Set Up Your Billing Profile

  This article explains how to add your billing information, payment method, and complete your billing profile.

Activate your account and user

Before setting up your billing account, please activate your user account by opening the email from Okta with the subject “You’re in! Welcome to Cloudbeds!”. 

Click the “Activate your account” button in the email, which will redirect you to create a password for your account.

Once you activate your account, you will be able to proceed to setup your billing account.

 If your account has not been activated within 7 days and the link has expired, please reach out to our support at support@cloudbeds.com.

If you already have an account with us and used your existing email as the username, you do not need to activate your user again. You can quickly access the billing for your new account by following these steps:

  1. Log in to your existing Cloudbeds account.
  2. Open the Billing Portal.
  3. Use the account selector at the top of the page.
  4. Choose your new account from the dropdown list.

All accounts associated with your email will appear in the dropdown, so you can easily switch between them.

Access the Billing Portal

  • The Property Owner can access the Billing Portal by default.
  • If you don't see the settings below on the screen, your user cannot access them. Reach out to the property owner to get permission and grant you access to the billing portal on the Roles page. Learn more here: Roles and Permissions.
  • Access your billing portal by following these instructions or by clicking Begin Setup as shown below:

Complete your Billing profile

  1. Review your subscription
    If you don’t see the subscription details, you can still proceed to add the billing details.
  2. Click Continue.
  3. Fill in:
    • The Company legal name will already be listed based on information added to Cloudbeds PMS.
    • Doing business as is the name under which the company operates and conducts its business activities. It may or may not be the same as its legal name.
    • Tax ID
  4. Complete address information: Address 1, City, State, and Postal code.
    • The billing address may differ from the property address.
    • Please ensure all information is accurate to avoid billing issues.
    • The Country will be listed based on information added to Cloudbeds PMS.
  5. Contact First and Last Name
    • The first and last name fields will auto-populate from the system account but can be adjusted for billing purposes if the billing contact differs from the property owner's information.
  6. Property Owner email address, first and last name
    • If the the owner details is the same as contact information, you may check ‘Same as Billing contact’ box
  7. Click Continue.

 Information in highlighted fields will be listed on the invoices.

  1. Choose your payment method (Credit/Debit card, PayPal, SEPA Direct Debit, Pix, or Wire transfer) and enter the details.

  By registering the payment information, you authorize Cloudbeds to charge your payment method immediately for any due or past-due invoices and future recurring payments. 

You may modify this payment anytime by logging into your account and selecting Billing Portal > Billing settings > Payment method.

  1. Click Continue.

  1. Review all the information you provided and click Confirm
  2. Once confirmed, click Go to Dashboard to be redirected to the Cloudbeds log-in page, and you can start setting up your account.
