Setting Up Passkeys (The Gold Standard)

Purpose	Set up and use a passkey to sign in to Cloudbeds without entering an MFA code.
Best for	Cloudbeds users who want a faster sign-in method.
Use this when	You want to add a passkey, use it to sign in, or recover access after changing devices.
Requirements	A supported device and browser, an available device unlock method, and access to your Cloudbeds profile.
Expected result	A passkey is enrolled and available as a Cloudbeds sign-in method.
Limitations	Passkey availability depends on the device, browser profile, operating system account, and synchronization settings used during setup.

Introduction

A passkey is a digital credential stored on your device. It lets you unlock Cloudbeds with a fingerprint, face scan, or device PIN instead of entering an MFA code. Passkeys work only on the official Cloudbeds domain and are designed to resist phishing.

The following comparison shows how passkey sign-in differs from using a password and MFA code.

No codes to enter: Use your fingerprint, face scan, or device PIN.
Phishing-resistant: The passkey works only on the official Cloudbeds login page.
No phone required: A passkey set up on a laptop can be used from that laptop.

Shared computers: Each staff member must use a separate browser profile or operating system account. See Passkeys on shared front desk computers.

Passkey requirements

Confirm that your device and browser meet these requirements before setup.

Mac	macOS Ventura 13 or newer, with Touch ID or Face ID
iPhone or iPad	iOS 16 or newer
Windows PC	Windows 10 or newer, with Windows Hello enabled
Android	Android 9 or newer, with screen lock enabled

Firefox	122 or newer

Account access: You must be signed in to Cloudbeds PMS to complete setup. If you are locked out, ask your property manager to reset your MFA. See Reset Multi-Factor Authentication.

Set up a passkey

Complete these steps on the device where you want to use the passkey.

Step 1: Open your security settings

Step-up authentication: Sign-in & security becomes available 10 minutes after sign-in. If it appears grayed out, wait a few minutes, and then refresh the page.

Sign in to Cloudbeds PMS at signin.cloudbeds.com.
Select the Account icon in the upper-right corner.
Select My Profile
Open Sign-in & security.
Under Two-factor authentication, select Manage methods.
Select +Set Up next to Security Key or Biometric Authenticator.

Step 2: Select the passkey method

Select Security Key or Biometric Authenticator, and then select Set Up.

Existing MFA method: Setting up a passkey replaces your current method. Cloudbeds asks you to confirm before making the change.

Step 3: Verify your identity

Expand the section for your device, and then follow its prompts.

Mac with Touch ID

Your browser asks you to save a passkey for hotels.cloudbeds.com.

Select Use Touch ID, or the equivalent browser option.
Place your finger on the fingerprint sensor.
Confirm that the passkey was saved.

Windows PC with Windows Hello

A Windows Security dialog appears.

Select Use fingerprint or Use PIN.
Verify with Windows Hello.
Confirm that the passkey was saved.

iPhone or iPad

Safari displays a prompt at the bottom of the screen.

Tap Continue.
Verify with Face ID or Touch ID.
Confirm that the passkey was saved.

Android with Google Password Manager

Google Password Manager displays a passkey dialog.

Tap Create passkey.
Verify with your fingerprint, face scan, or PIN.
Confirm that the passkey was saved.

After setup, use the passkey from the Cloudbeds sign-in page.

Go to signin.cloudbeds.com.
Enter your email address, and select Next.
Select Sign in with Passkey.
Verify with your fingerprint, face scan, or device PIN.

Recover passkey access

If you lose, replace, or reset the device, the recovery path depends on whether the passkey was synchronized.

Recover a synchronized passkey

If it was synchronized with Apple iCloud Keychain or Google Password Manager, sign in to the same Apple ID or Google account on the new device. The passkey may become available automatically.

Replace a passkey that was not synchronized

Sign in at signin.cloudbeds.com with your email address and password.
If needed, select Forgot password?.
Go to Account > My Profile > Sign-in & security > Two-factor authentication > Manage methods.
Select Add a verification method, and repeat the setup.

Can I set up a passkey on more than one device?

Yes. Repeat the setup on each device. Each device registers its own passkey.

What if several staff members share one computer?

Each staff member must use a separate browser profile or operating system account. See Passkeys on shared front desk computers.

Is my fingerprint or face data shared with Cloudbeds?

No. Biometric data remains on your device. Cloudbeds receives confirmation that your identity was verified but does not receive or store your fingerprint or face scan.
