Deprecation of Legacy Occupancy Dataset for Insights Reports

Overview

To ensure data consistency and reporting reliability across the Cloudbeds platform, we are retiring the legacy Occupancy dataset on April 1, 2026.

While the upgraded Occupancy has been the standard for Cloudbeds PMS dashboards and reports for some time, a small number of custom reports built within Cloudbeds Insights still rely on the unsupported legacy structure. 

 This update ensures all customers move to a single, accurate source of truth that aligns with modern accounting standards.

Does This Affect My Property?

This change only affects properties using Cloudbeds Insights that have manually created custom reports using the legacy dataset.

  • Standard Reports: No action is needed. All standard Cloudbeds reports, dashboards, and PMS screens already use the upgraded Occupancy version.
  • Custom Insights Reports: If you have a custom report where the Report Type is labeled "Occupancy (Legacy – Unsupported)", you must take action.

Why is Legacy Occupancy being retired?

Legacy Occupancy has been unsupported since May 2025 because it lacks the advanced logic required for modern property management. By moving exclusively to upgraded Occupancy, you benefit from:

  • USALI Alignment: Financial metrics (Revenue, ADR, RevPar) that match industry standards.
  • Real-Time Data: Updates happen instantly, whereas the legacy version only updated every 3 hours.
  • Split Inventory Support: Accurate tracking for properties using split inventory.
  • Accounting Accuracy: Revenue is pulled directly from our Accounting Service, excluding inclusive taxes and cancellation fees from room revenue calculations for better precision.

Action Required: Rebuild Your Reports

Because the legacy and current versions use fundamentally different data structures, Legacy Occupancy reports cannot be automatically migrated or converted.

  1. Identify any custom reports using the Occupancy (Legacy – Unsupported) dataset. See how to find your custom reports.
  2. Recreate these reports manually using the Occupancy dataset before April 1, 2026. See how to create your own reports.
  3. Verify your data. You may notice slight differences in historical data between the two versions; this is expected as the current Occupancy corrects previous inaccuracies in revenue and capacity handling.

  Important: On the deprecation date, April 1, 2026, any remaining custom reports built using the Legacy Occupancy dataset will be permanently removed from your account. To prevent data loss and reporting gaps, please ensure you have manually rebuilt your reports using the standard Occupancy dataset before this deadline.
