To begin using the Cloudbeds Fiscal Documents Service, you must complete a one-time registration and tax mapping process. This ensures your property remains compliant with local government regulations and that all issued documents are legally valid.
Understanding Your Service Type
Depending on your property's location, you will use either the Core Service or a Standalone Service:
- Core Service (Built-in): If your property is in Brazil, Argentina, Mexico, Poland, Belgium, Italy (SDI), or Croatia, the service is handled directly within Cloudbeds.
- Standalone Service (Marketplace App): If your property is in Spain, Portugal, Italy (Receipts), France, or Austria, you must install a dedicated app from the Cloudbeds Marketplace to enable fiscalization.
Step 1: Consent and Registration
This step connects your property profile to the regional fiscalization provider.
- Navigate to Account
->Settings
->Finance
->Invoices & Documents->ProForma
- Review and Consent: Read and accept the terms of service for your specific country’s provider.
- Fill in all the info and set the settings needed.
- Validate & Save: Click Validate to check your information against government rules, then click Save.
Step 2: Tax Mapping
Before you can issue any fiscal documents, your internal Cloudbeds taxes must be linked to official government tax codes.
- Go to the Tax Mapping tab in the Invoices & Documents menu.
- For every active tax in your system, select the corresponding Government Tax Code from the dropdown menu.
- The mapping is successful once the status badge for that tax changes to Mapped.
Setup for Standalone App Countries
If you are in a Standalone Service country (Spain, Portugal, Italy-Receipts, France, or Austria), follow these additional steps:
- Install the App: Visit the Cloudbeds Marketplace and install the provider required for your region (e.g., Moloni for Portugal).
- Connect: After installation, follow the prompts to authorize the connection between Cloudbeds and the app.
- Enter Credentials: Input the API tokens, PINs, or credentials provided by your local tax authority or service provider.
What’s Next?
Once your registration is validated and your taxes are mapped, you can begin issuing Invoices, Pro Forma Invoices, and Credit Notes.
Check your statuses: Keep an eye on the Invoices & Documents List View. Documents awaiting government approval will show as PENDING_INTEGRATION, while successful ones will show as COMPLETED_INTEGRATION.
