How to use Cloudbeds Spaces

Following these steps, you can effectively set up and manage your spaces, maximizing your property's potential and enhancing your guests' experience.

Create Space Types:

  1. Navigate to the Settings Settings icon.png -> Property Property icon.pngin your Cloudbeds PMS account.
  2. Locate the new Spaces section.
  3. Click on +New Space Type to define your spaces (e.g., Meeting Room A, Pool Cabana 1).
  4. Configure the details for each space type, including:
    • Title and Abbreviation
    • Maximum Occupancy
    • Description
    • Number of Units and individual Unit Titles and Descriptions
    • Availability (including rental intervals and minimum/maximum rental times)
    • Pricing (base price, price frequency, and applicable taxes/fees)
  5. Save

Spaces Calendar:

  1. Go to the main Menu Main menu icon.pngand access Spaces Calendar Spaces.png 
  2. The calendar displays space reservations organized by space type. Use the filter to show only the specific space type.
  3. Click on an empty cell to create a new space reservation or block.
  4. Block time:
    • Confirm the date and time of the block.
    • Add a title and reason for the block.
  5. + Add space rental: 
     
  • Search for an existing reservation, group, or house account.
  • Confirm the date and time of the reservation.
  • Update the title and optionally add the number of guests and a description.
  • Override the rate and frequency if needed.

Managing Existing Reservations:

  1. Click the reservation drawer to change the status of a reservation (Confirmed, In House, Checked Out).
  2. Delete a space reservation by clicking the option at the bottom of the drawer.
  3. Or edit all the rest of the fields if needed.

Important Notes:

  • Currently, charges for space reservations are posted only to the folio on the start date of the reservation.
  • Some limitations exist for tax configurations and currency support.
  • Posting a space reservation to a group folio works, but removing it from the group folio does not.
