Locked Out? How to Get Back In (Staff Guide)

🛑 Are you stuck at the password step? This article is for MFA (verification code) lockouts. If you have forgotten your password, go to Reset Your Cloudbeds PMS Password instead.

The most common cause: your authentication device has changed

If you got a new phone, had your phone lost or stolen, or your authentication app is no longer showing codes for Cloudbeds, your login is tied to a device that no longer works for you. You need your MFA reset before you can log in again.

The fastest fix: ask a manager

You cannot reset your own MFA if you are already locked out - this is by design, to prevent attackers from doing the same thing. A property manager or owner needs to reset it for you.

What to ask them to do:

  1. Log in to Cloudbeds PMS with their own credentials.
  2. Go to Account > Settings > Users.
  3. Find your name in the user list.
  4. Click the three dots (â‹®) next to your name.
  5. Select Reset MFA Status.

This takes under 60 seconds. Once done, you can log in with your email and password and set up a new MFA method.

If no manager is available right now

If you are working a night shift or weekend and no manager is reachable:

  1. Try calling or messaging the property owner directly. MFA resets can be done from any device, including a phone or tablet.
  2. If you cannot reach anyone, [contact Cloudbeds Support] with your email address and property ID. Our team can verify your identity and assist.

After you're back in: prevent this from happening again

Once your MFA is reset, consider switching to a method that is tied to your work computer rather than a specific phone:

  • Desktop Passkey (Windows Hello or Mac Touch ID): Stored on your work computer, not your phone.
  • Sign in with Google or Apple: Uses your existing account. If you ever get a new phone, your Google or Apple recovery process handles access restoration without needing to contact Cloudbeds.
