online Authorization: Holds an amount on the guest's card, which can be charged later on the Cards tab.
- Offline Payment: Adds a payment record to the folio without processing a payment through the gateway. Use this when the payment has already been processed through an external system.
Offline: This will add a payment entry to the folio, but the card will not be charged. To charge the card, add an online payment.
- Choose any of these options that apply:
- Post with current date and time: When checked, the current date and time are posted for the transaction when you click Continue. You can uncheck this when adding a transaction for the past. This does not change the date of an online payment, which is always the current date.
- Enter and store card details: Check this box if you are using a card whose details are not already in the system.
- Enter the card information if you selected + Add new card in step 7.
- Enter notes.
- If this functionality is enabled, you can allocate the payment to a specific revenue item or invoice. This allows you to generate an Allocated Receipt immediately after processing the payment. See the Receipts and Payment Allocation Guide.
- Click Continue.
Option 2: Use the Cards tab
- Open the reservation and click Cards.
- Click +Add Card.
If you have already entered the card details, or the reservation was imported with card details, select the card and continue to step 4.
- Enter the card details and click Save.
- Mark the card as active to be able to process it.
- Select a card type.
- Enter the cardholder's name.
- Enter the card number.
- Select the expiration date.
- Enter the CVV if needed.
- Click the card on the left, then click the blue Authorize button.
- Enter the amount to authorize (hold) on the guest's card, then click Authorize.
Now you can:
- Authorize another amount.
- Capture the total authorized amount to add the payment and charge the guest's card.
- Void the authorization.
For more information, see How to Authorize a Card With The Payment Gateway Feature.
When you select Capture, you can enter the amount to charge. By default, this is the authorized amount.
If this functionality is enabled, you can allocate the payment to a specific revenue item. See Payment Allocation.
Review the payment in the folio
The payment appears in the Folio. For an online payment, the Type field indicates that the payment was processed by the gateway. A gear icon provides the option to refund the payment through the gateway.
The new Online and Offline wording applies to the buttons and options you see when you add a payment or refund. Folio transaction descriptions and reports keep the same wording as before. For example, an offline refund still appears as a recorded refund in the folio.
For refund instructions, see How to Process Refund Through Payment Gateway.
When you refund a payment, select the refund type:
- Online: Sends a real refund to the card on file through the payment gateway.
- Offline: Adds a refund entry to the folio without sending money to the card.
Offline: This will add a refund entry to the folio, but it will not send money to the card. To send a real refund to the card on file, do an online refund.
Receipts and payment allocation
After a payment is successfully processed, you can generate a receipt as proof of payment. Expand the section below to review receipt types.
To use Allocated Receipts, first enable Payment Allocation in your System Preferences.
Receipt types and Payment Allocation
Cloudbeds supports two types of receipts:
- Simple Receipts: Confirm that a payment was received without linking it to specific line items.
- Allocated Receipts: Match the payment to specific folio charges, such as Room Revenue or Taxes, ensuring clear accounting and preventing double-billing.
For instructions on enabling these settings and generating documents for guests, see the Receipts and Payment Allocation Guide.
Next Operational Step
After processing the payment, review its entry in the reservation folio. If you need to provide proof of payment, follow the Receipts and Payment Allocation Guide to generate a receipt.
