Cloudbeds Spaces - Overview

Spaces is the debut feature of Cloudbeds’ new Bookable Resources category. It allows properties to manage and monetize physical areas - such as meeting rooms, ballrooms, pool cabanas, and banquet halls - independently from guest room inventory.

By maintaining two separate calendars (one for rooms and one for spaces), you can optimize underutilized resources, streamline event management, and drive additional revenue.

• Seamless Booking: Easily create space reservations for existing guests, groups, or house accounts, with the option to add blocks for maintenance or other purposes.
• Streamlined Operations: Manage space reservation statuses (Confirmed, In-House, Checked Out) and quickly delete rentals as needed.

Reporting

Space-related data is integrated into the Reports. You can segment your financial and operational reports by "Spaces" or drill down into specific "Space Types" to analyze which resources are most profitable.

Important Limitations & Notes

• Folio Posting: Charges are posted to the folio as a single lump sum on the start date of the reservation (multi-day rentals are not split daily). You can also use filters in Folio to see the Spaces related information:
  
• Guest-Facing Availability: Spaces are currently internal only. They cannot be booked via the Booking Engine or Guest Experience tools yet.
• Tax Support: Supported: Percentage of total, Fixed per accommodation, Fixed per reservation.
  - Limited: "Per person per night" and "Fixed per room night" only support 1-night calculations.
  - Unsupported: Rate-based taxes.
• Currency: Supports 2-decimal currencies only.
• Group Folios: You can post space charges to a group folio, but they cannot be removed via the group folio interface once posted.
