Reset Multi-Factor Authentication

📱 Lost your phone, changed device, or switched authenticator apps?

You have two paths to regain access — choose the fastest one for your situation:

Fastest path — ask your Property Admin (takes under 30 seconds):
Any property owner or staff member with user-management permissions can reset your MFA immediately from AccountAccount Menu.jpg-> SettingsSettings icon.png-> UsersUsers.png three-dot menu next to your name -> Reset MFA Status. You do not need to contact Cloudbeds Support.

Self-service path — if you saved backup codes during setup:
On the login screen, click Use Backup Code and enter one of the codes you saved when you first set up MFA.

If you are a property owner locked out with no other admin available: contact Cloudbeds Support with your email address and property ID — our team can verify your identity and assist.

Cloudbeds uses Multi-Factor Authentication (MFA) to provide an industry-leading layer of security for your account. This ensures that even if your password is compromised, your property data remains protected.

Modernizing Your Security

To provide stronger protection against unauthorized access, SMS and email verification are being replaced by more secure, modern methods. Using an authentication app or a hardware key is significantly safer than SMS, as these methods cannot be intercepted via "SIM swapping" or email hacking.

Which Method Should You Choose Next?

After you reset your MFA, you will be asked to choose a new method. Here are our recommendations:

Goal Recommended Method Why Choose It?
Fastest & Easiest Apple or Google Login Best for those who already use Gmail or an iPhone. "Set it and forget it."
Maximum Security Passkeys The "Gold Standard." Uses your device's fingerprint or face scan for instant, un-hackable access.
No Smartphone Security Key or Desktop Auth Use a USB device (like a YubiKey) or your computer's built-in Windows Hello/Touch ID.
Traditional Okta Verify / Google Authenticator Best if you prefer using a mobile app to generate or "tap" a code.

How to reset for your user

If you are a staff member (non-owner):

You cannot reset your own MFA if you are already locked out. Ask your property manager or owner to follow the "How a Property Owner Can Reset for Other Users" steps below. This takes less than 60 seconds and does not require a support ticket.

  🔐 Account showing as Locked or Disabled?

If your account has been disabled or locked due to multiple failed login attempts, your Property Admin can restore access immediately — no support ticket needed:

  1. Go to AccountAccount Menu.jpg-> SettingsSettings icon.png-> UsersUsers.png
  2. Find the user and click Edit
  3. Set the status to Active and click Save
  4. Use the three-dot menu to send a fresh Reset Password or Activation link

If you are a manager or owner and are locked out yourself, and no other user at your property has admin-level access, contact Cloudbeds Support with your email address and property ID. Our team can verify your identity and assist you with regaining access to your account.

If you are a property owner or admin:

  You can reset your own MFA. Note that this option only becomes available after you have been logged in for at least 10 minutes. If you open My Profile immediately after logging in and do not see the Reset MFA option, wait a few minutes and refresh the page.

This delay is a security measure — it prevents anyone who gains brief access to an unlocked screen from immediately resetting the account's MFA method.

You will be logged out automatically. When you log back in (using your email and password), you will be prompted to set up your new, preferred MFA method.

  1. Enter your username or e-mail

  1. Enter your Password

  1. Now set up the preferred MFA method

 Organization users: If your user belongs to an Organization or multiple properties and MFA cannot be reset from the property-level Users page, contact Cloudbeds Support with your email address and property ID.

How a Property owner can reset for other users

  1. Account Account menu icon.png

  3. Users Users.png
  4. Click three dots near the user
  5. Select to Reset MFA status

     
  6. This action will trigger the user to reset their MFA method next time they log into the system.

 If the user is still unable to log in after the MFA reset, contact Cloudbeds Support with the user's email address, property ID, and a screenshot of the error or screen where the login stops.
