Groups module: What it does and how to get started

Purpose Understand what the Groups module does, choose the right group type for your property, and set up your first Group Profile from scratch.
Best for Managers and GMs setting up the Groups module for the first time, and Front Desk staff learning how to navigate Group Profiles in daily operations.
Use this when You need to manage reservations, payments, or availability for a group, corporate account, travel agent, or wholesaler under one consolidated profile.

Expected result You understand how the module works, can navigate Group Profiles confidently, and are ready to create and manage your first group.
Limitations Group profile types cannot be changed after saving. Folio routing, invoices, allotment blocks, and reporting have specific constraints covered in the Limitations and known behaviors section.

Introduction

 A newer version of this module is available. The Groups and Events module offers enhanced features including multi-property profiles, event-level billing, quotes, and rooming list management. It is currently in limited release. Contact support@cloudbeds.com to learn more. This article covers the legacy Groups module, which remains active for most properties.

The Cloudbeds Groups module lets you consolidate reservations from the same group under a single profile, manage a shared group folio, block availability for a specific group, and track group revenue, all in one place.

Without the module, reservations are listed flat on the Reservations page with no way to nest related bookings, share a folio, or block availability for a specific group. With it, you can link reservations under one Group Profile, route charges to a master folio, and give group guests access to a private booking URL at a negotiated rate.

This article explains what the module does, how to navigate a Group Profile, and how to set up your first group from scratch. For detailed steps on each action, follow the links in the How to get started section.

What the Groups module does

The Groups module gives properties a dedicated workspace for managing group business. Instead of tracking group reservations individually, you can link them to a Group Profile that serves as the central record for that group's activity, finances, and contacts.

Its key advantages are:

  • Streamlined booking and simplified payments. Route charges from individual reservations to a master group folio and block inventory for the group in advance, reducing the complexity of managing multiple bookings.
  • Flexible rate setting. Allotment blocks can carry a negotiated rate, giving group guests access to a special price through a private Groups Booking Engine URL.
  • Consolidated revenue tracking. Revenue, average daily rate (ADR), nights booked, and guest count are calculated automatically from the reservations linked to the group.

Groups in action: which type fits your situation?

The Groups module supports four profile types: Group, Company, Travel Agent, and Wholesaler. The type is a label that helps you filter your group list and does not change how the module functions. Choose the type that best describes the business relationship.

 Profile types cannot be changed after saving. If you select the wrong type, you must create a new profile with the correct one.

Expand each section below to see a typical scenario for each group type and decide which fits your property's situation.

Group: one-time events such as weddings or sports teams

Use the Group type for a single occasion with a defined set of guests, such as a wedding party, a school trip, or a sports team traveling together.

Example: A wedding party of 20 people stays at the property for a single weekend. The couple pays for 10 guests; the other 10 pay independently via a private booking URL. Each reservation may have different arrival and departure dates, and all guests are eligible for a group rate linked to the allotment block.

Company: recurring corporate accounts

Use the Company type when a corporate account sends employees on a recurring basis with a pre-negotiated rate.

Example: A corporation sends employees to the property frequently. The company covers room costs; employees pay for incidentals separately. Reservations from different trips can be linked to the same Company Profile over time, and charges can be routed to a company folio for centralized billing.

Travel Agent: guaranteed allotments for tour operators

Use the Travel Agent type for tour operators who resell your rooms and may have a guaranteed allotment agreement.

Example: A travel agent resells rooms at a markup. You agree to give them two guaranteed rooms per day over two years. The agent is responsible for payment regardless of occupancy, unless they release the inventory at least seven days in advance.

Wholesaler: OTAs and bulk resellers

Use the Wholesaler type for OTAs or wholesalers who purchase rooms in bulk and resell them to end travelers.

Example: An OTA has agreed-upon rates and a guaranteed allotment, with a commission structure built into the arrangement. You can manage their allotment block and centralized billing through a Wholesaler profile.

Who this affects and how

Front Desk Your day-to-day tasks include linking and unlinking reservations to a group, checking the group folio balance, adding notes, and generating invoices. See How to navigate the Groups page for the layout and tab overview.
Manager / GM You are typically responsible for creating Group Profiles, configuring folio routing, setting up allotment blocks, and sharing the Groups Booking Engine URL with group contacts. See How to get started for the full setup sequence.
Admin / Owner The Groups module must be enabled at the property level before anyone can use it. Once enabled, you can review group revenue in Cloudbeds Reporting and monitor group performance via the Group Profile header metrics. See Limitations and known behaviors for reporting constraints.

The Groups page is the main list view for all your Group Profiles. From here you can search, filter, and open any group, and access all group-level actions.

