| Expected result | Each Cloudbeds room type is matched to the correct Expedia room type, saved, and refreshed so rates and availability can sync correctly. |
| Important limit | This guide covers the Cloudbeds PMS mapping review. Room type creation, activation, or updates in Expedia must be completed in Expedia Partner Central. |
Introduction
Room type mapping connects your Cloudbeds accommodations to the matching room types in Expedia. This tells Cloudbeds PMS which Expedia room type should receive rates, availability, and reservations for each Cloudbeds room type.
The full Expedia connection process is explained in detail in Connect Expedia to Cloudbeds PMS. Use this guide when Expedia is already connected or ready for mapping, and you need to confirm that the room type matches are correct.
For example, if Expedia lists a room as Double Queen, it should be mapped to the Cloudbeds accommodation that represents the same sellable room category, such as Double Queen, Double Queen Room, or your property’s equivalent room type.
What this guide helps you check
This article focuses on the Cloudbeds PMS side of Expedia room mapping. It does not replace the full Expedia connection guide or Expedia Partner Central setup steps.
Before you start
Use this guide when:
- Expedia is already connected or ready for mapping in Cloudbeds PMS.
- You are reviewing the Room Mapping step for Expedia.
- Your room type names in Cloudbeds and Expedia are different.
- You need to confirm that a specific Expedia room type, such as Double Queen, is mapped to the correct Cloudbeds room type.
- Expedia reservations are coming into the wrong room type.
- You want to confirm your Expedia mapping before running a Full Refresh.
Understand how room type mapping works
Room type mapping connects one Cloudbeds room type to one Expedia room type.
| Cloudbeds room type | Expedia room type |
|---|---|
| Standard Queen Room | Queen Standard Room |
| Deluxe King Room | Deluxe King |
| Family Suite | Family Room |
The room type names do not have to be identical, but they should represent the same physical inventory.
For example, if Expedia lists the room as Double Queen, select the Cloudbeds accommodation that represents the same room category, such as Double Queen, Double Queen Room, or the equivalent category used by your property.
The important rule is that each room type should have a clear one-to-one match.
Confirm that you are mapping room types, not individual rooms
Expedia requires room types. Do not map Cloudbeds room types to individual physical rooms.
Recommended mapping
| Cloudbeds room type | Expedia room type |
|---|---|
| Deluxe Double Room | Deluxe Double Room |
Not recommended
| Cloudbeds room type | Expedia room |
|---|---|
| Deluxe Double Room | Room 101 |
| Deluxe Double Room | Room 102 |
| Deluxe Double Room | Room 103 |
Mapping room types to individual rooms can cause overbookings, lost reservations, or reservation sync problems. Most OTAs, including Expedia, require room types, so your Cloudbeds PMS account should also use room types for OTA mapping.
Do not map multiple Cloudbeds room types to one Expedia room type, and do not map one Cloudbeds room type to multiple Expedia room types for standard room mapping. Keep the relationship one-to-one.
Match each Cloudbeds room type to the correct Expedia room type
Follow these steps to review the Expedia room mapping in Cloudbeds PMS and confirm that each Cloudbeds room type is matched to the correct Expedia room type.
- Go to your Account
and click Distribution
- In the Channels tab, find Expedia in the My Channels list.
- Click Manage and use the Room Mapping View/Edit option to review or update the matching Expedia room type for each Cloudbeds accommodation.
- In the Expedia mapping screen, review the Cloudbeds Accommodation column and the Channel Accommodation dropdown.
- For each Cloudbeds room type:
- Read the Cloudbeds room type name.
- Open the Expedia room type dropdown.
- Select the Expedia room type that represents the same room category.
- Repeat this for each room type.
- Leave a room type unmapped only if it should not be sold on Expedia.
- Click Save to finalize your updates. Your new room mappings will not take effect until you save your progress.
Use the table below as a practical review format:
| Question | What to check |
|---|---|
| Is this the same room category? | Match the Expedia room type to the Cloudbeds room type that represents the same sellable category. For example, Expedia Double Queen should map to the Cloudbeds Double Queen category or its property-specific equivalent. |
| Is the occupancy the same? | The guest capacity should match or be intentionally configured. |
| Is the bed setup the same? | For example, Queen Room should not be mapped to Twin Room unless that is the same sellable category. |
| Is the room view or feature the same? | Ocean View, Balcony, Shared Bathroom, Private Bathroom, and similar details should be considered. |
| Is this room type active in Expedia? | Only active Expedia room types appear in the mapping dropdown. |
| Is this room type meant to be sold on Expedia? | If not, do not map it. |
After selecting the matching Expedia room type for each Cloudbeds room type, use the sections below to troubleshoot common mapping scenarios and confirm that your setup is aligned before saving your changes.
