Payment Portal - Overview

The Payment Portal is a new and enhanced version of our classic payment reports, designed to give you a more streamlined and comprehensive view of your payment activity. This portal is available exclusively to Cloudbeds Payments customers. It can be advantageous when reconciling reservations with bank deposits From Cloudbeds.

How to use

You can access the portal from your main menu: Menu Main menu icon.png-> Payments Payments icon.png

The Payment Portal is divided into several tabs to help you manage your financial data more efficiently. By default, the Overview page provides a quick, high-level summary of your property's payment portfolio.

Overview

Global Filters: You can apply filters that will affect all the charts and data on the page (except for the "Recent Transactions" section). Filters include:

  1. Date Range: Select a preset range like 1 Week, 1 Month, 3 Months, 6 Months, 1 Year, or a custom date range.
  2. Transaction Status: Filter for Processed (default), Recorded, or All transactions.

  3. Payment Gateway Status: A widget at the top shows the connection status of your payment gateway.

Key Metrics: This section provides a mini-dashboard with a count and value for:

  1. Total Payment Volume (TPV): The total value of all successful transactions for the selected period.

  2. Total Payouts: The total value of all successful payouts sent to your bank account for the selected period.

  3. Successful Transactions: A count and value of all successful payments.

  4. Failed Transactions: A count and value of all failed payments.

  5. Disputes: The value and count of all open chargebacks.

  6. Refunds: The value and count of all processed refunds.

  7. Card Type Chart: A visual breakdown showing the mix of card types used for successfully processed transactions.

  8. Recent Transactions: This section lists the last 50 transactions, including payments, disputes, and refunds. This list is not affected by the global filters.

Other Tabs

The Payment Portal also includes several other powerful tabs to help you manage your finances:

  • Payouts: View all your successful payouts and their details.
  • Instant Payouts: Manage and track any instant payouts.
  • Disputes: A dedicated dashboard for tracking and managing chargebacks and disputes.
  • Capital: (Available to eligible Cloudbeds Payments US customers with an active offer) Access information about your Cloudbeds Capital offer.

Reports

  • Monthly Statements: Access a comprehensive PDF overview of your monthly payment activity.
  • Commissions Statements: (Available to European and Mexican Cloudbeds Payments properties) View and manage your commission statements.
  • Transactions: This upcoming feature will provide a detailed ledger of all your transactions.

Exporting data

  • Before you can export your data, be sure to include the proper filters by clicking on the filter button. You can ensure that the date range and transaction status are correct from here.
  • To export, click the export button on the top right corner of the payment activity report. You will have the option to print or download into an Excel (.xls) or CSV file (.csv)

Payment Portal role privileges

Managing user roles and permissions in the payment portal, which has critical and sensitive financial features, is essential. Follow the steps below:

  1. Account Account menu icon.png-> Settings Settings icon.png->Users Users.png
  2. Roles
  3. Edit each role to have the needed Payment Portal permissions.

Difference between the Payment Portal and Payment Classic Reports

  • Cloudbeds Payment Classic Reports only include the Payment Processing Report, Payout Reports, and Monthly Statements. The Payment Portal is an excellent resource for accessing concise information. As Cloudbeds advances its reporting and in-house payment processing technology, we aim to further streamline reconciliation and payment processes for our properties.
