Introduction

Ask Signals is Cloudbeds' conversational AI assistant, built on the Cloudbeds Signals data layer. It allows you to ask questions in everyday language and receive answers based on available property data or information from the Cloudbeds Help Center.

Ask Signals is currently available in alpha, which means additional functionality is still being developed. It is included in your Cloudbeds subscription.

This article explains what Ask Signals can do, how to use its chat interface, and how to review or manage usage.

Alpha availability: Ask Signals is still being developed. Its capabilities and usage limits may change as new functionality becomes available.

What is Ask Signals?

Ask Signals is a conversational AI assistant that helps Cloudbeds users find information without navigating through multiple screens or articles.

During the alpha release, Ask Signals supports two primary capabilities:

  • Data questions: Ask questions about property information and available operational metrics.
  • Product help: Ask how to use Cloudbeds features and receive guidance based on Knowledge Base articles.

What you can do with Ask Signals

Ask Signals supports different types of questions depending on the information you need. The following capabilities are available during the alpha release.

Ask questions about your data

Ask Signals can access available property data in Cloudbeds. You can ask questions about reservations, guests, and operational statistics such as occupancy and Average Daily Rate (ADR).

The information returned depends on your existing user permissions.

For example:

  • A Front Desk agent may only have access to reservations, guest information, and housekeeping data.
  • A General Manager may have access to property-wide analytics.

Ask Signals respects your existing user permissions. If you do not have access to a data source, or the source has not been connected, Ask Signals indicates this in its response.

Get help using Cloudbeds

Ask Signals can search the Cloudbeds Knowledge Base to answer questions about using Cloudbeds tools and features.

For example, you can ask a question beginning with "How do I..." and Ask Signals can combine information from relevant Help Center articles into step-by-step instructions for the task you want to complete.

How to use the Ask Signals chat

You can open Ask Signals directly from the Cloudbeds interface and adjust the chat panel to suit your workflow.

Follow these steps to open and explore the available chat controls:

  1. Open the chat. Click the yellow button next to the main search bar.
  2. Move or hide the panel. Use the left/right toggle to change where the chat appears. Use the buttons in the upper-right corner to minimize or close it.
  3. Start a new chat. Click the chat icon in the chat header to begin a new conversation.
  4. Use full screen. Click the full screen button in the chat header to expand the interface.
  5. Find past chats. In full screen mode, previous conversations appear in the left sidebar. You can rename, search, or archive them.

Give feedback on a response

Every Ask Signals response includes positive and negative feedback buttons. Your feedback helps Cloudbeds evaluate responses and improve Ask Signals.

To provide feedback:

  1. Click the positive or negative feedback button on a response.
  2. Add a short description explaining what you liked or disliked about the response.

Cloudbeds reviews submitted feedback and uses it to improve the quality and functionality of Ask Signals.

View and manage Ask Signals usage

Ask Signals includes usage controls that allow users to review their consumption and administrators to manage usage across the property.

To access these settings, go to Account > Settings, then select Ask Signals from the left-hand menu.

All users

All users can view their own Ask Signals usage from the Ask Signals settings page.

Administrators

Administrators can view their own Ask Signals usage and the usage of every employee at the property.

Administrators can also configure property-wide and individual usage controls.

Edit the property-wide ceiling

Click Edit Ceilings to change the total Ask Signals usage limit for the entire property.

Disable a user or edit their usage cap

Click the three-dot menu next to a user to disable their Ask Signals access or edit their individual usage cap.

Ask Signals usage stops for a user when either the property-wide ceiling or their individual usage cap is exceeded.

Alpha usage limits

Ask Signals is included in your Cloudbeds subscription. During the alpha pilot, usage is capped at $200 in credits per property.

When the available credits are exhausted, Ask Signals stops answering questions and displays a message indicating that the credits have been used.

Alpha usage limit: Once the available credits are used, Ask Signals cannot continue answering until additional credits are provided.

What's coming next

Cloudbeds plans to expand Ask Signals beyond its current alpha capabilities.

Future functionality may include:

  • Updating data and taking actions on your behalf.
  • Designing complex reports.
  • Designing multi-step workflows.
  • Proactively identifying and presenting insights.

These capabilities are planned for future versions and are not part of the current alpha functionality described in this article.

Now that you understand the current Ask Signals capabilities, chat controls, and usage settings, you can use the Cloudbeds Help Center for more detailed guidance on the product features and workflows you want to explore.
