Beta: Cloudbeds POS is currently in a piloting phase. To participate, contact our Support team.
Use Settings in the Cloudbeds POS app to switch outlets and users, adjust the display, add printers, review outlet information, and choose how to accept card payments. This guide also explains printer requirements and what to check if printing does not work. To begin, tap Settings in the bottom navigation bar.
Who this affects and how
| Role | What to know |
|---|---|
| POS staff | You switch outlets, sign out between shifts, adjust the display, and choose how to take card payments on your device. |
| Manager / GM | You can review outlet information and offer status in the app. To change them, you or an administrator must update the configuration in the Cloudbeds platform. |
| Administrator | You make sure outlets, menus, payment methods, the House Account, and printers are configured, and you set up and troubleshoot printers with your network contact. |
| IT / network contact | You assign a fixed IP address to each printer, keep port 9100 open, and make sure printers and tablets share the same local network. See printer requirements. |
Before you begin
- Confirm the device is paired with the correct property, and sign in with your POS PIN.
- Select the correct outlet before you take orders.
- Ask your administrator to confirm that the outlet, menus, payment methods, House Account, and printers are configured.
- If outlet information is incorrect, ask your property administrator to update it.
1. Select and switch outlets
The outlet name in the upper-left corner shows where you are working. Check it before you create an order.
- Tap the outlet name or the arrow beside it.
- In the Switch outlet window, select the outlet you want to use. The current outlet is highlighted in yellow.
- Confirm that the outlet name at the top has changed before you return to Register, Tables, or Orders.
If an outlet is missing, ask your property administrator to check your outlet assignment.
2. Switch users and sign out
Sign out when your shift ends or when another staff member takes over the device.
- Tap your name or the arrow in the upper-right corner.
- Tap Sign out.
- Have the next staff member sign in with their own POS PIN.
3. Adjust the display
Open Settings > Display to choose what appears on product cards and to select a theme.
| Setting | What it does |
|---|---|
| Show prices on items | Shows or hides prices on product cards. |
| Show inventory on items | Shows or hides inventory information on product cards. |
| Light | Uses a light background. |
| Dark | Uses a dark background. |
| System | Follows the device's time: light theme during the day and dark theme at night. |

4. Set up and manage printers
Cloudbeds POS sends receipts and kitchen tickets directly to compatible printers on your property's network. Connect the printer to the network before you add it in the app.
4.1 Printer requirements
| Requirement | What to check |
|---|---|
| Printer type | Use a network thermal receipt printer that supports ESC/POS, the print format the app uses. Office, AirPrint, and label printers are not suitable. |
| Connection | Connect by Wi-Fi or Ethernet. The printer and tablet must be on the same local network and able to communicate. Avoid guest networks and the printer's temporary setup hotspot. |
| Paper size | Use 58 mm or 80 mm paper, matched to the printer and app layout. |
| IP address | Use a fixed network address. Ask the person who manages your router to assign or reserve one so it does not change. |
| Printing port | Keep TCP port 9100 available. This is the connection number used to send print jobs. |
| iPhone and iPad | Use a network connection. Generic Bluetooth and USB receipt printers are not supported on these devices. |
Important: Internet access alone is not enough for printing. The tablet must be able to reach the printer on the local property network.
Supported models. Setup guidance covers the Epson TM-m30 and TM-T88 families, and Star mC-Print printers in ESC/POS mode. Confirm the exact model and network connection before setup, and follow the manufacturer's instructions where a model differs.
4.2 Connect the printer to the network
- Load paper and turn on the printer.
- Print and keep a network status sheet. On many models you hold the Feed button for about three seconds. Follow your printer's instructions if the procedure differs.
- Connect the printer to the property network using the manufacturer's setup app or instructions.
- For Epson, use Epson TM Utility > Wi-Fi Setup Wizard. If instructed, temporarily connect to the EPSON or DIRECT- setup network using the password on the status sheet.
- Enter the fixed IP address, subnet mask, and gateway supplied by the person who manages your router. If you use Auto temporarily, ask them to reserve the resulting address.
- After the printer restarts, print another status sheet. Check the network name, connected status, and IP address.
- Reconnect the tablet to the property Wi-Fi before you add the printer in Cloudbeds POS.
Tip: Ask the person responsible for your property's network to help with IP addresses and router settings.
Checklist before you add the printer in the app
- The printer is on and has paper.
- The printer is connected to the property network.
- The tablet is back on the property Wi-Fi.
- You have the printer's current IP address.
4.3 Add a printer in the app
- Open Settings > Printers.
- Tap + Add printer.
- Enter a clear Name and Location, such as Bar receipt printer and Bar.
- Choose the Category: Receipt for guest receipts, or Kitchen for kitchen or bar tickets.
- Enter the printer's IP address from its status sheet. Keep Port set to 9100.
