What is a Passkey?
Think of a passkey as a digital key stored directly on your device. Instead of typing a password and waiting for a text code, you unlock Cloudbeds the same way you unlock your phone or laptop - using your fingerprint, face scan, or device PIN.
Unlike a password, a passkey cannot be stolen, guessed, or phished. It exists only on your device and works exclusively on the official Cloudbeds login page.

Your passkey is cryptographically bound to the official Cloudbeds domain. Even if a staff member lands on a fake login page, the passkey will not work there - there is nothing to steal.

Before you start
Passkeys are supported on the following devices and browsers:

You must be logged in to Cloudbeds PMS to complete the setup. If you are currently locked out of your account, ask your property manager to reset your MFA first: Reset Multi-Factor Authentication
How to set it up
Step 1: Open your security settings
- Log in to Cloudbeds PMS at: signin.cloudbeds.com
- Click the Account
icon in the top-right corner of the screen
- Select My Profile
- In the My Info section, find Multi-Factor Authentication
- Click Reset MFA
Step 2: Select Passkey as your method
On the security method selection screen, select Security Key or Boimetric Authenticator and click Set Up.
Already using a different MFA method? Selecting Passkey and clicking Set Up will replace your current method. You will be prompted to confirm before anything changes.
Step 3: Verify your identity
What happens next depends on your device. Find your device below.
💻 Mac (Touch ID)
Your browser will show a prompt asking to save a passkey for hotels.cloudbeds.com.
- When the prompt appears, click Use Touch ID (or the equivalent button your browser shows)
- Place your finger on your Mac's fingerprint sensor when the Touch ID ring appears
- Your passkey is saved - you are done
🖥️ Windows PC (Windows Hello)
A Windows Security dialog will appear in the centre of your screen.
- Select Use fingerprint or Use PIN - both options work equally well
- Verify using your chosen Windows Hello method
- Your passkey is saved - you are done
📱 iPhone or iPad (Face ID / Touch ID)
A prompt will appear at the bottom of your screen in Safari.
- Tap Continue
- Verify with Face ID or Touch ID when your device prompts you
- Your passkey is saved - you are done.
🤖 Android (Google Password Manager)
A dialog from Google Password Manager will appear.
- Tap Create passkey
- Verify with your fingerprint, face scan, or screen lock PIN when prompted
- Your passkey is saved - you are done.
How to log in using your Passkey
Once your passkey is set up, logging in takes about 2 seconds:
- Go to signin.cloudbeds.com (use your bookmark)
- Enter your email address and click Next
- Click Sign in with Passkey when the option appears
- Scan your fingerprint or face - you are in.
What if I lose access to my device?
If you lose, replace, or reset the device your passkey is saved on:
- Go to signin.cloudbeds.com and log in with your email address and password
- Use Forgot password? if you need to reset access via email first
- Once logged in, go to Account
-> My Profile
-> Reset MFA
- Complete the passkey setup again on your new device.
Frequently Asked Questions
- Can I set up a passkey on more than one device? Yes. Repeat the setup steps on each device you want to add. Each device registers its own passkey independently.
- What if several staff share one computer? Each staff member should use their own Windows Hello profile (fingerprint or PIN) on the shared computer. Do not set up a passkey using a colleague's Windows Hello credentials. On a Mac, each macOS user account has its own Touch ID stored separately.
- Is my fingerprint or face data shared with Cloudbeds? No. Your biometric data never leaves your device. Cloudbeds only receives a confirmation that your identity was successfully verified - it never sees or stores your fingerprint or face scan.

Can I still use my password as a backup? Yes. Your email and password continue to work as a fallback. If you have forgotten your password, use the Forgot password? link on the login page.
