How to connect Hostelworld/ Hostelbookers to myfrontdesk

Hostelworld is a leading OTA for hostel-focused accommodations worldwide with 12+ million guest reviews and 40,000+ listings in nearly 180 countries. Their inventory also includes hotels, B&Bs, and other budget accommodation types. Hostelworld aims to be a leader in social travel via their booking options and mobile app, addressing the needs of guests who want to make connections with others as they experience the world around them. Their app and website operate in 20 different languages.

As a reminder, Hostelbookers is now completely managed through Hostelworld. If you have a Hostelbookers account, it will be automatically connected and managed through your Hostelworld account inbox.

As of December 11, 2019: myallocator (channel manager by Cloudbeds) updated the Hostelworld integration to support the Minimum Length of Stay, Maximum Length of Stay, Closed Dates.

How to connect Hostelworld to myfrontdesk

Step 1 - Getting Started
  • If you do not have an account with Hostelworld:
    Click here to set up your property with them first
  • If you already have a Hostelworld account:
    Please continue with Step 2 below
Step 2 - Select/Enable myallocator (channel manager by Cloudbeds) as your Channel Manager

Per Hostelworld: "All channel connection is handled by our account managers, account executives and sales executives (if new sign up). All properties need to liaise directly with their account manager, account executive and sales executive in relation to their channel connection or eventual issues with room settings, rates, online availability and bookings."

1 - Locate your Hostelworld Account Manager

To Initiate the connection between myallocator and Hostelworld, you must first contact your Hostelworld account manager.  

If you don't know who your Hostelworld Account Manager is, you can find their email address in your account as shown below

Go ahead and email your Hostelworld Account Manager. Example:

"Please activate the connection between Hostelworld/Hostelbookers and Myallocator for my property XXX ".

If you want to use our Import feature, when you ask your Hostelworld manager to enable myallocator as your channel manager, please ask them NOT TO DELETE YOUR AVAILABILITY in their inbox. Otherwise, there will be nothing to import.

2 - Notify myallocator support Team

Once Hostelworld notify you saying that the connection is active, you must notify our support team at: support@cloudbeds.com

In the email, you must state the following:

  • Your full Property Name
  • Your Hostelworld Inbox ID (usually 4 or 5 digits)
  • Mention that the connection between Hostelworld and Myallocator is active.
  • Define the currency setup in Hostelworld

Example:

Hello Myallocator - this is Larry Smith from XYZ Hostel.  Property "XYZ Hostel" is now active with Myallocator.  
My Hostelworld Inbox ID is:  XXX
My Currency is set to: XXX

Wait for our support team to confirm the connection to Hostelworld and then you can start mapping your rooms

Don't worry, as soon as the connection is complete on both sides (Hostelworld and myallocator) we will respond to your email confirming that the channel is ready for mapping and you can proceed with Step 3.

Step 3. Start mapping Hostelworld in myfrontdesk

If you've completed the steps above and received the confirmation email by our support team, proceed with the steps below:

  1. Go to your myfrontdesk account and click on Manage
  2. Access 'Channels' tab
  3. Hostelworld should be marked as 'Ready for mapping'. Click this button to start

4. Select the Channel Accommodation Type from the dropdown menu to match the Accommodation Type on the myfrontdesk system

Once you finish, click on 'Continue'

5. Use this page to configure the rate plan(s) you want to sync between this system and Hostelworld. You must map at least one rate plan per Channel Accommodation Type to ensure proper rate sync.

Click on 'Configure'

You can create multiple rate plans for each room type and have those sync to Hostelworld. Click here to check further information.

6. The rate plans you have created on myfrontdesk are listed on the LEFT. Use the dropdown menus to map Hostelworld rate plans to rate plans on this system.

Once you finish, click on 'Save'

You need to map the desired rate plans for each room type.

7. Use this page to adjust rates specifically for accommodation types on Hostelworld.

For example, if you want an accommodation type to have a 5% discount off its base rate, enter "5" into the base rate adjustment field and select "-%" from the dropdown menu.

You have completed Hostelworld & Hostelbookers channel setup!

A Full Inventory Refresh has now been sent to Hostelworld & Hostelbookers to ensure that your property’s availability and rates are synced on the channel.

Troubleshooting

OTA Error #1002: Availability Interface Not Enabled - please contact the channel manager support

Until the steps above are complete, we will be unable to connect your property to Hostelworld and will not be able to manage your inventory or rates.
If you try to set up Hostelworld in myfrontdesk and have not completed these steps, you will receive the following error:
