How to Log in to Cloudbeds PMS via Apple account

Purpose Enable Apple authentication for a Cloudbeds user and use an Apple account to sign in to Cloudbeds PMS.
Best for Property owners and property admins who manage users, and staff members who sign in with an Apple account.
Use this when A user wants to access Cloudbeds PMS through the Sign in with Apple option instead of the standard Cloudbeds email and password workflow.
Requirements Apple authentication must be enabled for the Cloudbeds user by a property owner or property admin. The Apple ID email must exactly match the email registered in the user's Cloudbeds profile.
Expected result The user can select Sign in with Apple on the Cloudbeds login page and authenticate through their Apple account.
Limitations Login fails when the Apple ID email does not match the email in the Cloudbeds user profile or when Apple authentication has not been enabled for the user.

Introduction

Apple authentication allows an eligible user to access Cloudbeds PMS through their existing Apple account. Apple manages the identity verification using the security methods available for that account, such as Face ID, Touch ID, a device passcode, or Apple account credentials.

A property owner or property admin must first enable Apple authentication in the user's Cloudbeds profile. The setup differs slightly for new and existing users, so follow the path that matches the user's current account status.

Before you begin

Confirm the email addresses match

  The Apple ID email must exactly match the email registered in the Cloudbeds user profile. If the addresses differ, login fails with an authentication error even when the Apple credentials are correct. A property owner or property admin can confirm the registered email under Account > Settings > Users.

Using Apple Hide My Email?

  Apple may create a private relay address ending in @privaterelay.appleid.com when you select Hide My Email. This address will not match the standard email registered in Cloudbeds and can cause Apple login to fail.

Ask a property owner or property admin to go to AccountAccount menu icon.png > SettingsSettings blue icon.png > UsersUsers.png, edit the user profile, and update the email field to the exact private relay address generated by Apple.

Benefits of Apple authentication

Apple authentication can simplify login for users who already manage their identity and device security through Apple.

  • Fewer passwords to manage: The user signs in through their Apple account instead of maintaining a separate Cloudbeds password for this login method.
  • No separate authentication app is required: Apple uses the authentication options configured for the user's Apple account and device.
  • Built-in account security: Apple may verify the user through Face ID, Touch ID, a device passcode, or another Apple authentication method.
  • Familiar login experience: Users who already use Apple authentication can follow the standard Apple prompts.

Enable Apple authentication

A property owner or property admin must enable Use an existing Apple account to sign in in the user's profile. Select the setup path for a new or existing user.

Enable Apple authentication for a new user

  1. Go to AccountAccount menu icon.png > SettingsSettings blue icon.png > UsersUsers.png.
  2. Select Add User.
  3. Complete the required user information.
  4. Select Use an existing Apple account to sign in.
  5. Save or send the user invitation.

The new user must open the invitation email and follow the included link to complete account activation.

Enable Apple authentication for an existing user

  1. Go to AccountAccount menu icon.png > SettingsSettings blue icon.png > UsersUsers.png.
  2. Find the user and select EditEdit.png.
  3. Select Use an existing Apple account to sign in.
  4. Save the user profile.

The existing user does not need to complete an additional activation step. They can use Apple authentication the next time they sign in.

Sign in with Apple

  Apple authentication must be enabled in the user's Cloudbeds profile before the user can sign in with this method.

  1. Open the Cloudbeds login page.
  2. Select Sign in with Apple.
  3. Select Continue with Apple. You do not need to enter a Cloudbeds username or password in the standard login fields.

Follow the Apple prompts to verify your identity. Depending on the device and account settings, Apple may ask for an Apple ID password, Face ID, Touch ID, or a device passcode.

If Apple authentication has not been enabled for the Cloudbeds user, an error appears. Ask a property owner or property admin to review the user's login setting.

Troubleshoot Apple login

  • Use the Apple login button. When Apple authentication is enabled, select Sign in with Apple instead of entering a Cloudbeds email and password in the standard login fields.
  • Return to the login page after a standard-login error. Select Sign in with Apple and complete verification through Apple.
  • Confirm the email address. The Apple ID email and the Cloudbeds user email must match exactly.
  • Confirm the user setting. A property owner or property admin should verify that Use an existing Apple account to sign in is enabled for the user.

  To switch from Apple authentication to the standard email and password login, ask a property owner or property admin to review the user's login method. If they cannot update it, contact Cloudbeds Support.


Next Operational Step

After enabling Apple authentication, ask the user to open the Cloudbeds login page and select Sign in with Apple to confirm that the account email and authentication settings are working correctly.
