Here are some examples of how you can use Split Inventory. These are the typical scenarios, but the possibilities are vast, and you can tailor them to your property type.
Combine the same physical room types into one virtual room
Split Inventory simplifies things by merging similar physical room types into one virtual room type, which can then be linked to different physical room types.
For instance, we can offer a Suite room created by combining two connected Deluxe rooms:
Setting up
Follow the steps below to create a Suite room and connect it with two Deluxe rooms:
-
Create a new virtual room type as a Suite, go to Split Inventory and click
- Select the Suite room as a primary accommodation and link two Deluxe rooms to become one connected unit. Click Save.
Result
Here is how it will look once linked:
- When the Suite receives a reservation, all Deluxe rooms will be blocked and removed from the available inventory.
- When one of the Deluxe rooms is booked, the Suite becomes unavailable as well.
Combine two different physical room types into one virtual room
You can make new virtual rooms by picking two different room types. Here, we're mixing a standard room with a deluxe room to make a Duplex room.
Setting up
Follow the steps below to create a Duplex room and connect it with one Deluxe room and a Standard room:
-
Create a new virtual room type as a Duplex, go to Split Inventory, and click
- Select Duplex as a primary accommodation type
- Link the Standard room
- Click on +Add Accommodation type
- And link the Deluxe room as well
- Save
Result
This is how it should look once linked:
- When the Duplex receives a reservation, the Deluxe and Standard rooms will be blocked and removed from the available inventory.
- If you sell the Deluxe or the Standard room, the Duplex will be unavailable.
Combine a physical room and a virtual room to sell them as a whole floor
The second floor has one standard room and two deluxe rooms. We've combined the two deluxe rooms into a suite. We would rather use the suite instead of the two deluxe rooms.
Setting up
Follow the steps below to combine the Suite room and Standard room into the Second Floor:
-
Create a new virtual room type as a Floor room with two units (Floor 1 and Floor 2), go to Split Inventory, and click
- Select Second Floor as a primary accommodation
- Connect Standard Room (4) as a secondary accommodation.
- Click +Add Accommodation Type
- Add Suite as a secondary accommodation as well
Result
This is how your Split Inventory connections should look if you follow the scenario above:
- If the second floor is booked, both the Suite and Standard rooms become unavailable.
- If the Standard room, Suite, or just one of the Deluxe rooms (which belong to the Suite) gets a reservation, the whole second floor becomes unavailable.
Combine rooms to sell as the whole floor
Split inventory lets you connect any room type to another, even if those room types don't physically exist.
Setting up
Follow the steps below to combine three Standard rooms into the First Floor:
- If you haven't already, create a new virtual room type as a Floor room with two units (Floor 1 and Floor 2).
- Go to Split Inventory and click
- Select the First Floor as a primary accommodation type.
- Connect three Standard rooms to the First Floor:
Result
This is how your Split Inventory connections should look if you followed the scenario above:
- If you sell the whole First Floor, all three connected Standard rooms will be blocked.
- If you sell at least one Standard room on the First Floor, the whole floor becomes unavailable.
Making the whole place available for reservations
You can list the entire place as a similar type of accommodation.
Setting up
Follow the steps below to combine the Floor rooms into the Whole House:
- Create a new room type for the Whole House.
- Go to Split Inventory and click
- Select the Whole House as primary accommodation and link it to the Floor rooms you created (options above).
Result
This is how the complete list of the Split Inventory setup should look in our example:
- If the House is booked, all the accommodations in it become unavailable.
- If at least one of the room types is booked, the House becomes unavailable.
How to make the whole place available for reservations if it has private and shared accommodations
When setting up Split Inventory, you might wonder if it is possible to combine private rooms (like standard rooms or suites) and shared accommodations (like dorms or bed spaces) into a single virtual room.
Currently, this isn't supported. If you try to link private and shared room types within the same virtual accommodation, you'll encounter an error message:
However, you can still achieve a similar outcome by creating separate virtual accommodations for your private and shared rooms. These can then be combined into a higher-level virtual accommodation representing the entire property.
When creating virtual accommodations with Split Inventory, start with defining your smallest units, such as individual rooms or bed spaces. Then, combine these smaller units to create larger ones, like suites or entire floors. This approach helps ensure accurate inventory management and prevents booking conflicts.
Example
For instance, if you aim to create virtual accommodations for an entire property with private rooms and shared bedrooms:
- Create the virtual room Hotel Buyout Private as a private accommodation and use Split Inventory to link all the private rooms.
- Create the virtual room Hotel Buyout Shared as a private accommodation and use Split Inventory to link all the shared dorms.
- Create the virtual room Whole Hotel Buyout and use Split Inventory to link it with the Hotel Buyout Private and Hotel Buyout Shared you configured in steps 1 and 2.
Result
- The entire property becomes unavailable if the Whole Hotel Buyout accommodation is booked.
- If at least one of the room types is booked or blocked, the Whole Hotel Buyout becomes unavailable, too.
For a detailed example of how to set this up, refer to this guide's "Making the whole place available for reservations" section.
If you want to sell your virtual accommodations in the Cloudbeds Booking Engine, we recommend you enable the setting Book the Specific Accommodation in the Booking Engine Settings.