Access the Groups module

  1. Click Main Menu Main menu icon
  2. Select Groups.

Group Profile list

The Groups page displays a table of all your Group Profiles. Use the filters at the top to narrow the list:

Filter Description
Search Enter a group name or code. Leave blank to see all profiles.
Date Created Filter by when the profile was created.
Check-in date / Check-out date Filter by the earliest check-in or latest check-out date of linked reservations.
Stay Date Filter by any date that falls within a linked reservation's stay.
Type Show all profiles, or filter by Group, Company, Travel Agent, or Wholesaler.
Account Status Show all, or filter by Open or Closed.

Each row in the table shows the group code (always starts with "g"), group name, type, earliest check-in date, latest check-out date, status (Open or Closed), and a gear icon to edit or remove the profile. Click the hyperlinked group name to open the Group Profile.

The table lets you compare the main identifying and stay details for each Group Profile before opening one:

Inside a Group Profile

When you open a Group Profile, the classification shown as Type on the Group Profiles page appears under Event in the profile header. The value itself does not change. For example, a profile with the Travel Agent type displays Travel Agent under Event when you open the profile.

Once inside a Group Profile, you can open or close the group account, use the Actions menu to generate or email invoices and folios, check the group's Balance Due, and navigate between the profile's tabs.

Group Profile header: metric definitions

The header at the top of each Group Profile displays calculated metrics based on the reservations linked to that group.

Metric How it is calculated
Reservations Total reservations within Definite Blocks plus any directly linked reservations. Canceled and No-Show reservations are excluded. Reservations with "Confirmation Pending" status count the same as Confirmed.
Guests Total guests across all linked reservations. Canceled and No-Show reservations are excluded.
Nights Booked Total nights multiplied by the number of rooms in linked reservations. Canceled and No-Show reservations are excluded.
Nights Available Total nights to be sold across all Definite allotment blocks.
ADR (Average Daily Rate) Room Revenue divided by the sum of Nights Booked and Nights Available.
Room Revenue Sum of daily room rates from all Definite allotment blocks plus all directly linked reservations. Canceled and No-Show reservations are excluded.

 ADR and Room Revenue display as 0.00 when no reservations exist. Both metrics are calculated from actual reservation data. If no reservations have been created or linked yet, the system has no data to report, and both figures show as zero. This is expected and resolves once reservations are added.

Group Profile tabs: what each one does

Tab What you can do here
Reservations View, create, link, and unlink reservations. Filter by status, room type, source, and allotment block. Click a reservation ID to open the Reservation Details page.
Allotment Blocks Create and manage availability blocks for the group. Learn more about allotment block actions.
Folios Add payments, issue refunds, and adjust charges at the group level. Learn more about Group Folios.
Group Profile View and edit group profile details, and manage contacts. Learn more about Group Profile actions.
Pickup See how many allotted rooms have been picked up. Review pickup details.
Credit Cards Add and authorize credit cards at the group level. Credit cards stored here are not auto-authorized; you must trigger authorization manually when collecting payment.
Notes Add and manage notes scoped to the Group Profile, all reservations, all guests, or all allotment blocks.
Documents View generated invoices and upload supporting files (contracts, BEOs, and similar documents) for internal team use. Documents stored here are not visible in guest profiles or reservation documents.

How to get started

Follow these steps in order the first time you set up a new group. Not every step is required for every group type; notes below each step explain when it is optional.

  1. Create a Group Profile. Choose the profile type (Group, Company, Travel Agent, or Wholesaler), configure folio routing, select the source, and save. This is the foundation all other steps build on.
  2. Create a contact for the Group Profile. Add the person or organization responsible for the group. Contacts are used for invoices, negotiations, and communications. A profile can have multiple contacts, and a contact can be shared across multiple profiles.
  3. Add a credit card to the Group Profile. Optional. Required only if the group will pay centrally. Credit cards stored here are not auto-authorized; you must trigger authorization manually when you are ready to collect.
  4. Create an allotment block. Optional. Needed when you want to block inventory in advance or provide guests with a private Groups Booking Engine URL at a negotiated rate. Allotment blocks can span multiple room types under a single code.
  5. Share the Groups Booking Engine URL with guests. Required only if guests will self-book. The private URL lets them create reservations using the group code and negotiated rate.
  6. Link reservations to the group. Link existing reservations to the Group Profile, or create new ones from the Reservations tab. When routing is enabled, pending transactions are routed to the Group Folio automatically; posted transactions are not moved automatically and must be handled manually.
  7. Add notes. Optional. Use the Notes tab to track policies, contact preferences, or group-specific context your team needs. Notes can be scoped to the Group Profile, all reservations, all guests, or all allotment blocks.
  8. Review the allotment block pickup. Use the Pickup tab to monitor how many blocked rooms have been reserved. There is no automatic alert for underfilled blocks, but you can set a block to auto-release unreserved inventory by a specified date.
  9. Manage the Group Folio. View routed transactions, add charges or payments, and reconcile the group balance. Routed charges do not appear on individual reservation folios and will not flag at guest check-out. To return a charge to a reservation, unroute the transaction manually from the Group Folio.
  10. Generate and email Group invoices. Combine one or more folios into a single invoice from the Actions menu. Select the specific folios you want included, or choose Select All. Once generated, invoices cannot be edited; create a new invoice for corrections and keep the original for your records.
  11. Access Groups reports. Use the group-specific reports to export folio transactions, review pickup, and reconcile payments. Available reports include: Group Reservations and Folios Transaction Report, Group Profile Balance Summary, Group Reservations Folio, and Group Invoices and Credit Notes.

