How to connect POS Integration

The Comtrol solutions are only compatible with Windows operating systems, version 10 and higher. Cloud versions of the available solutions are not supported.

⚠️Important Warning: Configuration of COMtrol Integrations

Due to the technical complexity of the COMtrol solutions, please be aware of the following before beginning the configuration process:

1. Expect a Technical and Lengthy Setup

  • Complexity: The vendor-specific configuration within COMtrol is highly technical and can be tricky. This is not a quick, self-service setup.
  • Time Commitment: You must plan for a longer setup process than a standard integration. Cloudbeds will work diligently to assist, but external factors will extend the required time.
  • External IT Required: You may need to dedicate time from your internal IT department or secure the services of an external technical resource to successfully complete the configuration.

2. Required External Support

  • Vendor/Reseller Expertise is Critical: The most valuable resource for troubleshooting and specific configuration details will be the vendor or vendor reseller from whom you purchased the external software.
  • Actionable Tip: To limit complexity and speed up the process, we strongly recommend you get your vendor or vendor reseller involved early in the setup process. They are often the only party who can answer specific configuration questions.
  • Support Limitations: While Cloudbeds is committed to supporting this connectivity, please understand that we do not have a direct support relationship with every external vendor connecting through COMtrol, and COMtrol support itself will not assist in these specific configurations.

Connection Steps:

  1. Go to your Account Account menu.png
  2. Click Apps & Marketplace Apps and Marketplace icon.png
  3. Search for the COMTROL Point of Sale (POS) connection
  4. Click Learn More

     
  5. Submit Request

    After you submit your request, support will get it and inform you about the pricing. Once you agree on the pricing, the "Connect app" button will appear, and you can finalize the connection process.

  9. Configure the Extension Number Mapping.
    Each room must be mapped to the corresponding extension for that room.
  10. Configure Comtrol Password. Enter a password for the Comtrol system. Make sure it meets the following requirements:
    • At least eight characters
    • Includes uppercase letters (A-Z), lowercase letters (a-z), numbers (0-9), and symbols (e.g., !, @, #, $, %, ^, &, *, +, -)

The password for this section is of your own choosing and will not be provided to you. You will create this password yourself and it's crucial to remember this password, as it will be required later in the process.

11. The Comtrol charge name determines how charges from your Point-of-Sale (POS) system will appear on the Cloudbeds folio. For example, if you use X POS, the charge name might be displayed as "X POS charges" on the guest's bill in Cloudbeds.
In essence, it's the label Cloudbeds uses to identify and display the charges coming from your integrated POS system.

Install Lodging Link Software

Request the Installers:

  •  
    • Contact the Cloudbeds Integrations Onboarding team at integrations@cloudbeds.com to receive the installation files with install notes for each device.
    • Provide the MAC address of the machine where you’ll install the software. Instructions for finding your MAC address are available here. We highly recommend installing this on the same machine on which the software is installed.
    • Specify the manufacturer and device model you plan to connect, ensuring compatibility with Comtrol's supported devices.

Once you have received the installer for the Lodging Link software from the integrations team, install it on the machine you use for the software you are connecting.

Run the Installer: "Lodging Link CC v4.7 Setup.exe"

  1. Accept License Agreement, click Next.
     
  2. Accept Default Ports: HTTP Port: 80, HTTPS Port 443. Click Next.
  3. Enter the Location to install (it is best to choose the default one), and click Next.
  4. Enter the Start Menu Folder Name (suggested choice: Lodging Link CC), and click Next.
  5. Select any additional icons you would like to create and click Next.
  6. Review the Information and click Install.
  7. This will take a few minutes. Select if you will restart the computer now, and click Finish.
  8. Restart your computer.

Run the build installer Comtrol_Build_XXXXXXXXX.exe

  1. Accept the License Agreement, click Next.
  2. Accept Default Ports: HTTP Port: 80, HTTPS Port 443. Click Next.
  3. Install
  4. This will take a few minutes. Select “View Image.txt” and “Start Web Interface” and click Finish.

Start the Lodging Link Software

StartLodging Link CC Web Interface.

Log in to the Lodging Link Interface

Username: admin; Password: comtrol (default).

If you change the password, ensure you remember it, as lost passwords require a reinstall.

Configure Device Connections

  •  
    1. Under SettingsPorts, select the device for your Cloudbeds system.
    2. You will see a list of your devices/integrations
    3. Under the LP column, select the number for the Cloudbeds Device.
    4. Set the Port Type to HTTP.
    5.  Save
    6. For other devices: Connection details can be retrieved from Install Notes

If no Install Notes were sent to your device, you must contact the Device Manufacturer/Software Vendor to get these details.

Click Save All and Restart the Service: on the left side, click the refresh button in the left box.🔃

Configure Variables

Under SettingsVariables, select the Cloudbeds device.

  1.  
    •  
      • Set the following variables:
        • PMS Server URL: https://comtrol.app-integrations.cloudbeds.com/comtrol_requests
        • PMS Server Port: 443
        • Ignore Errors: No
        • User Name: Your Cloudbeds Property ID (find it here)
        • Password: The password you set earlier.
        • Request Interval: 1
        • Send Interval: 1
      • Save All

         
      • Variables will be included in the Install Notes for other devices listed on the Variables page.
  2. You must contact the manufacturer for these details if no Install Notes were sent for your device.

    Click Save All and Restart the Service: on the left side, click the refresh button in the left box.🔃
