Set Up Your Billing Profile

  This article explains how to review your subscription plan, add your billing information and payment method, and complete your billing profile.

Access the Billing Portal

  • The Property Owner can access the Billing Portal by default.
  • If you don't see the settings below on the screen, your user cannot access them. Reach out to the property owner to get permission and grant you access to the billing portal on the Roles page. Learn more here: Roles and Permissions.
  • Access your billing portal by following these instructions or by clicking Begin Setup as shown below:

Complete your Billing profile

STEP 1 - Understand your subscription

  1. Your subscription: This section summarizes the packages the customer has selected and the total subscription cost.
  2. Packages: Click on Total to see a detailed breakdown of pricing, applicable discounts, and selected packages. The Subscription section is organized into two separate categories, Current Subscription, and Future Subscription, and includes the following information:
    • Package name
    • Billing cycle
    • Next invoice date
    • Rate - Full price of the package(s)
    • Discount - Discount percentage % of the package(s) and the discount end date
    • Total - The discounted price of the package(s)

  1. Once all details have been verified, you can click Continue.

STEP 2 - Add Billing Information (Business details)

  Information in highlighted fields will be listed on the invoices.

1. Fill in:

    • The Company legal name will already be listed based on information added to Cloudbeds PMS.
    • Doing business as is the name under which the company operates and conducts its business activities. It may or may not be the same as its legal name.
    • Tax ID

2. Complete address information: Address 1, City, State, and Postal code.

    • The billing address may differ from the property address.
    • Please ensure all information is accurate to avoid billing issues.
    • The Country will be listed based on information added to Cloudbeds PMS.

3. Contact First and Last Name

    • The first and last name fields will auto-populate from the system account but can be adjusted for billing purposes if the billing contact differs from the property owner's information.

4. Continue

STEP 3 - Configure Payment

  By registering the payment information, you authorize Cloudbeds to charge your payment method immediately for any due or past-due invoices and future recurring payments. You may modify this payment anytime by logging into your account and selecting Billing Portal > Billing settings > Payment method.

1. Choose your payment method (Credit/Debit card, PayPal, SEPA Direct Debit, Pix, or Wire transfer) and enter the details.

2. Accept terms and conditions

Click the provided Terms and Conditions links. A popup window will then display the terms of service, ensuring that you're viewing the exact details as those presented on our official website. Check mark each box to agree to all Terms and Conditions.

3. Click Continue

 Only users with Billing Portal permissions can see/accept Terms & Conditions.

 If your subscription plan includes packages that require agreeing to the Terms of Service, you must review and accept these terms before finalizing the billing profile.

Depending on your package, the list of terms and conditions includes:

  • Subscription Terms & Conditions
  • Digital Marketing Suite (formerly Cloudbeds Amplify) Website Terms of Service
  • Digital Marketing Suite (formerly Cloudbeds Amplify) Metasearch Terms of Service
  • Whistle for Cloudbeds (Engagement Essentials/Engagement Plus) Terms & Conditions
  • The 12-month Commitment Agreement

STEP 4 - Confirmation

1. Review all the information you provided and click Confirm

2. Once confirmed, click Go to Dashboard to be redirected to the Cloudbeds log-in page, and you can start setting up your account

  If the following packages were added after you completed your Billing Profile, a Terms & Conditions pop-up message will appear until you accept it.

    • Digital Marketing Suite Website Terms of Service
    • Digital Marketing Suite Metasearch Terms of Service
    • Whistle for Cloudbeds Terms & Conditions