Limitations and known behaviors

Review the behaviors below before configuring the module. Understanding them in advance avoids unexpected results during operations.

Behavior What to expect
Profile type is locked after saving Once a profile is saved as Group, Company, Travel Agent, or Wholesaler, the type cannot be changed. If you select the wrong type, create a new profile with the correct one.
Routed charges do not flag at check-out Charges routed to the Group Folio are removed from the individual reservation's balance due. At check-out, the reservation will appear settled even if the Group Folio has an outstanding balance. To have charges appear on the reservation at check-out, unroute or move the transactions back to the reservation folio before the guest checks out.
Routing applies to pending transactions only When you link a reservation to a group with routing enabled, any pending (unposted) transactions matching the configured types are routed automatically. Already-posted transactions are not moved automatically and must be handled via the Move Transactions workflow. If routing rules change mid-stay, prior nights already posted are not recalculated.
Closing a group does not lock financial edits Marking a Group Profile as Closed is a status label only. It does not prevent refunds or adjustments. Posted transactions remain on the Group Folio; pending routed transactions are unrouted back to the reservation folios. Re-enable the group if you need to access the folios again.
No balance transfers between groups Balances cannot be moved from one Group Folio to another, or from a Group Folio to an individual reservation folio. Posted routed transactions stay on the Group Folio unless manually unrouted.
Group invoices cannot be edited or voided Once a Group invoice is generated, it cannot be changed or voided. Generate a new invoice for corrections and retain the original for your records. All generated invoices are stored in the Documents tab.
No bulk or scheduled emails for group reservations The Groups module does not support bulk or campaign emails to all guests in a group. Bookings made via the Groups Booking Engine receive the same confirmation email as any Cloudbeds Booking Engine reservation. Automated emails go to the primary guest on each reservation only.
Allotment blocks do not adjust automatically If inventory changes (for example, a room type is removed), allotment blocks do not update automatically. Review and adjust blocks manually. If a block is released, those rooms return to general inventory permanently; create a new block to re-allocate them.
Allotment blocks take priority over general availability If the property reaches 100% occupancy but a group's allotment block is still in place, the blocked rooms remain reserved for the group. They are not released to other channels unless manually removed or auto-released by the configured release date.
No waitlist when a block is full If an allotment block is at capacity and overbookings are disabled, the system prevents additional bookings with no waitlist option. If overbookings are enabled, the system allows bookings beyond the allotment, which may overbook the property.
Routing cannot split by percentage Routing is configured by transaction type (for example, Room and Tax, or add-ons only). It is not possible to route a percentage of a charge to the Group Folio and the remainder to the guest. For per-guest charge splits, use Split Folio to create separate folios per guest and move transactions manually.
Cancellation policy applies per reservation The cancellation policy active when a reservation was created governs cancellation penalties, even if the group's policy differs. Smart Policies are fixed at reservation creation and cannot be changed retroactively. Cancellation fees are not automatically routed to the Group Folio unless the Group Profile is configured to route that transaction type.
"Promo / Group Code" field on Cloudbeds Booking Engine The promo/group code input field is part of the core Cloudbeds Booking Engine UI and cannot be hidden by default. Contact Support to discuss customization options.
Guest name changes can affect multiple reservations Updating a guest name on one reservation may update all other reservations that share the same email address. To prevent unintended profile merges, use distinct guest profiles with unique email addresses for guests who should not be linked.
"Can't update reservation" error Some users encounter an error when modifying the price or dates of reservations linked to an allotment block. If this occurs, contact Support with the reservation ID, the change you were attempting, and the exact error message you received.
Reporting is limited A small set of group-specific reports is currently available; additional reports are planned. For multi-property reporting, Cloudbeds Insights must be enabled and users must have access to the relevant properties.

  • Guest folios are left with a balance after the folio is routed to a group. Payment is made on the group folio leaving the balance on the guest folio. How to correct this?