Confirm the one-to-one relationship
Before saving your mapping, check every row carefully.
Your mapping should follow this pattern:
| Cloudbeds room type | Expedia room type | Status |
|---|---|---|
| Standard Queen Room | Standard Queen Room | Correct |
| Deluxe King Room | Deluxe King Room | Correct |
| Family Room | Family Room | Correct |
Avoid this pattern:
| Cloudbeds room type | Expedia room type | Why this is a problem |
|---|---|---|
| Standard Queen Room | Standard Room | Multiple Cloudbeds room types may compete for the same Expedia inventory. |
| Standard Double Room | Standard Room | This can create inventory and reservation mismatches. |
| Deluxe Room | Standard Room | The room category does not match. |
A one-to-one mapping keeps availability, rates, and reservations aligned between Cloudbeds, the Cloudbeds channel manager, and Expedia.
If your Cloudbeds and Expedia room names are different
Room names may be different between Cloudbeds and Expedia. This does not always mean the mapping is wrong.
Focus on the room type details, not only the name.
| Cloudbeds room type | Expedia room type | Can they be mapped? |
|---|---|---|
| Deluxe King Room | King Deluxe | Yes, if they represent the same room category. |
| Standard Double Room | Double Standard | Yes, if they represent the same room category. |
| Queen Room with Balcony | Queen Balcony Room | Yes, if they represent the same room category. |
| Standard Room | Deluxe Room | No, unless both names refer to the same sellable room type at the property. |
For easier long-term maintenance, keep room type names as consistent as possible between Cloudbeds and Expedia. The room names do not need to be exactly the same, but similar names reduce mapping mistakes.
If an Expedia room type is missing from the dropdown
If you do not see the expected Expedia room type in the mapping dropdown:
- Confirm that the room type exists in Expedia Partner Central.
- Confirm that the room type is active in Expedia.
- Confirm that Cloudbeds is selected as the connectivity provider for Expedia.
- Check whether the Expedia connection is fully approved and ready for mapping.
- Contact Expedia if the room type needs to be created, activated, or corrected in Expedia.
- Return to Cloudbeds and refresh or reopen the mapping flow.
If Expedia is still in the initial connection flow and is not marked as Ready for Mapping in Cloudbeds, the connection may not be ready yet. The Expedia connection guide explains that once Expedia confirms the connection, the channel status changes to Ready for Mapping in Cloudbeds.
If a Cloudbeds room type should not be sold on Expedia
If a Cloudbeds room type should not be available on Expedia, do not map it.
Before leaving it unmapped, confirm that:
- The room type should not receive Expedia reservations.
- The room type should not send rates or availability to Expedia.
- The property does not expect this room type to appear on Expedia.
Leaving a room type unmapped prevents that room type from syncing to Expedia.
Review rate plan mapping after room type mapping
After the room type match is correct, review the Expedia rate plan mapping.
For each Expedia room type that is mapped, you must map at least one rate plan. This allows Cloudbeds to send the correct rates and availability to Expedia.
Check that:
- Each mapped Expedia room type has at least one mapped rate plan.
- The Cloudbeds rate plan is connected to the correct Expedia rate plan.
- Multiple rate plans are mapped only if your account uses Advanced Channel Rates.
- The rate plan names and pricing logic make sense for your Expedia setup.
If you need to sync multiple Cloudbeds rate plans to Expedia, Advanced Channel Rates must be enabled on your account.
Review Base Rate Adjustment, if used
Base Rate Adjustment allows you to increase or decrease the rate sent from Cloudbeds to Expedia for a mapped room type.
Use this setting only if Expedia should receive a different rate from the Cloudbeds base rate.
Before applying a Base Rate Adjustment, confirm:
- Which Expedia room type should receive the adjustment.
- Whether the adjustment should be a percentage or fixed amount.
- Whether the adjustment should increase or decrease the rate.
- Whether this adjustment is still needed if rate plans are already configured.
If no adjustment is needed, continue without adding one.
Confirm currency settings
Before completing the Expedia mapping, confirm that the currency selected in Cloudbeds matches the default currency in Expedia Partner Central.
If the currencies do not match, rates may not sync as expected.
Run a Full Refresh after saving mapping changes
After confirming room type mapping, rate plan mapping, adjustments, and currency:
- Inside the Expedia channel setup/mapping page in Cloudbeds, save the changes.
- Locate the Full Refresh option at the top of the channel page and click on it.
- Check Expedia Partner Central.
- Confirm that Expedia shows the expected rooms, rates, and availability.
A Full Refresh sends the updated pricing and availability from Cloudbeds to Expedia after mapping changes are saved.
Use the final checklist below to confirm that the Expedia room type mapping is complete and ready to maintain accurate rates, availability, and reservations.
