This article explains how the SES.HOSPEDAJES integration works in daily use: which guest details are required, how each reporting method operates, and how to diagnose and resolve the most common issues.
To connect the app, first complete the steps in How to connect Spain Police Report (SES.HOSPEDAJES).
Required Guest Details
SES.HOSPEDAJES requires that certain guest fields be complete to report newly created reservations, depending on the report type and guest nationality:
Reservas de Hospedajes report — All guests
- First name
- Last name
- At least one contact method: phone, mobile, or email
Partes de Viajeros report — Spanish guests
- First name
- Last name
- Birthdate
- Municipality
- Street address
- ZIP/Postal code
- Country
- At least one contact method: phone, mobile, or email
- Document issuing country (only required for guests over 14 years of age)
- Document type (only required for guests over 14 years of age)
- Document number (only required for guests over 14 years of age)
- Document number 2 — Soporte Documento (only for guests over 14 and only if the document type is Identity Card/NIF)
- Kinship (only required for guests under 18 years of age)
Partes de Viajeros report — Foreign guests
- First name
- Last name
- Birthdate
- City
- Street address
- ZIP/Postal code
- Country
- At least one contact method: phone, mobile, or email
- Document issuing country
- Document type
- Document number
- Kinship (only required for guests under 18 years of age)
These fields are not enforced at the moment of reservation creation; they become mandatory when you edit guest details. Use the Guest Information → Spain template to capture SES.HOSPEDAJES-compliant fields.
Reporting Methods
Once your guest details meet the requirements above, the integration delivers reports using the reporting method you configured during connection. The integration supports two workflows: Carga Masiva (manual upload) and Servicio Web (automatic sending). The sections below explain how each one works in daily operations.
Carga Masiva (manual upload)
- Go to Account Menu → Utilities → Documents.

Locate the XML files generated at 01:00 for the configured report(s) and download them.
- Upload them manually via the SES.HOSPEDAJES Portal by following the instructions provided by SES.HOSPEDAJES.
Servicio Web (automatic sending)
Select Servicio Web in the app settings and enter the required credentials (Código de Arrendador, Usuario, Contraseña). The integration then monitors reservation creation and status changes, as well as edits to guest details. When all mandatory fields for the relevant report are present, it validates the data, connects to the SES.HOSPEDAJES Web Service, and submits the report automatically. A copy of the generated file is kept in Utilities → Documents for your records.
Troubleshooting
If a report is missing or an automatic submission fails, use the steps below to confirm configuration, identify data gaps, and retry with corrected information.
- Go to Account Menu
→ Utilities
→ Integration Sync.
- Review the most recent error entries reported by the SES.HOSPEDAJES integration.
- Open an entry to identify the reservation or guest with missing/invalid data, then correct it in the PMS.
If a guest doesn't have the required details to generate a report, the report generation will fail.
Reports are generated only for dates with check-ins. If none occurred, generation is skipped by design.
Frequently Asked Questions
What happens after I correct a guest’s information?
It depends on the reporting method selected in the app settings:
- Servicio Web: once all required fields are complete, the integration submits the corresponding report automatically on the next update event (for example, when the reservation status changes or you edit guest details).
- Carga Masiva: corrections are reflected in the next daily export generated at 01:00 and placed in Utilities → Documents. You must upload the regenerated files in the SES.HOSPEDAJES portal.
How do I configure the integration to use “Carga Masiva”?
To use this reporting method, go to Account Menu → App’s & Marketplace → Connected Apps tab → App Page → Settings and:
- Select which reports need to be generated.
- Ensure your establishment code is set.
- If you’ve enabled Reservas de Hospedaje, select which reservations should be added to Reservas de Hospedajes.
- Select the reporting method called Carga Masiva.
- Save these settings and the integration will issue these values.

Why do reports show the payment method as “OTRO”?
The integration currently can’t access all the required details to fetch the payment type from the property. As a result, the app uses “OTRO” as the payment method for all reservations. A fix is planned for Q4 2025.
If I collect guest data and signatures in Chekin or Cloudbeds Guest Experience, is that enough for SES.HOSPEDAJES?
No. Tools like Chekin and Cloudbeds Guest Experience can collect guest registration information and signatures, and they can send many of those details into Cloudbeds PMS. However, they do not generate or submit SES.HOSPEDAJES reports.
Only the Spain – Police Report (SES.HOSPEDAJES) app creates the official Partes de Viajeros and Reservas de Hospedajes reports based on the data stored in Cloudbeds PMS. To ensure reports are created correctly, make sure:
- The SES.HOSPEDAJES app is connected and configured, and
- All required SES.HOSPEDAJES guest fields are complete in the Cloudbeds PMS guest profile, including any fields that are not collected by your online check-in tool.
How should I handle signed registration cards (Parte de Viajeros)?
The signed Parte de Viajeros (registration card) is a requirement that is separate from the SES.HOSPEDAJES electronic reports.
The SES.HOSPEDAJES integration sends guest data needed for the Partes de Viajeros and Reservas de Hospedajes reports but does not upload PDFs, images, or scanned signatures. Guests must still sign a registration card (on paper or electronically), and your property is responsible for keeping those signed records on file in case they are requested by the authorities during an inspection.
You can store signed registration cards physically (on paper) or digitally using a tool such as Cloudbeds Guest Experience or Chekin. These records are kept at the property level and are not submitted through SES.HOSPEDAJES via the Cloudbeds integration.
⚠️ Compatibility Limitations with Cloudbeds Guest Experience (formerly Whistle)
The Cloudbeds Guest Experience platform (formerly Whistle) is not fully compatible with the SES Hospedajes integration.
Cloudbeds Guest Experience does not currently collect certain guest details required for Spain’s police report, including Last Name 2, Municipality Code, Parentesco, and Soporte Document. These fields must be entered manually in Cloudbeds PMS to ensure the SES Hospedajes reports are generated correctly.
