- What exactly are "Spaces" in Cloudbeds?
Spaces is a feature under our new Bookable Resources category. it allows you to manage and monetize physical areas of your property - like meeting rooms, cabanas, or event halls - without using up your guest room inventory. It has its own dedicated calendar so your room bookings and space rentals stay organized and separate. - Does creating a Space affect my property’s total room count?
No. Spaces are treated as a separate category of inventory. They will not appear on your main Room Calendar or affect your occupancy statistics for guest rooms. - Can my guests book these spaces directly through my website/Booking Engine?
Not yet. Currently, Spaces is an internal-only tool. This means your staff must manually create the space reservation in the Cloudbeds PMS. Guest-facing booking for spaces is a feature we are looking to develop in the future. - Can I rent a space for just 30 minutes?
Yes! When setting up your Space Types, you can choose a "Rental Interval." Options include 30 minutes, 1 hour, or 1 day. You can also set a minimum and maximum rental time for each space. - What is the difference between "Price per Interval" and "Price per Rental"?
Price per Interval: Charges the guest based on how many increments they book (e.g., $50 per hour for a 3-hour booking = $150).
Price per Rental: A flat fee regardless of the duration (e.g., $100 flat fee for a ballroom rental, whether they stay 2 hours or 6 hours). - Can I set different operating hours for my spaces?
Yes. In the Availability settings for each space, you can define specific days of the week and "Available Hours." For example, your Pool Cabanas might only be bookable from 9:00 AM to 6:00 PM. - How do I link a space rental to a guest who is already staying with us?
When you click on the Spaces Calendar to create a new rental, the first step is to "Search for a Reservation." Simply type the guest's name, and the space rental will be linked to their existing folio. - Can I book a space for someone who isn't staying at the hotel?
Yes. You can link a space rental to a House Account or a Group Account if the person or organization is not an in-house overnight guest. - What happens if a space needs maintenance?
You can create a Block on the Spaces Calendar. Similar to a room block, this prevents the space from being booked and allows you to add a note (e.g., "Deep cleaning" or "Repainting"). - If I book a space for three days, how does the charge appear on the folio?
Currently, Cloudbeds posts the total charge for the entire rental period on the start date of the reservation. It does not split the revenue across multiple days. - Are all tax types supported for Space rentals?
Most common taxes (Percentage, Fixed per accommodation, Fixed per reservation) are fully supported. However, there are limitations for "Per person per night" and "Fixed per room night" taxes, which currently only support 1-night stays. "Rate-based" taxes are not supported at this time. - How can I see how much revenue my Meeting Rooms are generating?
You can find this data in the Reports section. You can now filter or segment your reports by "Spaces" or drill down into specific "Space Types" to see exactly which resources are performing best.
