Use this when You need to extract standard, unaltered property metrics—such as daily arrivals, financial transaction histories, or occupancy records—into offline files.
You need Cloudbeds Insights interface visibility. Pre-built stock report templates are available across all subscription tiers, requiring either Viewer or Author-level roles.
Expected result You can successfully run any standard report template and download the contents immediately as an XLSX, PDF, CSV, or JSON file.

Introduction

Cloudbeds Insights features a comprehensive library of pre-built stock report templates that cover your day-to-day property needs. These standard reports offer clear, structural visibility into your financial ledger records, operational schedules, check-in data, and production calculations without requiring any manual setup. You can export any of these templates at any time to preserve records, evaluate patterns, or share summaries with project stakeholders.

Access and Permissions

Access to Cloudbeds Insights dashboards is role-based to guarantee secure data protection while providing your team with the correct operational visibility. While basic report downloading is open to all subscription levels, individual interactions depend strictly on your assigned system permissions:

  • Property Owners: Hold full default access privileges across all reporting tools.
  • Author Permission: Allows users to run, view, and export standard datasets, as well as manage permanent modifications and tracking folders.
  • Viewer Permission: Allows users to load stock reports, apply temporary page filters, change active columns, and run manual exports, but blocks them from saving permanent workspace changes.

Export Pre-Built Stock Reports

Export your standard property reports whenever you need to evaluate metrics or archive operational records offline.

  1. Open the Main Menu in the upper-left corner of your dashboard.
  2. Select Reporting.
  3. Click the Cloudbeds Reports tab from the top navigation bar to view the available pre-built templates.
  4. Use the category folders or the search field to find your report, then click its title to open it.
  5. If the system's Auto Refresh toggle is turned off, click the Run button to compile the most up-to-date values.
  6. Click the three-dots icon (or Actions button) in the top-right corner and select Export.
  7. Inside the Export report popup window, choose your targeted Export View preference:
    • Formatted Report: Generates the document complete with formatted header blocks, distinct data groupings, and active filter info sections (Available Formats: XLSX, PDF).
    • Table: Outputs structured data compiled inside a clean, standardized spreadsheet grid container (Available Formats: CSV, JSON).
    • Details Only: Strips away summaries, headers, and meta blocks to export only raw details rows—ideal for external sorting formulas or importing into external tracking software (Available Formats: XLSX, CSV, JSON, PDF).
  8. Select your preferred file extension Format option from the dropdown field.
  9. Click the blue Export button.
  10. An on-screen processing banner will display at the bottom of your browser window. Once the data generation is complete, click the Download button directly inside that notification alert to save your file.
Export Pre-Built Stock Reports

  Performance Hint: Some extensive stock reports contain thousands of entries, which can limit live on-screen rendering to protect system performance. To view and manipulate the complete data set accurately, simply run the parameters and export them into an offline file spreadsheet.
