Our system automatically identifies and merges duplicate guest profiles, eliminating redundant entries and creating a unified profile for each guest. This ensures that you have the most accurate and up-to-date information at your fingertips.
Key Features and Benefits
- Automated Process: The deduplication process runs automatically once nightly at 2:00 AM UTC, ensuring your data is consistently cleaned and organized.
- Case-Insensitive Matching: The system is not affected by uppercase or lowercase variations in guest information, ensuring accurate matching regardless of input format.
- Reduced Data Redundancy: Eliminate duplicate profiles and create a unified view of each guest.
- Improved Data Accuracy: Ensure that your guest data is accurate and up-to-date.
- Enhanced Personalization: With clean and accurate data, you can provide more personalized experiences to your guests.
- Simplified Operations: Streamline your operations and reduce the time spent managing guest data.
How Does It Work?
Our deduplication process combines two powerful matching techniques:
- Fuzzy Matching: This intelligent approach uses algorithms that understand variations in guest information. For example, it recognizes that "John Smith" and "Jon Smith" are likely the same person, even with slight spelling differences. It also accounts for addresses, phone numbers, and email addresses variations. This flexibility helps us identify potential duplicates that strict, exact-match systems might miss.
-
Deterministic Matching: This method uses strict rules to identify clear-cut matches. For instance, if two profiles have identical first names, last names, and email addresses, they are automatically flagged as duplicates. This approach ensures accuracy and minimizes false positives.
Combining these two techniques, our system balances capturing potential duplicates and maintaining data accuracy.
What Information is Used for Matching?
Our system analyzes the following key fields to identify potential duplicates:
- First Name
- Last Name
- Phone Number
- Email Address
- Country
- Address
Why is Deduplication Important?
Duplicates can lead to:
- Inaccurate reporting and analysis.
- Ineffective marketing campaigns.
- Poor guest experiences.
- Increased operational inefficiencies.
Our automated deduplication system helps you avoid these issues and ensures you have the most accurate and reliable guest data.
Comments
In addition to this, we also need to be able to merge some guests manually due to name changes, email changes, phone number changes, etc. There are some things that need a human touch! I am extremely unhappy that your 'improvements' have made the system not work as well for us.
Hello, Teresa Robinson,
We truly appreciate your honest feedback and improvement suggestions about the Guest Profile Merge feature.
Please note that this suggestion is already in our team's radar for review and possible consideration.
Regards,
The deduplication process has not worked in WEEKS. I have several guests who have 6-7 profiles in the system. Instead of making the profile the "parent" record and the reservation the "child" the system is making the reservation the "parent" record so each reservation for a returning guest is creating a new profile. It's very difficult to look at a guest's historical data. When will this be fixed? This is an awful process and should NOT have been changed. We should have the ability to manually merge guests.
Hello, Jeni Janis,
Thank you very much for your honest feedback about the Guest Merge feature.
Our Product Team is aware of this improvement to bring the feature back to the PMS, and we have previously escalated all the corresponding details. We understand the importance of having an easy tool for manually merging guests in the platform. We have already linked your particular feedback to this active escalation, so the team can review it as well.
Thank you for your follow-up and for your patience as we work on this.
