Void an invoice and issue a credit note in New Invoicing

Purpose Void an invoice or issue a credit note in New Invoicing.
Best for Front desk staff, property managers, and property admins.
Use this when You need to correct an issued invoice by creating a credit note or voiding the invoice.
Requirements An invoice must already exist for the reservation.
Expected result A credit note is issued for the selected items or for the full invoice. When a correction reason is selected, it is saved with the document, appears on the credit note, and is recorded in the reservation Activity log.

Introduction

In New Invoicing, you can issue a credit note for selected invoiced items or void the full invoice by issuing a credit note. When completing either action, you can also select a Correction Reason to document why the correction was made.

The Correction Reason is optional by default and is required only when the property's fiscalization requirements make it mandatory. When selected, the reason is saved with the credit note, printed on the generated document, and recorded in the reservation Activity log.

Void an invoice or issue a credit note

Open the reservation and go to the Documents tab. Find the invoice you need to correct, then open its three-dot menu.

  1. Select the action that matches the correction you need:
    • Void & issue credit note: Void the full invoice and issue a credit note against it.
    • Issue credit note: Issue a credit note for applicable invoiced items without voiding the full invoice.

The invoice actions menu provides both credit note options from the reservation's Documents tab.

  1. In the credit note dialog, review the billing contact and the items to be credited.
  2. Under Correction Reason, select the reason that best describes the correction, when applicable.

The Correction Reason menu provides predefined reasons for documenting why the invoice is being corrected.

 The Correction Reason is optional by default. It becomes required only when the property's fiscalization country requires a reason for the correction.

  1. Review the credit note details and select Issue credit note or Void & issue credit note, depending on the workflow you selected.

After the credit note is issued, you can confirm the correction on both the generated credit note and the reservation's Activity log.

Open the credit note from the reservation's Documents tab. If you selected a Correction Reason, it appears with the document details.

Review the Activity log

From the same reservation, select the Activity tab to review the reservation history. The Activity log records changes and actions performed on the reservation, including the invoice correction.

Use the search field or available filters if needed to narrow the activity shown and locate the entry related to the credit note or invoice correction.

Why does my reservation page look different?

Cloudbeds properties may see different Reservation Details experiences. In the updated experience, Documents appears as a tab in the Reservation Details panel.

If you see the earlier reservation page, go to Documents > Invoices and receipts, then select View invoices. This opens the invoice list in the updated Reservation Details experience, where you can continue the workflow described in this article.
