Cloudbeds Guest Experience Automated Messages - Everything You Need to Know

Purpose Create and manage automated messages and operational notifications based on reservation dates, reservation events, and selected workflow conditions.
Best for Front Desk, Manager/GM, and Admin users who configure guest or internal communication workflows.
Use this when You want Cloudbeds to send a message, create a ticket, notify a team channel, or contact a specific email address or phone number automatically when selected reservation or operational conditions are met.
Requirements Access to Automated Messages. Some options have additional requirements. For example, Room Is Ready requires Cloudbeds Guest Experience and the Housekeeping module, and SMS notifications require SMS to be enabled for the property.
Expected result Your automation runs according to the recipient type, schedule, conditions, and action you configure, and you can manage or review it from the Automated Messages board.

Introduction

Automated Messages help properties communicate with guests and internal teams without sending each message manually. An automation can run based on reservation dates or events such as reservation updates, digital registration, check-in, check-out, room readiness, and other supported triggers.

Depending on the automation type you choose, Cloudbeds can message a guest, create a ticket, notify a Team Chat channel, or send a message to a specific email address or phone number. Use the sections below to create an automation, configure optional conditions, and manage automations after they are active.

Access Automated Messages

  1. Open the Automation automations icon.png page.
  2. Select Automated Messages under Guest Experiences.

The Automated Messages board displays the automations that have already been created. From this page, you can create new automations and manage existing ones.

Create an automated message

Start by defining when the automation should run and who or what it should act on. You can then add one or more automation types, such as messaging a guest or creating an internal ticket.

  1. Click New Automated Message.
  2. Enter a Title for the automated message. The title is for internal identification and is not shown to the guest.
  3. Select the Recipient Type. Available options are based on reservation timing or supported reservation and operational events.
  4. Add a Filter Condition when you need the automation to apply only to specific reservations or situations.
  5. Configure the Schedule for the message. If you select Room Is Ready, configure the Earliest Send Time.
  6. Select the Days when the automation can run.
  7. Choose the Run Time.
  8. Configure the available message behavior options as needed:
    • Enable Multi-Reservation Messaging: Sends an automated message for each reservation the guest has. This is recommended only for pre-arrival messaging.
    • Enable Missed Messages: Sends the message immediately when a reservation is created after the scheduled date and time.
    • Send a message per room: Sends automated messages based on each room's arrival date, departure date, and status within a multi-room reservation.
    • Only send to Primary Guests: Sends automated messages only to the primary guest assigned to the reservation.
  9. Add the Automation Type that should run. See Configure recipient types, conditions, and automation types for the available workflows in this article.
  10. Enter the message or complete the fields required for the automation type you selected.
  11. Click Save.

The setup form includes the schedule, recipient settings, automation behavior, and action details for the automated message.

 Event-based automated messages, including Reservation Created, Checked-In, Checked-Out, Canceled, and Room Is Ready, do not use the Enable Missed Messages option.

Configure recipient types, conditions, and automation types

Use the options in this section when you need to choose a specific event, narrow which reservations qualify, or decide what Cloudbeds should do when the automation runs. Expand only the workflow that applies to your goal.

Filter conditions

Filter conditions are rules that determine which reservations or situations qualify for an automated message. You can add multiple conditions when the automation should apply only to a specific subset of reservations.

Examples include:

  • Send a message only for reservations assigned to a specific room number or room name.

  • Use the channel collect payment type as a condition.

  • Run an automation based on the reservation status.

  • Use Ticket History to run an automation based on whether a reservation has or does not have a specific ticket type.

    Example: If a Crib Delivery ticket was created during the reservation, you can configure an automation that runs when the reservation is checked out and creates a Crib Pick-up ticket for housekeeping. Reservations without the Crib Delivery ticket are skipped.

The filter configuration determines which reservations qualify before the automation action runs.

Recipient Type: Housekeeping Room Inspection

Use Housekeeping Room Inspection to trigger automations based on housekeeping status changes. The Housekeeping module is required.

 This event triggers only for unoccupied rooms.

Recipient Type: Room Is Ready

Use Room Is Ready to send a guest-facing automated message when the room assigned to the reservation becomes ready for check-in. This event requires Cloudbeds Guest Experience and the Housekeeping module.

The automation triggers only when all of the following conditions are met:

  • The reservation's arrival date has been reached.
  • A room is assigned to the reservation.
  • No guest is currently checked into the assigned room.
  • The assigned room is marked Vacant & Clean or Vacant & Inspected in Housekeeping.

