Check-in and check-out guests in Cloudbeds PMS

There are multiple options to check-in and check-out your guests in Cloudbeds PMS. This article explains both processes within each one of the available options.

How to check in or check out guests

  • You can only check-in a guest if their arrival date is equivalent to today's date or past date.
  • You can only check-out a guest reservation with a departure date that is equivalent to today's date or past date.
Option 1 - On the Calendar

To check-in on the Calendar

  1. Locate the reservation on the calendar and click on it
  2. Select Check-In Guest or Check-In & go to Reservation

You need to confirm the reservations with the status Confirmation Pending to be able to check in a guest.

To check-out on the Calendar

  1. Locate the reservation and click on it
  2. Select Check-Out Guest or Check-Out & go to Reservation

You can only check out the guest if they are currently checked-in

Option 2 - Check-In on the Dashboard

To check-in on the Dashboard:

  1. Go to the Dashboard and click on the Arrivals tab
  2. Click the arrow icon and select Check-In

💡Remember

Navigate through the Today and Date Picker features to see the arrival or departure information for other dates.

To check-out on the Dashboard

  1. Go to the Dashboard and click on the Departures tab
  2. Click the arrow icon and select Check-out

Option 3 - Change the Reservation Status on the Reservation Page

To check-in a guest on the Reservation Page:

  1. Go to the corresponding Reservation Page
  2. Change the reservation status to In-House
  3. Confirm the change

The guest should be assigned to a room/unit before check-in

To check-out a guest on the Reservation Page:

  1. Go to the Reservation page of the reservation to be checked-out
  2. Change the reservation status to Checked Out
  3. Confirm the change
Option 4 - Switch the Occupied toggle on the Accommodations tab

To check-in a guest through the Accommodations tab:

  1. Go to the corresponding Reservation Page and go to the Accommodations tab
  2. Switch the toggle under Occupied column to YES
  3. Confirm the change

The guest should be assigned to a room/unit before switching the toggle

To check-out the guest on the Accommodations tab:

  • This option will only work if the reservation is currently In-House (the toggle is currently switched to YES)
  • This option will check out the whole reservation (if it's a group or split reservation, all the accommodations will be marked as not occupied)
  1. Go to the Accommodations tab of the corresponding Reservation Page
  2. Switch the toggle under the Occupied column to NO
  3. Confirm the change
  4. Read the warning and confirm the change

To check-in and check-out the guests in group/split reservations separately

Go to the Accommodations tab in the Reservation Page and switch the toggle under the Occupied column to YES to the guest(s) to check-in, and NO to the guest(s) who will check-out.
