Overview
The Attribute Tagging Service feature has been designed to enhance operational efficiency and personalize even more the user experience in Cloudbeds PMS. This service introduces a flexible tagging system that allows users to organize and personalize their data across reservations, guest profiles, and other operational entities.
Features
- Flexible attribute management: Users can create custom attributes (e.g., "VIP Guest," "Long-Stay Reservation") to tag guests, reservations, rooms, and more. Attributes can include labels, descriptions, and associated entity types for better organization.
- Enhanced guest profiles: Tags can be associated with guest Profiles, enabling properties to personalize guest experiences and streamline operations. Example: Tagging a guest as "VIP" ensures tailored services during their stay.
- Reservation tagging: Reservations can be tagged with attributes to highlight special requirements or operational notes. Example: A reservation tagged as "Corporate Booking" can trigger specific workflows for invoicing and reporting.
Similar, but different
- Both Attribute Tagging and Guest Status features in Cloudbeds PMS allow users to identify guests.
- However, they are different:
- Guest Status allows users to identify guests (Example: VIP guest)
- Attribute Tagging offers the possibility to add more than one attribute, while status is restricted to one. With tags, users have extra flexibility to customize the way they manage guest categorization.
How to use Attribute Tagging
- Users need to have the applicable permissions to manage Attribute Tagging.
- Enable the Role Privileges (Tags) for the corresponding user to view, edit, and create tags.
- Go to the System menu in your Cloudbeds PMS. Click on Create tag
- The Enable toggle allows you to activate/deactivate the tag.
- Add tag details:
- Tag name: This will appear visible in the guest/reservations profile (property internal use only). Note: Names cannot be duplicates.
- Type: Applicable to guests or reservations
- Description: Add a brief description of the tag for your staff reference
- Save
🏷️ Once created, users can manage tags easily:
- Click on the toggle to enable/disable the tag
- Click on the ellipsis icon
to edit or delete the tag
📩 If the tag has been created for Reservations:
- Go to the corresponding reservation
- Click on the (+) sign below the guest name
- Select the tag(s) to be applied
- Save
- The tag will appear below the guest's name
👥 If the tag has been created for Guests:
- Access Profiles and find the corresponding guests to assign the tag to.
- Click on the (+) icon.
- Select the tag to be assigned.
- Click on Save. The tag will appear right below the guest's name.
👀 Viewing Tags on the Dashboard:
Once a tag is assigned to a reservation or a guest profile, it also appears on the Activity Dashboard.
- Both Reservation Tags and Guest Tags are displayed together under the primary guest.
- Only tags for the primary booker/primary guest are shown. Tags for additional guests in the same reservation are not displayed on the Dashboard.
-
Hovering over the tag area shows two clear buckets:
- Reservation tags
- Guest tags
Each tag includes its description for quick reference.
Example 1 – Reservation & Guest tags visible (hover)
On the Dashboard, hover over the tag indicator to see the buckets for Reservation tags and Guest tags.
Example 2 – No tags for the primary guest
If the primary guest has no tags assigned, no tags are shown on the Dashboard (even if other guests in the reservation have tags).
Example 3 – Changing the primary guest so their tags display
Use the steps below to change the primary guest. After the change, the Dashboard will display the tags of the new primary guest (if their profile has tags).
- From the Activity Dashboard, click the guest name/reservation number to open the reservation drawer.
- Click the Guest tab.
- Review the guest list and identify who should be the new primary guest.
- Go to the Accommodations tab.
- Open the guest selector dropdown.
- Mark the star next to the intended primary guest.
- Click Confirm to save.
- After a short moment (or by refreshing the page), the Dashboard updates to show the new primary guest. If their profile has tags, those tags will display under their name.
Comments
Wheen during the reservation process can you add the tag? I do not see an option while making a reserrvation.
Hello, Steve Robbins,
For the moment, tags can be added to guests or reservations after the booking has been created in the PMS. However, your idea would be a great enhancement for this feature 🚀 Please feel free to share it in the Cloudbeds Community, so that other users can see it, add comments, and vote for it.
Ideas are escalated to our Product Team for review and possible consideration.
Thank you for your valuable feedback!
Why can't I view tags attached to a reservation when I open up the actual reservation? This seems odd... It would also be extremely helpful if notes could be tagged to certain topics.
Hello, Erin Porter,
Thank you very much for taking the time to share your valuable feedback regarding the visibility of tags within reservations. We truly appreciate you bringing this to our attention.
We have already forwarded your comments to our Product Team for review, as they continue to refine the feature and optimize the tags' visibility in the system.
Regarding your suggestion for improving the notes, please be assured that this has also been escalated to the team and is currently under evaluation.
Thanks again!
Can tags be auto-added to specific guest profiles and transferred to their new corresponding reservations?