The Room Is Ready setup includes the event requirements and timing controls used before the guest notification is sent.

Configure the Earliest Send Time

Set the earliest time at which the notification can be delivered. If the room becomes ready before that time, the message remains queued and is sent when the allowed sending window begins.

Example: If the room becomes ready at 3:00 AM and the Earliest Send Time is 10:00 AM, the guest receives the message at 10:00 AM.

Built-in safeguards

  • The notification is never sent before the reservation's arrival date.
  • Only one Room Is Ready notification is sent per reservation.
  • A message waiting for the Earliest Send Time remains queued until the configured window opens.

Because Room Is Ready is event-based, the Enable Missed Messages option is not available.

Why didn't the Room Is Ready message send?

Check whether any of the following applies:

  • The guest's arrival date has not been reached.
  • No room is assigned to the reservation.
  • A guest is currently checked into the assigned room.
  • The room is not marked Vacant & Clean or Vacant & Inspected.
  • The configured Earliest Send Time has not been reached.
  • A Room Is Ready notification was already sent for the reservation.

Automation Type: Message Guest

Use Message Guest when the automation should send a message through an enabled guest messaging channel.

  1. Select Automation Type: Message Guest.
  2. Select an available messaging channel, such as SMS, Email, or WhatsApp.
  3. Select a department, such as guest, managers, staff, or team.
  4. If you are sending a survey, select a Survey Template. Otherwise, type the message from scratch.
  5. Click Save.
  • Messages have a maximum 640-character limit. Messages over this limit cannot be saved or sent.
  • You can enable or disable the available message behavior options at any time.

Automation Type: Create a Ticket

Use Create a Ticket to create an operational task, checklist, or inspection automatically when the automation runs.

  1. Select Task, Checklist, or Inspection.
  2. Complete the form for the selected ticket type.
  3. Click Save.

Tickets created through automations can also be used with the Ticket History filter condition to build follow-up workflows based on whether a reservation has or does not have a specific ticket type.

Automation Type: Notify Team Chat

Use Notify Team Chat when the automation should post a message to a selected Team Chat channel.

  1. Select Automation Type: Notify Team Chat.
  2. Select the channel.
  3. Type the message.
  4. Click Create.

Automation Type: Send a Message

Use Send a Message to automatically send a message to a specific email address or phone number when the selected automation conditions are met. This is useful for internal operational notifications to staff members, managers, housekeeping teams, or other departments.

  1. Select Automation Type: Send a Message.
  2. Select the available messaging channel, either Email or SMS.
  3. Enter the recipient email address or SMS phone number.
  4. Type the message.
  5. Click Save.

Examples include:

  • Notify housekeeping staff when a room is checked out.
  • Alert managers when a guest completes the check-in flow.
  • Send an SMS notification when a room is marked clean.

 SMS notifications require the SMS feature to be enabled for the property.

Manage automated messages

After an automation is created, use the Automated Messages board to update its configuration, control whether it is active, reuse templates, and review activity. Expand the option you need below.

Edit or control an automated message

Open the Three dots (ellipsis) icon.png menu next to the automated message to access the available management options:

  • Remove
  • Edit
  • Duplicate
  • Enable or Disable
  • See History, where you can also skip a guest from a message.

Auto Archive Guests

Use the Auto Archive Guest switch at the top of the page to control whether conversations created by automated messages are archived automatically.

When Auto Archive Guests is enabled, automated-message conversations remain archived until the guest responds. After a guest responds, the conversation is removed from the archived list and appears in the inbox again.

 Auto Archive Guests can help keep the inbox focused on conversations that need attention while still returning the conversation to the inbox when the guest replies.

Use an Automated Messages template in a conversation

While you are in an open conversation or setting up an automated message, you can insert an Automated Messages template into the message box.

  1. Select the template icon.png template icon.
  2. Select the automated messages icon.png Automated Messages template type.
  3. Select the template you want to insert. The template variable adds a link to the message box. Add more templates if needed.

Review activity logs

To review the activity log for a scheduled automation, open the automation card details from the Automated Messages board.


You can now create, refine, and manage Automated Messages for guest communication and internal operational workflows. If you use housekeeping-based automation triggers such as Room Is Ready or Housekeeping Room Inspection, review the Housekeeping module resource for the related room-status workflow.
