Spain Police Report (SES.HOSPEDAJES) Migration Guide for Properties Connected Before Aug 2025

This complementary guide is for properties that connected the Spain – Police Report (SES.HOSPEDAJES) app before August 18 and now need to transition to the updated version (V2). It explains what changed and how to finish the switch in your Cloudbeds PMS.

Who should use this guide

  • Properties that already had the SES.HOSPEDAJES app connected before Aug 18.
  • Teams that want to enable the new guest fields and optionally switch to the new Servicio Web (automatic reporting) method.

What changed in the updated version

  1. New built-in guest fields tailored to Spain (replacing the older custom-field workaround). These include:
    • Last Name 2 (Segundo Apellido) — only required for Spanish guests.
    • Nationality.
    • Municipality — only required for Spanish guests.
    • Document Number 2 (Soporte Documento) — only required for Spanish guests and only when document type is Identity Card/NIF.
    • Kinship Code (Parentesco) — only required for guests under 18.
  2. New reporting method: Servicio Web (automatic) in addition to Carga Masiva (manual upload).
  3. Improved error handling with statuses and messages surfaced in UtilitiesIntegration Sync.

  These improvements reduce manual lookups (e.g., municipality codes), streamline compliance, and can submit reports automatically when data is complete. When entering Municipality, start typing the name and select it from the suggested list—no need to look up codes.

Before you start

  1. Enable the Spain guest template: Account Menu Account menu icon.png → Settings Settings icon.png → Guests guest-icon.png → Guest Information, select Spain.

  2. Remove the legacy custom fields added by the old version: Account Menu Account menu icon.png → Settings Settings icon.png → Guests guest-icon.png → Custom Fields and delete (if present): Soporte Doc. (SES), Parentesco (SES), Código Municipio (SES).

      Deleting these fields in Settings does not erase historical values on past reservations; it only removes them for future guests. The integration will still read existing values on prior reservations. 

Choose your reporting method

The integration supports two workflows. You can keep Carga Masiva (manual upload) or switch to Servicio Web (automatic sending). 

Option A — Continue with Carga Masiva (manual upload)

  1. Go to Account Menu Account menu icon.png  → Apps & Marketplace Apps and Marketplace icon.png → Connected Apps, open the App page for Spain – Police Report (SES.HOSPEDAJES), then click Settings.

  2. Set:

    • Which reports to generate (Reservas de Hospedaje and/or Partes de Viajeros).
    • Your Código de Establecimiento (required).

    • If you’ve enabled Reservas de Hospedaje, select which reservations should be added to that report (for example, you can choose to include only Primary Sources).
    • Método de envío de reportes: select Carga Masiva.

  3. Click Submit to save. The PMS generates the XML files daily at 01:00 and places them in Account Menu Account menu icon.png  →  Utilities utilities-icon.pngDocuments. Download and upload them in the SES.HOSPEDAJES portal. 
    Note: the generated XML files are named for easy identification before upload.

Option B — Switch to Servicio Web (automatic sending)

  1. In the same App Settings page, set Método de envío to Servicio Web. Enter the credentials required by SES.HOSPEDAJES: Código de Arrendador, Usuario, and Contraseña.

  2. Once enabled, the integration automatically submits reports when a web reservation is created, when the reservation status changes, or when any guest details are edited. When all required fields are present, it validates the data and submits the corresponding report via the SES.HOSPEDAJES web service. You’ll see the activity and results in Account Menu Account menu icon.png  →  Utilities utilities-icon.pngIntegration Sync.

Required guest details

SES.HOSPEDAJES requires specific fields depending on the report and the guest’s nationality. Make sure the following are complete before attempting to report. 

Reservas de Hospedaje — All guests

  • First name
  • Last name
  • At least one contact method: phone, mobile, or email

Partes de Viajeros — Spanish guests

  • First name
  • Last name
  • Birthdate
  • Municipality
  • Street address
  • ZIP/Postal code
  • Country
  • At least one contact method (phone, mobile, or email)
  • Document issuing country (only for guests over 14)
  • Document type (only for guests over 14)
  • Document number (only for guests over 14)
  • Document number 2 — Soporte Documento (only if type = Identity Card/NIF; guests over 14)
  • Kinship (only for guests under 18)

Partes de Viajeros — Foreign guests

  • First name
  • Last name
  • Birthdate
  • City
  • Street address
  • ZIP/Postal code
  • Country
  • At least one contact method (phone, mobile, or email)
  • Document issuing country
  • Document type
  • Document number
  • Kinship (only for guests under 18)

  These fields are not enforced at the moment of creating a reservation; they become mandatory when you edit guest details.

Troubleshooting & regeneration

  1. Go to Account Menu Account menu icon.png  →  Utilities utilities-icon.png →  Integration Sync and review the latest SES.HOSPEDAJES entries for errors (e.g., missing data or web-service connectivity issues). 
  2. Open an entry to identify the guest/reservation with missing or invalid details and correct it in the PMS.

  3. If you are using Carga Masiva and fixed data issues, you can request the integration to re-generate the report and then upload the new files to the SES.HOSPEDAJES portal.

  If a guest is missing required fields for the selected report, generation/submission will fail until the data is completed.

What happens next

  • After completing the steps above, your daily workflow continues as described in the How to use guide.
  • If you switched to Servicio Web, submissions occur automatically on the next qualifying update after data becomes complete.

⚠️ Compatibility Limitations with Cloudbeds Guest Experience (formerly Whistle)

The Cloudbeds Guest Experience platform (formerly Whistle) is not fully compatible with the SES Hospedajes integration.

Cloudbeds Guest Experience does not currently collect certain guest details required for Spain’s police report, including Last Name 2, Municipality Code, Parentesco, and Soporte Document. These fields must be entered manually in Cloudbeds PMS to ensure the SES Hospedajes reports are generated correctly.
