Introduction
The Reservations Page in Cloudbeds PMS provides a central workspace for finding and managing reservation records. You can search and filter the list, choose which information appears in the Reservation table, perform supported bulk actions, and export reservation data.
Use the sections below to access the page, configure the view for your workflow, assign Tags to multiple reservations, and export the reservation information you need.
Table of contents
- Access the Reservations Page
- Navigate and configure the Reservations Page
- Assign Tags to multiple reservations
- Export reservations
Access the Reservations Page
Open the Reservations Page from the Cloudbeds PMS Main Menu to review and manage reservation records for the current property.
- Click the Main Menu
- Select Reservations
- The Reservations Page opens with the Reservation table and available navigation controls.
If the classic Reservations Page opens first, use Switch to new to open the new experience. From the new page, select Switch to classic to return to the classic version. This switch is temporary and will no longer be available once the classic version is phased out.
The example below shows where to open Reservations and how the new Reservations Page appears after it loads.
Navigate and configure the Reservations Page
The Reservations Page includes search, filtering, table configuration, header actions, and bulk actions. Expand the section that matches the part of the page you want to use.
Search reservations and use page actions
From the Main Menu , open Reservations
to access the available page controls.
- Switch to classic: Temporarily switch between the new and classic Reservations Page experiences.
- Header options: Use the available controls for Reservation Import, exporting reservations, and printing reservations.
- Search bar: Search by first name, last name, reservation number, email, or phone number.
The numbered areas below show the page switch, header actions, and Reservation search.
When you select one or more reservation records, use Bulk Action to perform supported actions on the selected reservations, including assigning Reservation Tags.
Filter the Reservations list
From the Main Menu , open Reservations
when you need to narrow the records shown in the Reservation table.
- Click the Filter
control to open the Filter drawer.
- Turn filters on or off and select the applicable filter values. Enabled filters appear above the Reservation table and can also be adjusted directly from the page. Select the X on an applied filter to remove it, or use Reset Filters to clear the applied filters.
- Click Apply to update the Reservation table.
The Reservations Page remembers the filters used most recently and keeps them when you reload the page.
The Filter drawer lets you enable the fields you want to use, choose their values, and apply them to the Reservations list.
Choose and reorder Reservation table columns
From the Main Menu , open Reservations
to choose which information appears in your Reservation table.
- Click the Configure Reservation Table icon
- Open Column to display and choose which columns should appear in the table.
- Drag and drop the selected columns to change their order.
- Click Apply to save the configuration.
The table configuration control is located above the right side of the Reservation table.
Use the configuration drawer to select the displayed columns, reorder them, and save the updated table layout.
The Date Booked column is sorted newest to oldest by default.
To review Reservation Tags directly in the table, include the Tags column in your Reservation table configuration.
Assign Tags to multiple reservations
Use Assign tags when several reservations need the same Reservation Tags. This bulk action lets you update the selected reservations from the Reservations Page instead of opening each reservation individually.
- From the Main Menu
, open Reservations
- Select the reservations you want to update.
- Click Bulk Action and select Assign tags.
- In the Bulk assign tags window, search for and select one or more Reservation Tags.
- Click Save.
The bulk Tag window lets you choose the Tags that should be applied to the selected reservations.
After the update is complete, the selected Tags are applied to each reservation that can be updated. When the Tags column is visible, you can review the assigned Reservation Tags directly in the Reservations list.
If any reservations cannot be updated, review the failed records and use Retry to retry those reservations.
For Tag setup, required permissions, available Reservation Tags, bulk assignment limits, and additional behavior, see Tags - Everything you need to know.
Export reservations
Export reservation records when you need a spreadsheet containing selected reservation details. The export workflow lets you choose both the records and the columns included in the resulting Microsoft Excel file.
- From the Main Menu
, open Reservations
, then click the Export Reservations icon in the header.
The Export Reservations control appears in the page header.
- Select the filters to apply to the export, if needed. Available options include search criteria, date booked, check-in date, check-out date, stay date, status, room type, source, and other available filters. Click Next.
The Filters step controls which reservation records are included in the export.
- Choose the columns to include in the export. Move fields between Available Columns and Selected Columns, reorder them as needed, and click Next.
Use the Columns step to control which reservation fields appear in the exported spreadsheet and their order.
- Review the selected columns and active filters on the Confirm step. When ready, click Export Reservations.
The Confirm step summarizes the export settings before the file is generated.
- The export begins generating. You can close the window while the file is being prepared. The file downloads automatically when it is ready.
The Download step confirms that the reservation export is being generated.
- Open the downloaded .xlsx file to review the exported reservation details.
The completed spreadsheet contains the reservation fields selected during the export workflow.
Large exports may take a few moments to generate.
Export reservations across multiple properties
Reservations Page exports include reservation records for the property currently selected in Cloudbeds PMS. You cannot generate a multi-property reservation export directly from this page.
If you need reservation reporting across multiple properties, review the reporting options available to your Organization and see Reporting Overview and Navigation for the applicable reporting workflows.

Comments
this view needs a "refresh" button. When I change reservation status it doesn't refresh the stauts / list. So I always have to hit F5 which takes ages to load. Even better: event based refreshes of the list, that if something happend, the list refreshes.
Hello, Kevin Haefeli,
We truly appreciate your valuable feedback about a Refresh button on the Reservations page. We have already escalated this to our Product team for review.
Thank you!
