How to connect and use Spain Police Report (SES.HOSPEDAJES)

  • SES.HOSPEDAJES is the platform from the Secretaría de Estado de Seguridad de España replaced the police reports on October 1st, 2024.
  • The app creates two reports: Partes de Viajeros and Reservas de Hospedajes.
  • Cloudbeds provides this free integration to SES.HOSPEDAJES for customers in the Spain region.

Things you should know before getting started

  The query is limited to check-ins and check-outs from the previous day and runs shortly after midnight. For more details, refer to the How to use section.

  At the moment, the app doesn't send the reports automatically. You must manually download the previous day's reports from the Documents page and upload them each day. We expect to resolve this issue by the first quarter of 2025. For more details, refer to the How to use section.

  The app currently uses "Otro" as the payment method for all reservations. We anticipate fixing this issue by the end of the last quarter 2024.

  If your property is part of an organization, only a Property-level user with Marketplace permissions can download the integration.

  1. Connect the Spain - Police Report (SES.HOSPEDAJES) app in the Marketplace: How to Connect an App to Cloudbeds PMS.
  2. If prompted, select the property to which you want to connect the app.

  Organization owners are unable to download this app from the Marketplace. Even if they change their user role to Property Owner using the multiprop dropdown, they will encounter an error message indicating that properties from organizations cannot download the app. To resolve this issue, you need a Property-level user with marketplace permissions to download the app.

  1. Allow Access to the listed items when prompted.

  1. During the connection process, the App will create three new Custom Fields that you can check in the Settings Settings icon.png-> Guests -> Custom Fields section.

These will be displayed as Additional Information in the guest details and can be completed anytime.

  1. Once the connection process has finished, you will be redirected to the Connected Apps section. Go to the App page.

  2. Click Settings

  1. Fill in all the information fields.
  2. In the Solamente reservas directas en Reservas de Hospedaje field, select if you want to report only direct reservations or all reservations.
  • By setting , your reports will only include reservations from Primary Sources.
  • By setting No, your reports will also include reservations from Third Party Sources.
  • We suggest checking local regulations to assess which reservations you must report.
  1. Click Submit

 Clicking Submit won’t trigger any visual behaviors, but the information will have been saved after you click. Don’t hesitate to click once or twice.

After enabling the integration, the app is set to generate reports, but it is not yet ready to send them. Continue reading to learn how to use it.

  The government requires various details from guests for the report, which you will find below. If your property has been using guest detail fields for different purposes—such as using a guest's address for invoicing a company instead of for the actual guest's address—we recommend adding custom fields. This will allow you to include any additional information necessary for a guest or a reservation.

  1. For the Spain Police Report, the reservation details must have all mandatory fields filled in.

The following fields are required for all guests:

    • Guest First Name
    • Guest Last Name
    • Date of Birth
    • Guest Address Street Address
    • Guest Address Country
    • Guest Address ZIP/Postal Code

If the Guest's Address Country is Spain:

    • Código Municipio (SES) (Additional Information/Custom Field)

  It must be copied from this Códigos de Municipios list.

If the Guest's Address Country is not Spain:

    • Guest Address City

The following fields are required for adults (>18):

    • Guest Document Type
    • Guest Document Number
    • Guest Document Issuing Country

The following field is required for minors (<18):

    • Parentesco (SES) (Additional Information/Custom Field)

  It must be copied from this Parentescos list.

The following field is required for adults (>18) with Guest Document Issuing Country in Spain:

    • Soporte Doc. (SES) (Additional Information/Custom Field)

  If the Type of document is a Residence permit, populate the Document Issuing Country field with the guest's nationality, not the issuing country. For example, a Moroccan national with a residence permit issued by Spain should have the field populated with Morocco.

  1. How to fill the Código Municipio (SES) and Parentesco (SES) fields.

As mentioned above, if the guest's address Country is "Spain," the additional field "Código Municipio (SES)" is required. The values must be used exactly as listed here.

    1. Go to the link
    2. Find the code and click the Copy button 
    3. Paste it in its corresponding additional field in the reservation

The app automatically generates two reports daily at 01:00 UTC and uploads them to your property's documents.

One report is Partes de Viajeros, for which we already listed the required guest details.

The other report is Reservas de Hospedajes, for which the required guest details are:

  • First Name
  • Last Name
  • At least one phone number, cell phone number, or email is needed.

  Both reports will be uploaded to the properties daily. If you're unsure how to download the reports, follow the instructions in the section below.

  1. You must download the reports from the Documents page and use the "Carga Masiva" (bulk upload) feature to upload them to SES.HOSPEDAJES for each report your property needs to submit.

  1. Go to the Main MenuMain menu.pngand click on Documents Documents icon.png
  2. Search for the desired file in the Documents list and click the Documents icon.pngicon to download the report.

  1. Login to SES.HOSPEDAJES portal and upload the reports.

 If a guest doesn't have the required details to generate a report, the report generation will fail.

 The report won't be created when there are no check-ins.

  1. If an error occurs during the report generation process, it will be logged as Application Errors in the Activity log. Follow these instructions to review the errors:

  1. From your Account Account menu icon.png, click on Settings Settings icon.png
  2. Go to Logs
  3. On the Change Made filter, click API and Apps, select the Application Error option, and click Apply.

  1. Go over the Activity Log history and click the (+) sign to open the error details. The system will provide the Entity ID or Reservation Number in the "Changes" column.

  1. Review and correct the reservations presenting errors.

 You must double-check that all guests have all the required information.

  1. Contact our Support Team to regenerate the reports that were not created before due to the error.