- Tap Test and confirm that paper actually prints.
- Tap Save. Repeat for other printers, then set the default receipt and kitchen printers on the Printers screen.
Important: An Online status or a "sent" message does not prove that printing works. Always check the printed test output.
4.4 Troubleshoot printing
First check power, paper, the printer's IP address, and the tablet's Wi-Fi connection. Then find your issue below.
| Issue | What to do |
|---|---|
| "Could not reach" | Check that the printer is on. Compare the IP address in the app with the status sheet. Confirm that the tablet and printer are on the same property network. |
| Online or sent, but nothing prints | Check paper, port 9100, and ESC/POS support. On Epson printers, also check Secure Printing (see the FAQ below). |
| Epson IP address starts with 172.16.10 | The printer may still be connected to its setup hotspot. Repeat the Epson Wi-Fi Setup Wizard and connect it to the property network. |
| Worked yesterday but cannot be reached today | The IP address may have changed. Update it in the app, then ask your router manager to reserve a fixed address. |
| Prints from one tablet but not another | Check that both tablets are on the same network. On iPad, allow Cloudbeds POS under device Settings > Privacy > Local Network. Menu names may vary by iOS version. |
| Printing pauses for a minute or two | Close Epson TM Utility and any other apps using the printer, since another connection may be holding it. Restart the printer if it does not recover. |
| Receipt is cut off on the right | Check whether the printer uses 58 mm paper. If the app has a model field, include 58 in it, such as "TM-m30 58mm". If that field is unavailable, contact Support. |
| All printers are Offline on one device | Confirm the device is on Wi-Fi, not only mobile data. Use the latest POS version approved for your property and test again. |
After you correct the issue, run Test again and check the paper output.
4.5 Printer FAQs
Why is the printer Online but not printing?
Online means the app can reach a connection on the printer. It does not guarantee a successful print. Check port 9100, ESC/POS compatibility, and the printer's security settings, then run Test again.
How do I check Epson Secure Printing?
Some Epson TM-m30III printers have Secure Printing turned on, which can block print jobs sent to port 9100. Ask the person responsible for printer setup to check this setting. If your property requires encrypted printing, contact Support before changing it.
If your property permits turning Secure Printing off, the person responsible for printer setup can follow these steps:
- Open the printer's IP address in a browser and confirm it is the correct printer.
- Sign in to Web Config with the username epson and the Initial Password from the printer's status sheet.
- Go to Product Security > Secure Printing.
- Select Disable and press OK.
- Restart the printer and run Test again in Cloudbeds POS.
Can several devices use one printer?
Yes, as long as each device can reach the printer on the same network. Epson printers handle one printing connection at a time, so close other printer apps if print jobs stall.
Do I need a printer driver or cloud print service?
No. Cloudbeds POS sends print data directly to the network printer. The tablet must be able to reach it locally. A working internet connection alone is not enough.
4.6 Contact Support about printing
If these checks do not fix the problem, contact Cloudbeds Support through your property's usual support channel. Include the following details:
- The printer model and a photo of its network status sheet. Hide any passwords before you share the photo.
- A screenshot of Settings > Printers showing the IP address, port, category, and status.
- The exact message shown when you tap Test and when you print a receipt, and whether any paper comes out.
- The Wi-Fi network name, and whether your property uses more than one network.
- Details of other apps or devices using the printer, such as Epson TM Utility, another POS, or a computer.
These details help Support work out whether the issue is with the network connection, the printer configuration, or the app setup.
5. View outlet information
Open Settings > Outlet info to review information about the selected outlet:
- Outlet name, type, and current status.
- The assigned House Account.
- Opening hours for each day.
- Offers, including names, discounts, eligible item counts, schedules, and minimum spend requirements.
- Offer status badges: Live, Scheduled, or Off.
Note: This page is for reference only. You cannot change the outlet configuration here. Ask your property administrator to correct the information in the Cloudbeds platform. When you review an offer's status, check its displayed schedule and conditions.
6. Payments
Use Payments settings to choose how this device accepts card payments:
- Tap to Pay on this device: Guests tap a contactless card or digital wallet directly on your device. The device must have a built-in NFC chip, and the setting must be turned on.
- Card reader on this network: Use a network card reader registered to your property's account.
Select Tap to Pay on this device
- In the POS app, go to Settings > Payments.
- Wait for the app to check your property's card reader setup.
- Tap Tap to Pay on this device.
- Confirm that In use on this device appears next to the option.
Select a network card reader
- In the POS app, go to Settings > Payments.
- Wait for the app to check your property's card reader setup.
- Tap Card reader on this network. The app shows Looking for readers... while it searches.
- Select your reader from the list. Check its name and serial number to identify the correct device.
- Confirm that the selected reader shows In use on this device, and that its name appears next to Card reader on this network.
