Room Move Report

The Room Move Report in Cloudbeds PMS (Classic Reports) helps you view and review room changes made to guest reservations in one place, without opening each reservation individually.

  • For front desk teams: Use it to quickly confirm when a guest was moved to a different room during their stay or before arrival, and to understand who made the change.
  • For owners and managers: Use it to audit room moves over time, verify that changes follow your internal procedures, and review system-generated versus staff-made actions.

  If a guest changes rooms and their reservation changes from "In-House," "Confirmed," or "Confirmation Pending" to "No-show," "Canceled," or "Check-Out," the system will remove that record from the Room Move report.


Access and use

  1. From the Main Menu, click on Classic reports
  2. Open the Daily Activity Reports and click on Notes
  3. Set your filters (example: Check in and Checkout date today)
  4. Click Apply

 If you can’t find Classic Reports in the left-side menu, don’t worry; Cloudbeds is progressively rolling out a consolidated Reporting menu. Depending on your property, Classic Reports may now be located inside the Reporting section.

Filters and Room Move table

Use the filters to control which room moves you see in the report. This helps you focus only on the dates and reservation statuses you need to review.

These filters help you narrow down the results:

  1. Date Range: By default, it will show yesterday’s date every time you access the report
  2. Reservation Status: Confirmed / Pending / In-House / All

Once you apply the filters, the following details will be displayed within the report:

  1. The User that made the room move
  2. Date/Time
  3. Name and Surname
  4. Reservation Number: Confirmation code with a hyperlink that redirects you to reservation details
  5. The previous and new room types: Related to the room category names
  6. The previous and new room assignments: Room(s) assigned to the reservation, displaying room abbreviations and unit

Example: To review room changes made today for guests currently staying at the property, select today’s date and choose In-House as the reservation status.

  When the User is shown as SYSTEM, it means the room move was not made by a staff member. The change was created automatically by Cloudbeds PMS or triggered by a system setting managed by a super admin.

Email and Export To option

Find the Email or the Export To button at the top right corner of the page to send the report via email as an attachment or download it as a PDF or Excel file.

Frequently Asked Questions

Who is allowed to move rooms?

Only users with the appropriate reservation editing privileges can move guests between rooms. These permissions are controlled by user roles.

Why don't I see a room move in the report?

The report only shows room moves for reservations with the status Confirmed, Confirmation Pending, or In-House.

Does this report show future and past room moves?

Yes. You can use the Date Range filter to review room moves for past, current, or upcoming stays.

Is moving a room the same as editing a reservation?

Moving a room is one type of reservation change. Other changes, such as dates or rates, are handled directly in the reservation.

What if I need to move reservations to a new room type?

If you are replacing or creating a new accommodation type, reservations must be moved carefully to avoid overbookings.
