This article will walk you through the process of adding promotion codes to special rate plans and packages for your property in Cloudbeds PMS.
Important things to note before getting started
Promo Codes will not be shared with the rate plans that are synced with Distribution Channels. This means guests cannot use the promotional codes when booking through a third party.
- These promos will only be available for walk-ins or direct bookings via your booking engine on your website.
Step 1 - Access the Rate Plans and Packages page
- Click on the Main menu and go to Rates and Availability
- Click on Rate Plans and Packages
Step 2 - Create a promo code (New Rate Plan)
- Click on +NEW RATE PLAN.
- Add the Public Rate plan/package name.
- Enter the private Rate Plan Name.
- Choose whether your rate plan will be derived or not (selecting Yes will give the option to increase/adjust percentage or certain sum to your Base Rates)
- Select Yes next to the Promotion Code section.
- Type the promo code for the package. Once you start typing the code, a promotion link will appear to the right.
Promo code field isn’t case-sensitive.
The maximum value that can be input as a discount is 99.99%.
- When the Base Rate is set to any amount below $50, and the Derived Rate Plan is set to -99.99%, the room will not show availability due to 0 rate.
You may also add policies, add-ons, and images for your rate plan under the Promotion Code section, but this is not mandatory.
Step 3 - Add the applicable interval
- Scroll down to the Availability section and click + Add Interval button.
- Add the internal name
- Select for which room types the rate plan with promo code will be available.
- Add a Start Date for the promotion. and select an End Date for when you wish your promo to expire.
- Confirm your promo restrictions
- Set up your price
- Click Apply
- Set up a price for any additional guests. You will be able to choose to use the same price for additional guests existing for the base rate or to use a different price for this specific rate plan.
- Click Add interval
- The internal will be added to the Rate Plan page. Click to Save your changes
Step 4 - Add a promo code to the existing Rate Plan
- Click on the three dots ( ⋮ ) of the Rate Plan
- Select Edit.
- Select Yes in the Promo Code section and type the promo code.
- Add Intervals by following the instructions in Step 3
It is possible to apply the same promo code to more than one Rate Plan.
- All the Rate Plans with the same Promo Code will be displayed in the Booking Engine as long as the reservation dates meet the rate plan intervals criteria, and the corresponding minLos restrictions.

It would be great if promo codes weren't limited to percentages like running a promo for stay 4 nights get 1 night free and being able to add a rule that it would deduct the lowest priced night of the reservation. With percentages, it deducts it from the entire total which means if weekend nights are higher priced and weekdays are lower the guest would end up receiving more off than the lowest priced night.
Additionally, it limits us to setting a max of 4 nights but if a guest wanted to book 6 nights and still use the promo of 1 night free, without us having to give them 25% off the entire 6 night reservation, they would have to make two separate reservations for the 4 nights to get a discount and then another for 2 nights. Of course having someone book more nights is better for business but it's just very limiting on what we can offer.
Is it possible to generate a bar code for the discount?
